Map Vault and Fusion Manage states

Configure state mapping to sync life cycle states between Vault and Fusion Manage. When you add a synced Item from Vault to a change order in Fusion Manage and move it to a mapped workflow state, Vault updates the Item and file to the mapped life cycle state. You can open the State Mappings tab only when property mapping has at least one mapping.

  1. Access the Vault Connector configuration dialog:

    Navigate to Tools > Administration > Vault Settings, then select the Collaborate tab and click Configure in the Vault Connector Management section.

  2. Navigate to the State Mappings tab:

    In the Vault Connector configuration dialog, click the State Mappings tab.

  3. Select a Fusion Manage change workspace:

    Select the change workspace from Fusion Manage. You can map only one change workspace. Use the same change workspace for all state mappings.

  4. Add a new state mapping:

    • Select either a transition or a state to map. You must always select one of these options when you add a new mapping.

    • To map a transition:

      • Select the Use FM state transitions checkbox to enable automatic state transitions in Fusion Manage.
      • When enabled, state changes follow the workflow transitions defined in Fusion Manage.
      • From the From and To dropdowns, specify the allowed state transitions.
    • To map a state:

      • Clear the Use FM state transitions checkbox.
      • Select the state from the To dropdown.
    • Select Actions.

      Based on the actions you select, select the matching Item or File life cycle and states. If you select only Change Item State in Actions, the file life cycle selection is disabled.

    • From the Vault Item or File life cycle state dropdown, select the Vault life cycle state or file state.

    • Enter a unique name for the state mapping.

    • (Optional) Enter a description for the state mapping.

    • Click Add.

      The mapping displays in the state mapping table with columns showing Mapping Name, Description, and Vault Actions.

  5. (Optional) Copy a state mapping:

    • Select the row in the state mapping table that you want to copy.

    • Click Copy.

    • Edit the state mapping name for the copied state mapping.

      When you click Copy, the mapping name shows as xxxx-copy in the state mapping table.

    • (Optional) Enter a description for the copied state mapping.

  6. (Optional) Remove a state mapping:

    • Select the row in the state mapping table that you want to remove.
    • Click the Remove button.
  7. (Optional) Replace an existing state mapping:

    • Select the row in the state mapping table that you want to modify.
    • Update the mapping fields.
    • Click the Replace button.
  8. Save the state mapping configuration:

    Click Apply to save your configuration.

    The Vault Connector now syncs state changes between Vault and Fusion Manage based on your mappings.

Change order sync interval: The interval for syncing change order state updates from Fusion Manage back to Vault is set in the Connector appsettings.json file (SyncChangeOrderInterval). If you change this value, you must restart the Autodesk Vault Connector Service for the new interval to take effect.

State mapping errors

When you change the Fusion Manage tenant, the Vault Connector clears all state mappings.

When you change the Change Workspace, a dialog asks you to keep or discard your state mappings. If you keep the mappings, you must update any missing states. If you click OK without fixing the missing states, an error dialog lists:
