This file contains information that became available prior to releasing Autodesk Vault 2012 or that you will find useful while using Autodesk Vault 2012.

System Requirements for all Vault products are accessible through the Vault install and http://www.autodesk.com/wikihelp-vault.

Autodesk Data Management Server (ADMS)

ADMS Installation Information

  • Installing Autodesk Data Management Server version 2012 requires all Vault clients to upgrade to the 2012 version.
  • If you have previous Beta Vault products installed on your machine, you will need to uninstall them prior to installing this release.
    1. Uninstall the client software from all machines.
    2. Open the Beta ADMS Console.
    3. Delete all vaults and libraries.
    4. Detach the Knowledge Master vault.
    5. Uninstall ADMS.
    6. Delete the knowledgeVaultMaster database in the SQL data folder.
  • Removing Autodesk Data Management Server will not remove vault data. If you remove Autodesk Data Management Server, the SQL server directory and file stores will remain intact. However, Autodesk strongly recommends backing up all databases and necessary files prior to removing Autodesk Data Management Server.
  • By default Autodesk Data Management Server communicates using port 80. Some installed software running on port 80 can cause conflicts with Autodesk Vault communication. To avoid conflicts when installing the ADMS console, configure ADMS to use an open port between 1 and 65535.
  • Installing ADMS onto a computer that has the Program Files folder compressed is not supported and will cause the install to hang. This is because SQL installations are not supported with this configuration.
  • Vault Server installation will fail if you set .NET Framework Version of DefaultAppPool to v4.0.
  • When installing the ADMS console on a machine that uses a custom default website and port 80, one of the following steps is recommended:
    • Change the port of the Default Web Site to another number and restart the server installation.
    • Remove the default web site and restart the server installation.

SQL Server Installation Information

  • ADMS installs 32-bit SQL 2008 Express if SQL is not already installed on the system. If 64-bit SQL 2008 Express is desired, download 64-bit SQL 2008 Express from Microsoft and follow the directions in the Vault Advanced Configuration Guide for installing SQL before ADMS.
  • Vault can be installed in a SQL cluster environment. Workflows occurring during a failover may be interrupted and may need to be resubmitted.
  • If your computer/domain is set up to require strong/complex passwords, you will not be able to use the default SQL SA password used by the Autodesk installer. Please use the Configuration pages in the Autodesk Data Management Server install to specify an appropriate SA password. Check with your IT administrator to get the requirements for a strong/complex password.
  • Installing SQL onto a computer that has the Program Files folder compressed is not supported and will cause the install to hang.
  • If you encounter a "Performance Counter Registry Hive Consistency Check" error while installing SQL, please see this Microsoft Knowledgebase article: http://support.microsoft.com/kb/300956
  • Autodesk Vault 2012 installs SQL Server 2008 using the Network Service account for SQL services. For security reasons, Microsoft recommends that you do not install SQL Server 2008 on a domain controller. SQL Server 2008 cannot be installed on a domain controller under a local service account or a network service account.

IIS Installation Information

  • After uninstalling IIS from Vista operating systems, the ADMS pre-checks may still fail saying that IIS is not running.
  • When performing an upgrade from a previous release to 2012, the IIS Configuration cannot be modified.

Migration - Working with Legacy Vault Data

  • IMPORTANT: Due to changes in how Vault tracks file dependencies you will need to run the Update File Reference command prior to executing commands such as Copy Design, Move, and Rename. You may run Update File Reference on the files to be acted on immediately prior to running any command that will modify file references in the Vault. However, it is recommended for ease of use that you run Update File References command on the root of the vault immediately after migrating a vault to update file references for all data in the vault. This will not modify your data in any way and is a one time action.
    1. As an administrator, log in to the vault and go to Tools > Administration > Vault Settings.
    2. On the Files tab click the Define button to specify working folder options.
    3. In the Default Inventor Project File field select a vault project at the root of the vault. If you are using multiple project files you will need to set this option for each project file before updating the file references for the files in the project's scope.
    4. Click OK and exit out of all the Administration dialogs.
    5. Select the root of the vault ($).
    6. Select Actions > Update File Reference. Updating references may take a while.
  • Note: File references are also updated on check in, so files checked in using a Vault 2012 client do not need to have file references updated.
  • Detaching a Vault and attaching it to a new server installation, without also attaching the KnowledgeVaultMaster, will lose all non-default users and corresponding data. All detach and subsequent attach cases should include all Vaults as well as the KnowledgeVaultMaster.
  • When migrating large vaults, there may be a long delay before the progress dialog is shown. The delay can exceed 10 minutes depending on the configuration of the vault.
  • Migrating from one OS to another OS when OS formatting (Regional Settings) is different between the two is NOT supported. Prior to upgrading to ADMS 2012, OS formatting on the target server must be changed to match that of the originating server.
  • When performing an in-place upgrade from previous releases of ADMS and Remote Content Libraries, the Content Libraries cannot be installed with ADMS automatically. The ADMS must first be installed and migration completed before Remote Content Libraries can be installed.

ADMS Information

    Property indexing for AutoCAD file types may not work if the AutoCAD based product is installed on the same machine as ADMS. If indexing problems are encountered, a repair on the ADMS Console installation should resolve the issue.

Vault Client

  1. The standalone Vault client can be installed on any system on which there is a qualifying release of a product installed. Vault add-ins will only be installed for products with Vault Add-in support.
  2. A valid Serial Number and Product Key for a qualifying product are required in order to install the Autodesk Data Management Server.
  • If installing Vault 2012 client and add-ins as part of a suite, Vault add-ins may not be installed to all applications. To resolve the issue, select Uninstall/Change for the Vault client in Control Panel > Programs and Features, then select Add or Remove features in the Vault client install, and re-select the add-ins that need to be installed.
  • .Net 4.0 must be installed prior to installing the Vault client. If you do not yet have .Net 4.0 installed you may need to cancel the Vault client installation and follow these steps:
    1. Navigate to the Vault client installation media in Windows Explorer.
    2. Navigate to the support\dotnetfx folder on the installation media.
    3. Run dotNetFx40_Full_x86_x64.exe.
    4. Once installation of .Net 4.0 is complete, restart the Vault client installation.
  • It is recommended that you start Autodesk Design Review after installation and check for any updates.
  • Autodesk Vault 2012 supports side-by-side client installations with Autodesk Vault 2010 and Autodesk Vault 2011.
  • An English version of Autodesk Design Review 2012 is included in Vault client products for Russian, Polish, Czech, Hungarian, and Traditional Chinese.
  • An English version of Autodesk DWG TrueView 2012 is included in all Vault client products for all languages except Japanese and French.
  • Localized Autodesk Vault CAD add-ins should be installed into an environment with the same language CAD application. Autodesk does not support mixed locales between the CAD application and Autodesk Vault except for Korean (KOR) and Spanish (SPN). Autodesk supports English (ENU) language CAD addins with KOR and SPN languages of the CAD application. To install the clients with a supported mixed locale in the correct order, proceed with the following steps:
    1. Install the CAD application (with a localized Autodesk Vault 2012 client).
    2. Install the English Vault client.
  • Installing an English language Vault client on a non-English language operating system is supported. When installing a non-English Vault client the Vault client language must match the operating system language.
  • It is supported for any language client to communicate with any language ADMS.
  • If the install directory is a non-English directory structure you will not be able to view the help file.
  • Before installing a Vault client, make sure the Beta version of DWF True view has been removed, otherwise the required version of DWF True View cannot be installed by the Client.
  • It is recommended that you allocate the minimum or higher system requirements when running Autodesk Vault 2011 in virtual environments. As virtual environments could cause unexpected consequences Autodesk reserves the right to ask that any customer reported problems be reproduced on a physical machine outside the VMware environment. Autodesk Vault 2012 was tested on VMware ESXi version 4.0.0 and VMware Workstation version 6.5.2.

Vault Client Information

  • Copy Design
    • The last run version of Inventor on your machine will be used for operations in the Vault Client, such as Copy Design. If the last run version of Inventor is older than the version of the files you are changing through the Vault client, then the Vault client will display an error (e.g., if you last ran Inventor 2011 on your computer and then try to do a Copy Design on files last saved in Inventor 2012 the Copy Design will fail).
    • Copy Design on a substitute part results in the new part referencing the original derived assembly.
    • When using Copy Design on an assembly that uses derived components, if you attempt to change the master sketch on one file, it will replace the master sketch on all files referencing the master sketch. It is recommended that you copy all instances. Copying one derived part but reusing another referencing the same master sketch is not supported.
    • All library files may easily be set to Reuse by right clicking on the main assembly and selecting Reuse Library Files.
    • If library files are initially selected to be copied, in order to clear the red paths and proceed you may need to right click on the main assembly and select Reuse Library Files. Alternately you may need to select to reuse, then copy, then reuse the library file multiple times.
  • Properties
    • Important: Due to property system enhancements in 2011 it is recommended that after migration from a pre-2011 Vault, a Re-Index (Latest and Released Versions Only) on each Vault should be run. In order to correctly evaluate compliance, additional information that was previously not indexed from the files is needed.
    • After migrating from a pre-2011 Vault, property mappings that were previously set to be Read will be changed to Bi-directional. User defined properties that have multiple read mappings may become non-compliant because of this behavior change. White papers providing further details about the new property system can be found on the Autodesk website.

Vault for AutoCAD Products

AutoCAD Add-in Installation Information

    Please see the system requirements and installation instructions for your AutoCAD product for installation information specific to your AutoCAD product .

AutoCAD Add-in Information

  • The Vault ribbon and toolbar may be missing when launching AutoCAD and AutoCAD-based products from the same installation but using different profiles. To restore the Vault ribbon and toolbar, enter CUILOAD and load the "VaAc.cuix" file from the respective locations:
    • For Windows XP - C:\Documents and Settings\ [username] \Application Data\Autodesk\ [product name] \R18.1\ [lang] \Support
    • For Windows 7 and Vista - C:\Users\ [username] \AppData\Roaming\Autodesk\ [product name] \R18.1\ [lang] \Support

AutoCAD Add-in Information

  • Files with point cloud attachments are not supported. If checked in, the file will lose its association to the point cloud attachment.
  • Files with PDF attachments are not supported. If checked in, the file will lose its association to the PDF attachment.

Folder Check-in

  • The following methods may be used with Folder Check In on large folders if problems occur:
    • Add sub-folders individually. To do this, first break down the main folder into sub-folders. Then set the working folder to the top most folder. This will maintain the folder structure and file relationships after check-in.
    • Increase the number of GDI handles. Please see this Microsoft article for instructions. Seek assistance from your Administrator if you are not familiar with Registry settings.
  • The following are restrictions on Folder Check In of DXF files from within AutoCAD based products:
    • DXF files with attachments cannot be checked into the Vault (be it within or outside working folder).
    • Only single DXF files without attachments can be checked into the Vault if they are placed within the working folder. The user will be prompted to save the DXF file upon every Check-in.
    • DXF files will not be checked into the Vault when checking in a folder containing DXF files from outside working folder.
    • DXF files will be checked into the Vault when checking in a folder containing DXF files from within the working folder. In this case, DXF files with attachments will be checked in but all file relationships will be lost.

AutoCAD Civil 3D

  • For additional information related to the Vault integration for AutoCAD Civil 3D, please refer to the AutoCAD Civil 3D Readme and Help.
  • Vault's project functionality is not available when working with base Vault and AutoCAD Civil 3D.
  • Object Based Security is not available when working with base Vault and AutoCAD Civil 3D.
  • When migrating from base Vault Server (ADMS) 2010 or 2011 which is installed with AutoCAD Civil 3D 2010 or 2011 to a new base Vault 2012 server the OBS Remover utility, must be run in order for the migration to succeed.

AutoCAD Mechanical

  • Editing AutoCAD Mechanical files which contain structure components using Vault client operations may result in AutoCAD Mechanical prompting that the file was last edited outside of AutoCAD Mechanical. This is expected behavior and the prompt may be dismissed by clicking the Yes button.
  • External references need to be saved in order to be checked into the Vault

Vault for Inventor Products

Inventor Add-in Installation Information

  • Please see the system requirements and installation instructions for your Inventor product for installation information specific to your Inventor product.
  • The Inventor Vault add-in is installed with the Inventor installation. The server that the user logs into will determine the Inventor-Vault add-in functionality that is made available. For example, logging into an Autodesk Vault Professional server will populate Autodesk Vault Professional features.

Inventor Add-in Installation

  • Inventor assemblies that are checked in with an active LOD will not have Detail IDs extracted.
  • When using substitutes, it is strongly recommended that all data be created within the working folder. If the data was created outside of the working folder and then added to a Vault, it is recommended you open the file from Vault, dirty the file, and then save and check in all assemblies before performing any other Vault operations.
  • After renaming iPart or iAssembly members, Vault may prompt about iPart Factories being unavailable on the local disk when opening Assemblies from Vault Explorer . Choosing Yes or No to the prompt will correctly open the file in Inventor.
  • Reference IDs will not be created for Substitute Parts when the master assembly is uploaded to Vault using "Check In Project". The Update File References command should be executed in Vault Explorer to get Reference IDs created for Substitute Parts.
  • The Vault browser will show that a file has been edited in memory for iPart Factories and iAssembly Factories if any members were renamed in Vault Explorer.

Autoloader

Supported Data Formats

  • Autoloader supports Inventor R10 and newer data.
  • Autoloader supports AutoCAD R14 (and AutoCAD R14 products) and newer data.

Upload Recommendations

  • Follow these guidelines for autoloading data in to the Vault:
    • If autoloading Inventor files and not publishing DWF files, upload in batches no greater than 30,000 files.
    • If autoloading Inventor files and publishing DWF files, upload in batches no greater than 20,000 files.
    • If autoloading AutoCAD or DWG files without publishing DWF, upload in batches no greater than 50,000 files.
    • If autoloading AutoCAD or DWG files and publishing DWF, upload in batches no greater than 30,000 files.
  • Close as many applications as possible while autoloading data.
  • Autoloader copies all files which will be uploaded to a temporary folder on the system that is running Autoloader. Therefore, enough free space must be available to accommodate the duplication of the files. If publishing DWF or DWFX files, enough space must also be available to accommodate the visualization files as well

Autoloader Information

  • Prior to autoloading data, it is strongly recommended that you fully backup all vaults.
  • In order to use Autoloader, you must disable Enforce Unique File Names in the Vault.
  • The Upload Report generated after files have been uploaded can only be viewed on the machine which created the report.
  • On a Windows Vista machine, the User Account Control (UAC) may prevent the successful publishing of DWF files while using the Autoloader.
  • Autoloader requires that Inventor 2011 or Inventor 2012 be installed (and be the last version of Inventor run) as well as a Vault 2012 product be installed on the same system as Autoloader to upload Inventor files.
  • If Inventor needs to re-register with the operating system while Autoloader is running, Inventor's re-registration process may cause Autoloader to close. Be sure to save all Scan and Upload reports prior to starting Inventor with Autoloader running.
  • In order to publish visualization files (DWF or DWFx) for Inventor iparts, Autoloader requires that Microsoft Office Excel 2003 or newer is installed.
  • It is required that all Inventor files be uploaded into the same folder in the vault. By default this folder is named Designs, but you may change the name by using the Rename button. You may only change the name if you have not yet uploaded any files to the Designs folder.
  • If Direct 3D 9 is installed on your machine, it is recommended that you change the Inventor hardware setting to any value other than Direct 3D prior to doing DWF or DWFX publishing in Autoloader.
  • AutoCAD file types may be uploaded to any folder in the Vault.
  • AutoCAD Electrical files, AutoCAD Mechanical files, and Mechanical Desktop files will all be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of file relationships.
  • Sheet Set Data will be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of sheet set relationships. It is recommended that you use Sheet Set Manager to check in sheet set data.

Vault Client Installation

  • .Net 4.0 must be installed prior to installing the Vault client. If you do not yet have .Net 4.0 installed you may need to cancel the Vault client installation and follow these steps:
    1. Navigate to the Vault client installation media in Windows Explorer.
    2. Navigate to the support\dotnetfx folder on the installation media.
    3. Run dotNetFx40_Full_x86_x64.exe.
    4. Once installation of .Net 4.0 is complete, restart the Vault client installation.
  • It is recommended that you start Autodesk Design Review after installation and check for any updates.
  • Autodesk Vault 2012 supports side-by-side client installations with Autodesk Vault 2010 and Autodesk Vault 2011.
  • An English version of Autodesk Design Review 2012 is included in Vault client products for Russian, Polish, Czech, Hungarian, and Traditional Chinese.
  • An English version of Autodesk DWG TrueView 2012 is included in all Vault client products for all languages except Japanese and French.
  • Localized Autodesk Vault CAD add-ins should be installed into an environment with the same language CAD application. Autodesk does not support mixed locales between the CAD application and Autodesk Vault except for Korean (KOR) and Spanish (SPN). Autodesk supports English (ENU) language CAD addins with KOR and SPN languages of the CAD application. To install the clients with a supported mixed locale in the correct order, proceed with the following steps:
    1. Install the CAD application (with a localized Autodesk Vault 2012 client).
    2. Install the English Vault client.
  • Installing an English language Vault client on a non-English language operating system is supported. When installing a non-English Vault client the Vault client language must match the operating system language.
  • It is supported for any language client to communicate with any language ADMS.
  • If the install directory is a non-English directory structure you will not be able to view the help file.
  • Before installing a Vault client, make sure the Beta version of DWF True view has been removed, otherwise the required version of DWF True View cannot be installed by the Client.
  • It is recommended that you allocate the minimum or higher system requirements when running Autodesk Vault 2011 in virtual environments. As virtual environments could cause unexpected consequences Autodesk reserves the right to ask that any customer reported problems be reproduced on a physical machine outside the VMware environment. Autodesk Vault 2012 was tested on VMware ESXi version 4.0.0 and VMware Workstation version 6.5.2.

Vault Client Information

  • Copy Design

    • The last run version of Inventor on your machine will be used for operations in the Vault Client, such as Copy Design. If the last run version of Inventor is older than the version of the files you are changing through the Vault client, then the Vault client will display an error (e.g., if you last ran Inventor 2011 on your computer and then try to do a Copy Design on files last saved in Inventor 2012 the Copy Design will fail).
    • Copy Design on a substitute part results in the new part referencing the original derived assembly.
    • When using Copy Design on an assembly that uses derived components, if you attempt to change the master sketch on one file, it will replace the master sketch on all files referencing the master sketch. It is recommended that you copy all instances. Copying one derived part but reusing another referencing the same master sketch is not supported.
    • All library files may easily be set to Reuse by right clicking on the main assembly and selecting Reuse Library Files.
    • If library files are initially selected to be copied, in order to clear the red paths and proceed you may need to right click on the main assembly and select Reuse Library Files. Alternately you may need to select to reuse, then copy, then reuse the library file multiple times.
  • Properties

    • Important: Due to property system enhancements in 2011 it is recommended that after migration from a pre-2011 Vault, a Re-Index (Latest and Released Versions Only) on each Vault should be run. In order to correctly evaluate compliance, additional information that was previously not indexed from the files is needed.
    • After migrating from a pre-2011 Vault, property mappings that were previously set to be Read will be changed to Bi-directional. User defined properties that have multiple read mappings may become non-compliant because of this behavior change. White papers providing further details about the new property system can be found on the Autodesk website.
  • Reports

      Legacy report templates from Vault 2010 need manual migration. To migrate the templates, open the legacy report template in the Autodesk Report Template Utility (ReportTemplateAuthoringUtility.exe) found in the client installation directory, and save it in the new Vault 2012 format.

  • Revise

      When revising a file, it is not possible to revise from a previous revision.

Vault for AutoCAD Products

AutoCAD Add-in Installation Information

    Please see the system requirements and installation instructions for your AutoCAD product for installation information specific to your AutoCAD product.

AutoCAD Add-in Information

  • The Vault ribbon and toolbar may be missing when launching AutoCAD and AutoCAD-based products from the same installation but using different profiles. To restore the Vault ribbon and toolbar, enter CUILOAD and load the "VaAc.cuix" file from the respective locations:
    • For Windows XP - C:\Documents and Settings\ [username] \Application Data\Autodesk\ [product name] \R18.1\ [lang] \Support
    • For Windows 7 and Vista - C:\Users\ [username] \AppData\Roaming\Autodesk\ [product name] \R18.1\ [lang] \Support
  • Folder Check-in

    • The following methods may be used with Folder Check In on large folders if problems occur:
      • Add sub-folders individually. To do this, first break down the main folder into sub-folders. Then set the working folder to the top most folder. This will maintain the folder structure and file relationships after check-in.
      • Increase the number of GDI handles. Please see this Microsoft article for instructions. Seek assistance from your Administrator if you are not familiar with Registry settings.
    • The following are restrictions on Folder Check In of DXF files from within AutoCAD based products:
      • DXF files with attachments cannot be checked into the Vault (be it within or outside working folder).
      • Only single DXF files without attachments can be checked into the Vault if they are placed within the working folder. The user will be prompted to save the DXF file upon every Check-in.
      • DXF files will not be checked into the Vault when checking in a folder containing DXF files from outside working folder.
      • DXF files will be checked into the Vault when checking in a folder containing DXF files from within the working folder. In this case, DXF files with attachments will be checked in but all file relationships will be lost.
  • Sheet Sets and Sheet Set Manager (SSM)

    • The Vault sheet set integration is only available in AutoCAD 2012 products.
    • The Check in Folder command does not support sheet sets.
    • Property write-back is not supported on sheet set files.
    • The Vault sheet set manager integration does not support offline editing of sheet set files.
    • Setting the security permission to read deny on sheet set data files or folders is not supported.
    • The sheet set property 'Sheet set data file' cannot be mapped as a Vault user-defined property. Instead use the 'File Name' Vault system property.
    • Renaming a sheet set in Sheet Set Manager will not update corresponding folder and file names in Vault, though all folders and files will resolve correctly.
    • Renaming or moving sheet set data files or folders in Vault is not supported and will result in Sheet Set Manager not reflecting the changes.
    • Using Drag and Drop to sort subsets and sheets in SSM may move its corresponding data file to another sheet set folder in the Vault.
    • To convert vaulted DST files to DSS format:
      1. Download the DST file to your working folder.
      2. Open the DST file in Sheet Set Manager from your working folder.
      3. Check the file into Vault.

      The DST file is converted to DSS format upon check-in.

    • Sheet Set Manager can only manage ownership of files. To manage ownership of a folder use the Vault client.
    • To change the Sheet Set automatic Check In visualization attachment options:
      1. Exit AutoCAD.
      2. Open the file 'Preferences.xml' at '%appdata%\Autodesk\AutoCAD 2012 Vault AddIn\Objects' with any text editor.
      3. Under the respective AutoCAD profile 'CheckIn On Auto Checkin SheetSet Options', look for '<Property Name="DWF Option" Value="No DWF" />'.
      4. Replace "No DWF", the default value, with "Create DWF locally" to create visualization during Check In or "Create DWF using Job Server" to send to Job Server.

AutoCAD

  • Files with point cloud attachments are not supported. If checked in, the file will lose its association to the point cloud attachment.
  • Files with PDF attachments are not supported. If checked in, the file will lose its association to the PDF attachment.

AutoCAD Civil 3D

  • For additional information related to the Vault integration for AutoCAD Civil 3D, please refer to the AutoCAD Civil 3D Readme and Help.
  • When using Vault Workgroup, Collaboration, or Professional with AutoCAD Civil 3D, a configuration file must be imported into every Vault database which will be accessed from a Civil 3D client. The configuration file is named Civil3D_Vault_Configuration.cfg and can be found in these locations:
    • On 32-bit Operating Systems: C:\Program Files\Autodesk\ [ADMS Release] \Custom Configuration.
    • On 64-bit Operating Systems: C:\Program Files (x86)\Autodesk\ [ADMS Release] \Custom Configuration.

AutoCAD Mechanical

  • Editing AutoCAD Mechanical files which contain structure components using Vault client operations may result in AutoCAD Mechanical prompting that the file was last edited outside of AutoCAD Mechanical. This is expected behavior and the prompt may be dismissed by clicking the Yes button.
  • External references need to be saved in order to be checked into the Vault.

Vault for Inventor Products

Inventor Add-in Installation Information

  • Please see the system requirements and installation instructions for your Inventor product for installation information specific to your Inventor product.
  • The Inventor Vault add-in is installed with the Inventor installation. The server that the user logs into will determine the Inventor-Vault add-in functionality that is made available. For example, logging into an Autodesk Vault Professional server will populate Autodesk Vault Professional features.

Inventor Add-in Information

  • Inventor assemblies that are checked in with an active LOD will not have Detail IDs extracted.
  • When using substitutes, it is strongly recommended that all data be created within the working folder. If the data was created outside of the working folder and then added to a Vault, it is recommended you open the file from Vault, dirty the file, and then save and check in all assemblies before performing any other Vault operations.
  • After renaming iPart or iAssembly members, Vault may prompt about iPart Factories being unavailable on the local disk when opening Assemblies from Vault Explorer . Choosing Yes or No to the prompt will correctly open the file in Inventor.
  • Reference IDs will not be created for Substitute Parts when the master assembly is uploaded to Vault using "Check In Project". The Update File References command should be executed in Vault Explorer to get Reference IDs created for Substitute Parts.
  • The Vault browser will show that a file has been edited in memory for iPart Factories and iAssembly Factories if any members were renamed in Vault Explorer.

Vault for Revit Products

  • The Revit workflow for workshared projects does not require a Check-Out. The add commands from the Revit add-in will create new versions of the selected files by automatically performing a check out/in. (The files must be checked in.)
  • Relationships are created with files that are preexisting in the Vault. Adding two related files at the same time does not create a relationship. After both files exist in Vault, creating a new version of the parent file with the Revit add-in will create a relationship.
  • Support for workshared project files requires the folder property 'SharePath' to be properly configured.
  • The Revit add commands do not change the read/write state of local files. This behavior is unique to the Revit add-in.
  • When working with workshared project files it is not recommended to Get/Check Out from Vault. Updated versions of local files should be created from the central project file.
  • When working with local non-workshared Revit project files, they may be checked out of Vault using the Vault Client. If the project file is checked out it must be checked in through the Vault client. The add-in add commands to not apply to checked out files.

Autoloader

Supported Data Formats

  • Autoloader supports Inventor R10 and newer data.
  • Autoloader supports AutoCAD R14 (and AutoCAD R14 products) and newer data.

Upload Recommendations

  • Follow these guidelines for autoloading data in to the Vault:
    • If autoloading Inventor files and not publishing DWF files, upload in batches no greater than 30,000 files.
    • If autoloading Inventor files and publishing DWF files, upload in batches no greater than 20,000 files.
    • If autoloading AutoCAD or DWG files without publishing DWF, upload in batches no greater than 50,000 files.
    • If autoloading AutoCAD or DWG files and publishing DWF, upload in batches no greater than 30,000 files.
  • Close as many applications as possible while autoloading data.
  • Autoloader copies all files which will be uploaded to a temporary folder on the system that is running Autoloader. Therefore, enough free space must be available to accommodate the duplication of the files. If publishing DWF or DWFX files, enough space must also be available to accommodate the visualization files as well.

Autoloader Information

  • Prior to autoloading data, it is strongly recommended that you fully backup all vaults.
  • In order to use Autoloader, you must disable Enforce Unique File Names in the Vault.
  • The Upload Report generated after files have been uploaded can only be viewed on the machine which created the report.
  • On a Windows Vista machine, the User Account Control (UAC) may prevent the successful publishing of DWF files while using the Autoloader.
  • Autoloader requires that Inventor 2011 or Inventor 2012 be installed (and be the last version of Inventor run) as well as a Vault 2012 product be installed on the same system as Autoloader to upload Inventor files.
  • If Inventor needs to re-register with the operating system while Autoloader is running, Inventor's re-registration process may cause Autoloader to close. Be sure to save all Scan and Upload reports prior to starting Inventor with Autoloader running.
  • In order to publish visualization files (DWF or DWFx) for Inventor iparts, Autoloader requires that Microsoft Office Excel 2003 or newer is installed.
  • It is required that all Inventor files be uploaded into the same folder in the vault. By default this folder is named Designs, but you may change the name by using the Rename button. You may only change the name if you have not yet uploaded any files to the Designs folder.
  • If Direct 3D 9 is installed on your machine, it is recommended that you change the Inventor hardware setting to any value other than Direct 3D prior to doing DWF or DWFX publishing in Autoloader.
  • AutoCAD file types may be uploaded to any folder in the Vault.
  • AutoCAD Electrical files, AutoCAD Mechanical files, and Mechanical Desktop files will all be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of file relationships.
  • Sheet Set Data will be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of sheet set relationships. It is recommended that you use Sheet Set Manager to check in sheet set data.

Vault for Microsoft Office

Setting Up the MSG iFilter

Set up Outlook Properties

    After installing the Outlook add-in, it is recommended that a Vault administrator follow the steps to map the following two properties:

  1. In the Vault client go to Tools > Administration > Vault Settings.
  2. Select the Behaviors tab and click on the Properties button.
  3. Click New to create a new User-Defined Property (UDP).
  4. In the Name field type in Email Conversation Topic.
  5. In the Associations field select the category to which emails will be assigned.
  6. You may want to create an Email category prior to creating the property.

  7. On the Mapping tab, select an email file in the Vault or on disk and map the UDP to the Item Name file property.
  8. Click OK.
  9. Repeat steps 3 through 7 to map a Email Sent Date UDP to the Sent Date file property.
  10. Close all Administration dialogs.
  11. Start Outlook and log in to the Vault.
  12. Click the Vault Settings button.
  13. In the Conversation Topic Property field select the Email Conversation Topic UDP.
  14. In the Sent On Property field select the Email Sent Date UDP.
  15. Click OK.
  16. With these property settings, the Outlook add-in treats email conversations as file associations in Vault. You are able to use the Uses and Where Used tabs in the Vault client to view the email thread for all emails checked into Vault.

Microsoft Outlook Add-in Information

  • If you map a calendar folder to a Vault folder, when you accept or decline the request you may be notified that a mail item has been removed in Outlook, and that it should be removed from the Vault.

Autodesk Data Management Server (ADMS)

Autodesk Data Management Server Installation Information

  • Installing Autodesk Data Management Server version 2012 requires all Vault clients to upgrade to the 2012 version.
  • If you have previous Beta Vault products installed on your machine, you will need to uninstall them prior to installing this release.
    1. Uninstall the client software from all machines.
    2. Open the Beta ADMS Console.
    3. Delete all vaults and libraries.
    4. Detach the Knowledge Master vault.
    5. Uninstall ADMS.
    6. Delete the knowledgeVaultMaster database in the SQL data folder.
  • Removing Autodesk Data Management Server will not remove vault data. If you remove Autodesk Data Management Server, the SQL server directory and file stores will remain intact. However, Autodesk strongly recommends backing up all databases and necessary files prior to removing Autodesk Data Management Server.
  • By default Autodesk Data Management Server communicates using port 80. Some installed software running on port 80 can cause conflicts with Autodesk Vault communication. To avoid conflicts when installing the ADMS console, configure ADMS to use an open port between 1 and 65535.
  • Installing ADMS onto a computer that has the Program Files folder compressed is not supported and will cause the install to hang. This is because SQL installations are not supported with this configuration.
  • Vault Server installation will fail if you set .NET Framework Version of DefaultAppPool to v4.0.
  • If you are planning on using Windows authentication with Vault when using Windows Vista or Windows Server 2008, the "Windows Authentication" service for IIS must be installed.
  • When installing the ADMS console on a machine that uses a custom default website and port 80, one of the following steps is recommended:
    • Change the port of the Default Web Site to another number and restart the server installation.
    • Remove the default web site and restart the server installation.

SQL Server Installation Information

  • ADMS installs 32-bit SQL 2008 Express if SQL is not already installed on the system. If 64-bit SQL 2008 Express is desired, download 64-bit SQL 2008 Express from Microsoft and follow the directions in the Vault Advanced Configuration Guide for installing SQL before ADMS.
  • Vault Collaboration can be installed in a SQL cluster environment. Workflows occurring during a failover may be interrupted and may need to be resubmitted.
  • If your computer/domain is set up to require strong/complex passwords, you will not be able to use the default SQL SA password used by the Autodesk installer. Please use the Configuration pages in the Autodesk Data Management Server install to specify an appropriate SA password. Check with your IT administrator to get the requirements for a strong/complex password.
  • Installing SQL onto a computer that has the Program Files folder compressed is not supported and will cause the install to hang.
  • If you encounter a "Performance Counter Registry Hive Consistency Check" error while installing SQL, please see this Microsoft Knowledgebase article: http://support.microsoft.com/kb/300956
  • Autodesk Vault 2012 installs SQL Server 2008 using the Network Service account for SQL services. For security reasons, Microsoft recommends that you do not install SQL Server 2008 on a domain controller. SQL Server 2008 cannot be installed on a domain controller under a local service account or a network service account.

IIS Installation Information

  • After uninstalling IIS from Vista operating systems, the ADMS pre-checks may still fail saying that IIS is not running.
  • If intending to use Windows Authentication when logging into Vault, the Windows Authentication checkbox in IIS must be enabled.
  • When performing an upgrade from a previous release to 2012, the IIS Configuration cannot be modified.

    IMPORTANT: Due to changes in how Vault tracks file dependencies you will need to run the Update File Reference command prior to executing commands such as Copy Design, Move, and Rename. You may run Update File Reference on the files to be acted on immediately prior to running any command that will modify file references in the Vault. However, it is recommended for ease of use that you run Update File References command on the root of the vault immediately after migrating a vault to update file references for all data in the vault. This will not modify your data in any way and is a one time action

  1. As an administrator, log in to the vault and go to Tools > Administration > Vault Settings.
  2. On the Files tab click the Define button to specify working folder options.
  3. In the Default Inventor Project File field select a vault project at the root of the vault. If you are using multiple project files you will need to set this option for each project file before updating the file references for the files in the project's scope.
  4. Click OK and exit out of all the Administration dialogs.
  5. Select the root of the vault ($).
  6. Select Actions > Update File Reference. Updating references may take a while.
Note: File references are also updated on check in, so files checked in using a Vault 2012 client do not need to have file references updated.
  • Detaching a Vault and attaching it to a new server installation, without also attaching the KnowledgeVaultMaster, will lose all non-default users and corresponding data. All detach and subsequent attach cases should include all Vaults as well as the KnowledgeVaultMaster.
  • When migrating large vaults, there may be a long delay before the progress dialog is shown. The delay can exceed 10 minutes depending on the configuration of the vault.
  • Migrating from one OS to another OS when OS formatting (Regional Settings) is different between the two is NOT supported. Prior to upgrading to ADMS 2012, OS formatting on the target server must be changed to match that of the originating server.
  • When performing an in-place upgrade from previous releases of ADMS and Remote Content Libraries, the Content Libraries cannot be installed with ADMS automatically. The ADMS must first be installed and migration completed before Remote Content Libraries can be installed.

ADMS Information

    Property indexing for AutoCAD file types may not work if the AutoCAD based product is installed on the same machine as ADMS. If indexing problems are encountered, a repair on the ADMS Console installation should resolve the issue.

  • Installing an English language Vault client on a non-English language operating system is supported. When installing a non-English Vault client the Vault client language must match the operating system language.
  • It is supported for any language client to communicate with any language ADMS.
  • If the install directory is a non-English directory structure you will not be able to view the help file.
  • Before installing a Vault client, make sure the Beta version of DWF True view has been removed, otherwise the required version of DWF True View cannot be installed by the Client.
  • It is recommended that you allocate the minimum or higher system requirements when running Autodesk Vault 2011 in virtual environments. As virtual environments could cause unexpected consequences Autodesk reserves the right to ask that any customer reported problems be reproduced on a physical machine outside the VMware environment. Autodesk Vault 2012 was tested on VMware ESXi version 4.0.0 and VMware Workstation version 6.5.2.

Vault Client Information

  • Copy Design
    • The last run version of Inventor on your machine will be used for operations in the Vault Client, such as Copy Design. If the last run version of Inventor is older than the version of the files you are changing through the Vault client, then the Vault client will display an error (e.g., if you last ran Inventor 2011 on your computer and then try to do a Copy Design on files last saved in Inventor 2012 the Copy Design will fail).
    • Copy Design on a substitute part results in the new part referencing the original derived assembly.
    • When using Copy Design on an assembly that uses derived components, if you attempt to change the master sketch on one file, it will replace the master sketch on all files referencing the master sketch. It is recommended that you copy all instances. Copying one derived part but reusing another referencing the same master sketch is not supported.
    • All library files may easily be set to Reuse by right clicking on the main assembly and selecting Reuse Library Files.
    • If library files are initially selected to be copied, in order to clear the red paths and proceed you may need to right click on the main assembly and select Reuse Library Files. Alternately you may need to select to reuse, then copy, then reuse the library file multiple times.
  • Properties
    • Important: Due to property system enhancements in 2011 it is recommended that after migration from a pre-2011 Vault, a Re-Index (Latest and Released Versions Only) on each Vault should be run. In order to correctly evaluate compliance, additional information that was previously not indexed from the files is needed.
    • After migrating from a pre-2011 Vault, property mappings that were previously set to be Read will be changed to Bi-directional. User defined properties that have multiple read mappings may become non-compliant because of this behavior change. White papers providing further details about the new property system can be found on the Autodesk website.
  • Reports
    • Legacy report templates from Vault 2010 need manual migration. To migrate the templates, open the legacy report template in the Autodesk Report Template Utility (ReportTemplateAuthoringUtility.exe) found in the client installation directory, and save it in the new Vault 2012 format.
  • Revise
    • When revising a file, it is not possible to revise from a previous revision.

Vault for AutoCAD Products

AutoCAD Add-in Installation Information

    Please see the system requirements and installation instructions for your AutoCAD product for installation information specific to your AutoCAD product.

AutoCAD Add-in Information

  • The Vault ribbon and toolbar may be missing when launching AutoCAD and AutoCAD-based products from the same installation but using different profiles. To restore the Vault ribbon and toolbar, enter CUILOAD and load the "VaAc.cuix" file from the respective locations:
    • For Windows XP - C:\Documents and Settings\ [username] \Application Data\Autodesk\ [product name] \R18.1\ [lang] \Support
    • For Windows 7 and Vista - C:\Users\ [username] \AppData\Roaming\Autodesk\ [product name] \R18.1\ [lang] \Support
  • Folder Check-in

    • The following methods may be used with Folder Check In on large folders if problems occur:
      • Add sub-folders individually. To do this, first break down the main folder into sub-folders. Then set the working folder to the top most folder. This will maintain the folder structure and file relationships after check-in.
      • Increase the number of GDI handles. Please see this Microsoft article for instructions. Seek assistance from your Administrator if you are not familiar with Registry settings.
    • The following are restrictions on Folder Check In of DXF files from within AutoCAD based products:
      • DXF files with attachments cannot be checked into the Vault (be it within or outside working folder).
      • Only single DXF files without attachments can be checked into the Vault if they are placed within the working folder. The user will be prompted to save the DXF file upon every Check-in.
      • DXF files will not be checked into the Vault when checking in a folder containing DXF files from outside working folder.
      • DXF files will be checked into the Vault when checking in a folder containing DXF files from within the working folder. In this case, DXF files with attachments will be checked in but all file relationships will be lost.
  • Sheet Sets and Sheet Set Manager (SSM)

    • The Vault sheet set integration is only available in AutoCAD 2012 products.
    • The Check in Folder command does not support sheet sets.
    • Property write-back is not supported on sheet set files.
    • The Vault sheet set manager integration does not support offline editing of sheet set files.
    • Setting the security permission to read deny on sheet set data files or folders is not supported.
    • The sheet set property 'Sheet set data file' cannot be mapped as a Vault user-defined property. Instead use the 'File Name' Vault system property.
    • Renaming a sheet set in Sheet Set Manager will not update corresponding folder and file names in Vault, though all folders and files will resolve correctly.
    • Renaming or moving sheet set data files or folders in Vault is not supported and will result in Sheet Set Manager not reflecting the changes.
    • Using Drag and Drop to sort subsets and sheets in SSM may move its corresponding data file to another sheet set folder in the Vault.
    • To convert vaulted DST files to DSS format:
      1. Download the DST file to your working folder.
      2. Open the DST file in Sheet Set Manager from your working folder.
      3. Check the file into Vault.
      4. The DST file is converted to DSS format upon check-in.

    • Sheet Set Manager can only manage ownership of files. To manage ownership of a folder use the Vault client.
    • To change the Sheet Set automatic Check In visualization attachment options:
      1. Exit AutoCAD.
      2. Open the file 'Preferences.xml' at '%appdata%\Autodesk\AutoCAD 2012 Vault AddIn\Objects' with any text editor.
      3. Under the respective AutoCAD profile 'CheckIn On Auto Checkin SheetSet Options', look for '<Property Name="DWF Option" Value="No DWF" />'.
      4. Replace "No DWF", the default value, with "Create DWF locally" to create visualization during Check In or "Create DWF using Job Server" to send to Job Server.

AutoCAD

  • Files with point cloud attachments are not supported. If checked in, the file will lose its association to the point cloud attachment.
  • Files with PDF attachments are not supported. If checked in, the file will lose its association to the PDF attachment.

AutoCAD Civil 3D

  • For additional information related to the Vault integration for AutoCAD Civil 3D, please refer to the AutoCAD Civil 3D Readme and Help.
  • When using Vault Workgroup, Collaboration, or Professional with AutoCAD Civil 3D, a configuration file must be imported into every Vault database which will be accessed from a Civil 3D client. The configuration file is named Civil3D_Vault_Configuration.cfg and can be found in these locations:
    • On 32-bit Operating Systems: C:\Program Files\Autodesk\ [ADMS Release] \Custom Configuration.
    • On 64-bit Operating Systems: C:\Program Files (x86)\Autodesk\ [ADMS Release] \Custom Configuration.

AutoCAD Mechanical

  • Editing AutoCAD Mechanical files which contain structure components using Vault client operations may result in AutoCAD Mechanical prompting that the file was last edited outside of AutoCAD Mechanical. This is expected behavior and the prompt may be dismissed by clicking the Yes button.
  • External references need to be saved in order to be checked into the Vault.

Vault for Inventor Products

Inventor Add-in Installation Information

  • Please see the system requirements and installation instructions for your Inventor product for installation information specific to your Inventor product.
  • The Inventor Vault add-in is installed with the Inventor installation. The server that the user logs into will determine the Inventor-Vault add-in functionality that is made available. For example, logging into an Autodesk Vault Professional server will populate Autodesk Vault Professional features.

Inventor Add-in Information

  • Inventor assemblies that are checked in with an active LOD will not have Detail IDs extracted.
  • When using substitutes, it is strongly recommended that all data be created within the working folder. If the data was created outside of the working folder and then added to a Vault, it is recommended you open the file from Vault, dirty the file, and then save and check in all assemblies before performing any other Vault operations.
  • After renaming iPart or iAssembly members, Vault may prompt about iPart Factories being unavailable on the local disk when opening Assemblies from Vault Explorer . Choosing Yes or No to the prompt will correctly open the file in Inventor.
  • Reference IDs will not be created for Substitute Parts when the master assembly is uploaded to Vault using "Check In Project". The Update File References command should be executed in Vault Explorer to get Reference IDs created for Substitute Parts.
  • The Vault browser will show that a file has been edited in memory for iPart Factories and iAssembly Factories if any members were renamed in Vault Explorer

Vault for Revit Products

Revit Add-in Information

  • The Revit workflow for workshared projects does not require a Check-Out. The add commands from the Revit add-in will create new versions of the selected files by automatically performing a check out/in. (The files must be checked in.)
  • Relationships are created with files that are preexisting in the Vault. Adding two related files at the same time does not create a relationship. After both files exist in Vault, creating a new version of the parent file with the Revit add-in will create a relationship.
  • Support for workshared project files requires the folder property 'SharePath' to be properly configured.
  • The Revit add commands do not change the read/write state of local files. This behavior is unique to the Revit add-in.
  • When working with workshared project files it is not recommended to Get/Check Out from Vault. Updated versions of local files should be created from the central project file.
  • When working with local non-workshared Revit project files, they may be checked out of Vault using the Vault Client. If the project file is checked out it must be checked in through the Vault client. The add-in add commands to not apply to checked out files.

Autoloader

Supported Data Formats

  • Autoloader supports Inventor R10 and newer data.
  • Autoloader supports AutoCAD R14 (and AutoCAD R14 products) and newer data.

Upload Recommendations

  • Follow these guidelines for autoloading data in to the Vault:
    • If autoloading Inventor files and not publishing DWF files, upload in batches no greater than 30,000 files.
    • If autoloading Inventor files and publishing DWF files, upload in batches no greater than 20,000 files.
    • If autoloading AutoCAD or DWG files without publishing DWF, upload in batches no greater than 50,000 files.
    • If autoloading AutoCAD or DWG files and publishing DWF, upload in batches no greater than 30,000 files.
  • Close as many applications as possible while autoloading data.
  • Autoloader copies all files which will be uploaded to a temporary folder on the system that is running Autoloader. Therefore, enough free space must be available to accommodate the duplication of the files. If publishing DWF or DWFX files, enough space must also be available to accommodate the visualization files as well.

Autoloader Information

  • Prior to autoloading data, it is strongly recommended that you fully backup all vaults.
  • In order to use Autoloader, you must disable Enforce Unique File Names in the Vault.
  • The Upload Report generated after files have been uploaded can only be viewed on the machine which created the report.
  • On a Windows Vista machine, the User Account Control (UAC) may prevent the successful publishing of DWF files while using the Autoloader.
  • Autoloader requires that Inventor 2011 or Inventor 2012 be installed (and be the last version of Inventor run) as well as a Vault 2012 product be installed on the same system as Autoloader to upload Inventor files.
  • If Inventor needs to re-register with the operating system while Autoloader is running, Inventor's re-registration process may cause Autoloader to close. Be sure to save all Scan and Upload reports prior to starting Inventor with Autoloader running.
  • In order to publish visualization files (DWF or DWFx) for Inventor iparts, Autoloader requires that Microsoft Office Excel 2003 or newer is installed.
  • It is required that all Inventor files be uploaded into the same folder in the vault. By default this folder is named Designs, but you may change the name by using the Rename button. You may only change the name if you have not yet uploaded any files to the Designs folder.
  • If Direct 3D 9 is installed on your machine, it is recommended that you change the Inventor hardware setting to any value other than Direct 3D prior to doing DWF or DWFX publishing in Autoloader.
  • AutoCAD file types may be uploaded to any folder in the Vault.
  • AutoCAD Electrical files, AutoCAD Mechanical files, and Mechanical Desktop files will all be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of file relationships.
  • Sheet Set Data will be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of sheet set relationships. It is recommended that you use Sheet Set Manager to check in sheet set data.

Vault for Microsoft Office

Setting Up the MSG iFilter

Setting Up Outlook Properties

    After installing the Outlook add-in, it is recommended that a Vault administrator follow the steps to map the following two properties:

  1. In the Vault client go to Tools > Administration > Vault Settings.
  2. Select the Behaviors tab and click on the Properties button.
  3. Click New to create a new User-Defined Property (UDP).
  4. In the Name field type in Email Conversation Topic.
  5. In the Associations field select the category to which emails will be assigned.
    • You may want to create an Email category prior to creating the property.
  6. On the Mapping tab, select an email file in the Vault or on disk and map the UDP to the Item Name file property.
  7. Click OK.
  8. Repeat steps 3 through 7 to map a Email Sent Date UDP to the Sent Date file property.
  9. Close all Administration dialogs.
  10. Start Outlook and log in to the Vault.
  11. Click the Vault Settings button.
  12. In the Conversation Topic Property field select the Email Conversation Topic UDP.
  13. In the Sent On Property field select the Email Sent Date UDP.
  14. Click OK.
  15. With these property settings, the Outlook add-in will treat email conversations as file associations in Vault. You will be able to use the Uses and Where Used tabs in the Vault client to view the email thread for all emails checked into Vault.

Microsoft Outlook Add-in Information

  • If you map a calendar folder to a Vault folder, when you accept or decline the request you may be notified that a mail item has been removed in Outlook, and that it should be removed from the Vault.
  • If you notice system performance is being impacted after installing the MSG iFilter, please see the Help documentation for information on changing the indexing options to improve performance.

  • When installing Office SharePoint Integration, ensure that Office SharePoint Server Search Services Status is started. You can start it in SharePoint Central administration -> Operations ->Services on Server.
  • If installing Autodesk Data Management Server on the same machine as Microsoft Office SharePoint Server 2007, a pre-check error will be given in regards to a conflict with port 80. To resolve this pre-check failure you can configure ADMS to use an open port between 1 and 65535.
  • Ensure that Shared Services have been created in SharePoint Server before installing the SharePoint Integration. If there is more than one Shared Service on your Server, this installation is installed to all of the services.
  • If both Autodesk Data Management Server and Autodesk Office SharePoint Configuration have been installed on the same computer, you will need to repair the Autodesk Office SharePoint Configuration installation after the Autodesk Data Management Server is uninstalled.
  • If the Autodesk Data Management Server and Microsoft Office SharePoint Server 2007 are installed on the same machine, the location of the iFilters cannot be changed while installing the SharePoint Integration.
  • To configure SharePoint with search settings:
    1. Open the Shared Services Administration in SharePoint Central Administration.
    2. Select the Shared Services that you want to configure.
    3. Open the home page for this Shared Services Administration (e.g., Shared Services 1).
    4. Open the Configure Search Setting page.
    5. Click content sources and crawl schedules to open the Manage Content Sources Page.
    6. Start all crawls.

Autodesk Data Management Server (ADMS)

Autodesk Data Management Server Installation

  • Autodesk strongly recommends logging into Windows with non-domain local administrator account (generally user name <Administrator>, not a user account with administrative privlidges), disabling firewalls, windows defender and Anti-Virus applications prior to beginning the installation of Autodesk data management server.
  • Installing Autodesk Data Management Server version 2012 requires all Vault clients to upgrade to the 2012 version.
  • If you have previous Beta Vault products installed on your machine, you will need to uninstall them prior to installing this release.
    1. Uninstall the client software from all machines.
    2. Open the Beta ADMS Console.
    3. Delete all vaults and libraries.
    4. Detach the Knowledge Master vault.
    5. Uninstall ADMS.
    6. Delete the knowledgeVaultMaster database in the SQL data folder.
  • Removing Autodesk Data Management Server will not remove vault data. If you remove Autodesk Data Management Server, the SQL server directory and file stores will remain intact. However, Autodesk

    strongly recommends backing up all databases and necessary files prior to removing Autodesk Data Management Server.

  • By default Autodesk Data Management Server communicates using port 80. Some installed software running on port 80 can cause conflicts with Autodesk Vault communication. To avoid conflicts when installing the ADMS console, configure ADMS to use an open port between 1 and 65535.
  • Installing ADMS onto a computer that has the Program Files folder compressed is not supported and will cause the install to hang. This is because SQL installations are not supported with this configuration.
  • Vault Server installation will fail if you set .NET Framework Version of DefaultAppPool to v4.0.
  • If you are planning on using Windows authentication within Vault Professional when using Windows Vista or Windows Server 2008, the "Windows Authentication" service for IIS must be installed.
  • When installing the ADMS console on a machine that uses a custom default website and port 80, one of the following steps is recommended:
    • Change the port of the Default Web Site to another number and restart the server installation.
    • Remove the default web site and restart the server installation.

SQL Server Installation Information

  • ADMS installs 32-bit SQL 2008 Express if SQL is not already installed on the system. If 64-bit SQL 2008 Express is desired, download 64-bit SQL 2008 Express from Microsoft and follow the directions in the Vault Advanced Configuration Guide for installing SQL before ADMS.
  • Vault Professional can be installed in a SQL cluster environment. Workflows occurring during a failover may be interrupted and may need to be resubmitted.
  • If your computer/domain is set up to require strong/complex passwords, you will not be able to use the default SQL SA password used by the Autodesk installer. Please use the Configuration pages in the Autodesk Data Management Server install to specify an appropriate SA password. Check with your IT administrator to get the requirements for a strong/complex password.
  • Installing SQL onto a computer that has the Program Files folder compressed is not supported and will cause the install to hang.
  • If you encounter a "Performance Counter Registry Hive Consistency Check" error while installing SQL, please see this Microsoft Knowledgebase article: http://support.microsoft.com/kb/300956
  • Autodesk Vault 2012 installs SQL Server 2008 using the Network Service account for SQL services. For security reasons, Microsoft recommends that you do not install SQL Server 2008 on a domain controller. SQL Server 2008 cannot be installed on a domain controller under a local service account or a network service account.

IIS Installation Information

  • After uninstalling IIS from Vista operating systems, the ADMS pre-checks may still fail saying that IIS is not running.
  • If intending to use Windows Authentication when logging into Vault, the Windows Authentication checkbox in IIS must be enabled.
  • When performing an upgrade from a previous release to 2012, the IIS Configuration cannot be modified.

  • IMPORTANT: Due to changes in how Vault tracks file dependencies you will need to run the Update File Reference command prior to executing commands such as Copy Design, Move, and Rename. You may run Update File Reference on the files to be acted on immediately prior to running any command that will modify file references in the Vault. However, it is recommended for ease of use that you run Update File References command on the root of the vault immediately after migrating a vault to update file references for all data in the vault. This will not modify your data in any way and is a one time action.
    1. As an administrator, log in to the vault and go to Tools > Administration > Vault Settings.
    2. On the Files tab click the Define button to specify working folder options.
    3. In the Default Inventor Project File field select a vault project at the root of the vault. If you are using multiple project files you will need to set this option for each project file before updating the file references for the files in the project's scope.
    4. Click OK and exit out of all the Administration dialogs.
    5. Select the root of the vault ($).
    6. Select Actions > Update File Reference. Updating references may take a while.
      Note: File references are also updated on check in, so files checked in using a Vault 2012 client do not need to have file references updated.
  • Detaching a Vault and attaching it to a new server installation, without also attaching the KnowledgeVaultMaster, will lose all non-default users and corresponding data. All detach and subsequent attach cases should include all Vaults as well as the KnowledgeVaultMaster.
  • When migrating large vaults, there may be a long delay before the progress dialog is shown. The delay can exceed 10 minutes depending on the configuration of the vault.
  • Migrating from one OS to another OS when OS formatting (Regional Settings) is different between the two is NOT supported. Prior to upgrading to ADMS 2012, OS formatting on the target server must be changed to match that of the originating server.
  • When performing an in-place upgrade from previous releases of ADMS and Remote Content Libraries, the Content Libraries cannot be installed with ADMS automatically. The ADMS must first be installed and migration completed before Remote Content Libraries can be installed.

ADMS Information

    Property indexing for AutoCAD file types may not work if the AutoCAD based product is installed on the same machine as ADMS. If indexing problems are encountered, a repair on the ADMS Console installation should resolve the issue.

Vault Client Installation

  • .Net 4.0 must be installed prior to installing the Vault client. If you do not yet have .Net 4.0 installed you may need to cancel the Vault client installation and follow these steps:
    1. Navigate to the Vault client installation media in Windows Explorer.
    2. Navigate to the support\dotnetfx folder on the installation media.
    3. Run dotNetFx40_Full_x86_x64.exe.
    4. Once installation of .Net 4.0 is complete, restart the Vault client installation.
  • It is recommended that you start Autodesk Design Review after installation and check for any updates.
  • Autodesk Vault 2012 supports side-by-side client installations with Autodesk Vault 2010 and Autodesk Vault 2011.
  • An English version of Autodesk Design Review 2012 is included in Vault client products for Russian, Polish, Czech, Hungarian, and Traditional Chinese.
  • An English version of Autodesk DWG TrueView 2012 is included in all Vault client products for all languages except Japanese and French.
  • Localized Autodesk Vault CAD add-ins should be installed into an environment with the same language CAD application. Autodesk does not support mixed locales between the CAD application and Autodesk Vault except for Korean (KOR) and Spanish (SPN). Autodesk supports English (ENU) language CAD addins with KOR and SPN languages of the CAD application. To install the clients with a supported mixed locale in the correct order, proceed with the following steps:
    1. Install the CAD application (with a localized Autodesk Vault 2012 client).
    2. Install the English Vault client.
  • Installing an English language Vault client on a non-English language operating system is supported. When installing a non-English Vault client the Vault client language must match the operating system language.
  • It is supported for any language client to communicate with any language ADMS.
  • If the install directory is a non-English directory structure you will not be able to view the help file.
  • Before installing a Vault client, make sure the Beta version of DWF True view has been removed, otherwise the required version of DWF True View cannot be installed by the Client.
  • It is recommended that you allocate the minimum or higher system requirements when running Autodesk Vault 2011 in virtual environments. As virtual environments could cause unexpected consequences Autodesk reserves the right to ask that any customer reported problems be reproduced on a physical machine outside the VMware environment. Autodesk Vault 2012 was tested on VMware ESXi version 4.0.0 and VMware Workstation version 6.5.2.

Vault Client Information

  • Copy Design
    • The last run version of Inventor on your machine will be used for operations in the Vault Client, such as Copy Design. If the last run version of Inventor is older than the version of the files you are changing through the Vault client, then the Vault client will display an error (e.g., if you last ran Inventor 2011 on your computer and then try to do a Copy Design on files last saved in Inventor 2012 the Copy Design will fail).
    • Copy Design on a substitute part results in the new part referencing the original derived assembly.
    • When using Copy Design on an assembly that uses derived components, if you attempt to change the master sketch on one file, it will replace the master sketch on all files referencing the master sketch. It is recommended that you copy all instances. Copying one derived part but reusing another referencing the same master sketch is not supported.
    • All library files may easily be set to Reuse by right clicking on the main assembly and selecting Reuse Library Files.
    • If library files are initially selected to be copied, in order to clear the red paths and proceed you may need to right click on the main assembly and select Reuse Library Files. Alternately you may need to select to reuse, then copy, then reuse the library file multiple times.
  • Items
    • Effectivity no longer controls the display of Item bill of materials. An Item revision's bill of material was displayed in previous releases of Vault as of the last instant the revision was the most effective revision. In Vault Professional 2012, the Item revision's bill of material will be displayed as of the last instant it was the latest released revision.
    • Upon migration to Vault Professional 2012, any item links to structured components and part references in AutoCAD Mechanical files and virtual parts in Inventor files will be migrated from Primary, Secondary, or Standard Component links to Primary Subcomponent or Secondary Subcomponent links. Please see the in product Help or the Vault WikiHelp for more information on the new Subcomponent link types.
    • Subcomponent links created to an existing item will always create Secondary subcomponent links.
    • The new Get\Check Out functionality for Items will only get the latest version of primary or primary subcomponent linked files. Additionally, if you run Get\Check Out on an assembly item, only the file relationships of the primary linked assembly file will be used to download files. If additional changes have been made in the bill of materials for the item, they will not be reflected in the downloaded data.
    • Updating an item will only update the unpinned file attachment versions for the item being updated. Any child items being updated as a result will not have their file attachment versions updated. You will need to update those items individually.
  • Properties
    • Important: Due to property system enhancements in 2011 it is recommended that after migration from a pre-2011 Vault, a Re-Index (Latest and Released Versions Only) on each Vault should be run. In order to correctly evaluate compliance, additional information that was previously not indexed from the files is needed.
    • After migrating from a pre-2011 Vault, property mappings that were previously set to be Read will be changed to Bi-directional. User defined properties that have multiple read mappings may become non-compliant because of this behavior change. White papers providing further details about the new property system can be found on the Autodesk website.
  • Reports
    • Legacy report templates from Vault 2010 need manual migration. To migrate the templates, open the legacy report template in the Autodesk Report Template Utility (ReportTemplateAuthoringUtility.exe) found in the client installation directory, and save it in the new Vault 2012 format
  • Revise
    • When revising a file, it is not possible to revise from a previous revision.

Vault for AutoCAD Products

AutoCAD Add-in Installation Information

    Please see the system requirements and installation instructions for your AutoCAD product for installation information specific to your AutoCAD product.

AutoCAD Add-in Information

  • The Vault ribbon and toolbar may be missing when launching AutoCAD and AutoCAD-based products from the same installation but using different profiles. To restore the Vault ribbon and toolbar, enter CUILOAD and load the "VaAc.cuix" file from the respective locations:
    • For Windows XP - C:\Documents and Settings\ [username] \Application Data\Autodesk\ [product name] \R18.1\ [lang] \Support
    • For Windows 7 and Vista - C:\Users\ [username] \AppData\Roaming\Autodesk\ [product name] \R18.1\ [lang] \Support

AutoCAD Add-in Information

  • Folder Check-in

    • The following methods may be used with Folder Check In on large folders if problems occur:
      • Add sub-folders individually. To do this, first break down the main folder into sub-folders. Then set the working folder to the top most folder. This will maintain the folder structure and file relationships after check-in.
      • Increase the number of GDI handles. Please see this Microsoft article for instructions. Seek assistance from your Administrator if you are not familiar with Registry settings.
    • The following are restrictions on Folder Check In of DXF files from within AutoCAD based products:
      • DXF files with attachments cannot be checked into the Vault (be it within or outside working folder).
      • Only single DXF files without attachments can be checked into the Vault if they are placed within the working folder. The user will be prompted to save the DXF file upon every Check-in.
      • DXF files will not be checked into the Vault when checking in a folder containing DXF files from outside working folder.
      • DXF files will be checked into the Vault when checking in a folder containing DXF files from within the working folder. In this case, DXF files with attachments will be checked in but all file relationships will be lost.
  • Sheet Sets and Sheet Set Manager (SSM)

    • The Vault sheet set integration is only available in AutoCAD 2012 products.
    • The Check in Folder command does not support sheet sets.
    • Property write-back is not supported on sheet set files.
    • The Vault sheet set manager integration does not support offline editing of sheet set files.
    • Setting the security permission to read deny on sheet set data files or folders is not supported.
    • The sheet set property 'Sheet set data file' cannot be mapped as a Vault user-defined property. Instead use the 'File Name' Vault system property.
    • Renaming a sheet set in Sheet Set Manager will not update corresponding folder and file names in Vault, though all folders and files will resolve correctly.
    • Renaming or moving sheet set data files or folders in Vault is not supported and will result in Sheet Set Manager not reflecting the changes.
    • Using Drag and Drop to sort subsets and sheets in SSM may move its corresponding data file to another sheet set folder in the Vault.
    • To convert vaulted DST files to DSS format:
      1. Download the DST file to your working folder.
      2. Open the DST file in Sheet Set Manager from your working folder.
      3. Check the file into Vault.

      The DST file will be converted to DSS format upon check-in.

    • Sheet Set Manager can only manage ownership of files. To manage ownership of a folder use the Vault client.
    • To change the Sheet Set automatic Check In visualization attachment options:
      1. Exit AutoCAD.
      2. Open the file 'Preferences.xml' at '%appdata%\Autodesk\AutoCAD 2012 Vault AddIn\Objects' with any text editor.
      3. Under the respective AutoCAD profile 'CheckIn On Auto Checkin SheetSet Options', look for '<Property Name="DWF Option" Value="No DWF" />'.
      4. Replace "No DWF", the default value, with "Create DWF locally" to create visualization during Check In or "Create DWF using Job Server" to send to Job Server.
  • AutoCAD

    • Files with point cloud attachments are not supported. If checked in, the file will lose its association to the point cloud attachment.
    • Files with PDF attachments are not supported. If checked in, the file will lose its association to the PDF attachment.
  • AutoCAD Civil 3D

    • For additional information related to the Vault integration for AutoCAD Civil 3D, please refer to the AutoCAD Civil 3D Readme and Help.
    • When using Vault Workgroup, Collaboration, or Professional with AutoCAD Civil 3D, a configuration file must be imported into every Vault database which will be accessed from a Civil 3D client. The configuration file is named Civil3D_Vault_Configuration.cfg and can be found in these locations:
      • On 32-bit Operating Systems: C:\Program Files\Autodesk\ [ADMS Release] \Custom Configuration.
      • On 64-bit Operating Systems: C:\Program Files (x86)\Autodesk\ [ADMS Release] \Custom Configuration.
  • AutoCAD Mechanical

    • Editing AutoCAD Mechanical files which contain structure components using Vault client operations may result in AutoCAD Mechanical prompting that the file was last edited outside of AutoCAD Mechanical. This is expected behavior and the prompt may be dismissed by clicking the Yes button.
    • External references need to be saved in order to be checked into the Vault.

Vault for Inventor Products

Inventor Add-in Installation Information

  • Please see the system requirements and installation instructions for your Inventor product for installation information specific to your Inventor product.
  • The Inventor Vault add-in is installed with the Inventor installation. The server that the user logs into will determine the Inventor-Vault add-in functionality that is made available. For example, logging into an Autodesk Vault Professional server will populate Autodesk Vault Professional features.

Inventor Add-in Information

  • Inventor assemblies that are checked in with an active LOD will not have Detail IDs extracted.
  • When using substitutes, it is strongly recommended that all data be created within the working folder. If the data was created outside of the working folder and then added to a Vault, it is recommended you open the file from Vault, dirty the file, and then save and check in all assemblies before performing any other Vault operations.
  • After renaming iPart or iAssembly members, Vault may prompt about iPart Factories being unavailable on the local disk when opening Assemblies from Vault Explorer . Choosing Yes or No to the prompt will correctly open the file in Inventor.
  • Reference IDs will not be created for Substitute Parts when the master assembly is uploaded to Vault using "Check In Project". The Update File References command should be executed in Vault Explorer to get Reference IDs created for Substitute Parts.
  • The Vault browser will show that a file has been edited in memory for iPart Factories and iAssembly Factories if any members were renamed in Vault Explorer.

Vault for Revit Products

  • The Revit workflow for workshared projects does not require a Check-Out. The add commands from the Revit add-in will create new versions of the selected files by automatically performing a check out/in. (The files must be checked in.)
  • Relationships are created with files that are preexisting in the Vault. Adding two related files at the same time does not create a relationship. After both files exist in Vault, creating a new version of the parent file with the Revit add-in will create a relationship.
  • Support for workshared project files requires the folder property 'SharePath' to be properly configured.
  • The Revit add commands do not change the read/write state of local files. This behavior is unique to the Revit add-in.
  • When working with workshared project files it is not recommended to Get/Check Out from Vault. Updated versions of local files should be created from the central project file.
  • When working with local non-workshared Revit project files, they may be checked out of Vault using the Vault Client. If the project file is checked out it must be checked in through the Vault client. The add-in add commands to not apply to checked out files.

Autoloader

Supported Data Formats

  • Autoloader supports Inventor R10 and newer data.
  • Autoloader supports AutoCAD R14 (and AutoCAD R14 products) and newer data.

Upload Recommendations

  • Follow these guidelines for autoloading data in to the Vault:
    • If autoloading Inventor files and not publishing DWF files, upload in batches no greater than 30,000 files.
    • If autoloading Inventor files and publishing DWF files, upload in batches no greater than 20,000 files.
    • If autoloading AutoCAD or DWG files without publishing DWF, upload in batches no greater than 50,000 files.
    • If autoloading AutoCAD or DWG files and publishing DWF, upload in batches no greater than 30,000 files.
  • Close as many applications as possible while autoloading data.
  • Autoloader copies all files which will be uploaded to a temporary folder on the system that is running Autoloader. Therefore, enough free space must be available to accommodate the duplication of the files. If publishing DWF or DWFX files, enough space must also be available to accommodate the visualization files as well.

Autoloader Information

  • Prior to autoloading data, it is strongly recommended that you fully backup all vaults.
  • In order to use Autoloader, you must disable Enforce Unique File Names in the Vault.
  • The Upload Report generated after files have been uploaded can only be viewed on the machine which created the report.
  • On a Windows Vista machine, the User Account Control (UAC) may prevent the successful publishing of DWF files while using the Autoloader.
  • Autoloader requires that Inventor 2011 or Inventor 2012 be installed (and be the last version of Inventor run) as well as a Vault 2012 product be installed on the same system as Autoloader to upload Inventor files.
  • If Inventor needs to re-register with the operating system while Autoloader is running, Inventor's re-registration process may cause Autoloader to close. Be sure to save all Scan and Upload reports prior to starting Inventor with Autoloader running.
  • In order to publish visualization files (DWF or DWFx) for Inventor iparts, Autoloader requires that Microsoft Office Excel 2003 or newer is installed.
  • It is required that all Inventor files be uploaded into the same folder in the vault. By default this folder is named Designs, but you may change the name by using the Rename button. You may only change the name if you have not yet uploaded any files to the Designs folder.
  • If Direct 3D 9 is installed on your machine, it is recommended that you change the Inventor hardware setting to any value other than Direct 3D prior to doing DWF or DWFX publishing in Autoloader.
  • AutoCAD file types may be uploaded to any folder in the Vault.
  • AutoCAD Electrical files, AutoCAD Mechanical files, and Mechanical Desktop files will all be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of file relationships.
  • Sheet Set Data will be uploaded to the vault as vanilla AutoCAD files. This may result in the loss of sheet set relationships. It is recommended that you use Sheet Set Manager to check in sheet set data.

Vault for Microsoft Office

Setting Up the MSG iFilter

Set up Outlook Properties

    After installing the Outlook add-in, it is recommended that a Vault administrator follow the steps to map the following two properties:

  1. In the Vault client go to Tools > Administration > Vault Settings.
  2. Select the Behaviors tab and click on the Properties button.
  3. Click New to create a new User-Defined Property (UDP).
  4. In the Name field type in Email Conversation Topic.
  5. In the Associations field select the category to which emails will be assigned.
  6. You may want to create an Email category prior to creating the property.

  7. On the Mapping tab, select an email file in the Vault or on disk and map the UDP to the Item Name file property.
  8. Click OK.
  9. Repeat steps 3 through 7 to map a Email Sent Date UDP to the Sent Date file property.
  10. Close all Administration dialogs.
  11. Start Outlook and log in to the Vault.
  12. Click the Vault Settings button.
  13. In the Conversation Topic Property field select the Email Conversation Topic UDP.
  14. In the Sent On Property field select the Email Sent Date UDP.
  15. Click OK.
  16. With these property settings, the Outlook add-in treats email conversations as file associations in Vault. You are able to use the Uses and Where Used tabs in the Vault client to view the email thread for all emails checked into Vault.

Microsoft Outlook Add-in Information

  • If you map a calendar folder to a Vault folder, when you accept or decline the request you may be notified that a mail item has been removed in Outlook, and that it should be removed from the Vault.
  • If you notice system performance is being impacted after installing the MSG iFilter, please see the Help documentation for information on changing the indexing options to improve performance.

  • When installing Office SharePoint Integration, ensure that Office SharePoint Server Search Services Status is started. You can start it in SharePoint Central administration -> Operations ->Services on Server.
  • If installing Autodesk Data Management Server on the same machine as Microsoft Office SharePoint Server 2007, a pre-check error will be given in regards to a conflict with port 80. To resolve this pre-check failure you can configure ADMS to use an open port between 1 and 65535.
  • Ensure that Shared Services have been created in SharePoint Server before installing the SharePoint Integration. If there is more than one Shared Service on your Server, this installation is installed to all of the services.
  • If both Autodesk Data Management Server and Autodesk Office SharePoint Configuration have been installed on the same computer, you will need to repair the Autodesk Office SharePoint Configuration installation after the Autodesk Data Management Server is uninstalled.
  • If the Autodesk Data Management Server and Microsoft Office SharePoint Server 2007 are installed on the same machine, the location of the iFilters cannot be changed while installing the SharePoint Integration.
  • To configure SharePoint with search settings:
    1. Open the Shared Services Administration in SharePoint Central Administration.
    2. Select the Shared Services that you want to configure.
    3. Open the home page for this Shared Services Administration (e.g., Shared Services 1).
    4. Open the Configure Search Setting page.
    5. Click content sources and crawl schedules to open the Manage Content Sources Page.
    6. Start all crawls.
