Configure how duplicate items are handled or whether BOM rows are automatically turned on or not during item assignment or item update on the Configure Assign Item dialog. You can also disable item assignment for design documents.
Configure Item Assignment Behaviors
- Go to

- Select the Items tab.
- Click Configure in the Assign Item section to open the Configure Assign Item dialog.
- Select whether you want Vault to automatically select the first duplicate item in a list and assign it to the selected file. If you do not select this option, a new item is created instead.
If this option is selected, child BOM Components will attempt to link to an existing item using the Equivalence Value property.
Note: Standard components will always attempt to link to an existing item.
- Select the Allow user override check box if you want the user to be able to choose a duplicate item other than the one automatically selected by Vault.
- If you want to configure how BOM Rows are turned on during Item Assignment, select one of the following options:
- None–Components that link to existing items are not turned on. All new item rows are turned off.
Note: This is the default setting for new vaults.
- Existing Only–Components that link to existing items are turned on. Components not linked to items remain as BOM components.
- All–Components that do not link to existing items have new items created for them. All new rows are turned on.
Note: This is the default setting for Vaults migrated from Vault 2014 or earlier releases.
Note: These rules apply until a row is linked to an item. Once a row has an item identified, rows are not turned on or off during subsequent updates.
- Select Group BOM rows as per the design BOM if you want BOM rows merged or unmerged based on how the CAD application has them.
If the check box is not selected, BOM rows are automatically merged, regardless of how the CAD application has them.
For example, if Inventor has BOM rows unmerged and the check box is not selected, the rows are automatically merged in Vault regardless of how Inventor has them.
Note: BOM rows that were merged are displayed in the BOM view with a Merged
icon.
- Select the type of link that you want Vault to create for subcomponents during an Assign/Update event.
Note: The selection applies only to new subcomponent links. Existing links are not updated.

- Select Disable assignment for Design Document files if you want to disable the ability to assign item to design files such as .idw files. If this option is checked, design files will only be linked to the Items for which they represent.
- When this option is not set, an IDW is set to tertiary when the primary is set to the model.
- When this option is not set, and an IDW is a primary link, in this case, if this option is set afterward, you are no longer able to update the item. You need to set the model to the primary link first.
- Select Block Assign Item if file has no Item Data to prevent items from being assigned to CAD files that can have item data but do not yet have any.
This option is selected by default.
- Click OK to save your changes.
