Form Section Assignees

Section assignees in forms lets you assign each section to a company, role, or member. This can be helpful for ensuring the right people are assigned to completing their relevant sections. You can also require sections to be completed in sequential order to ensure a specific workflow is followed.

Set up Section Assignees

  1. When editing a form template, toggle on Section assignees.

    Note:
    • Section assignees can only be enabled at the project level. This setting is not yet available in the Library or project templates.
    • An assignee is required for each section when Section assignees is enabled.

  2. (Optional) Toggle on Require sections to be completed in sequential order. When this is enabled, the numbered sections must be completed in the order they appear in the form. This can be useful for forms that track a sequence of steps such as after framing is complete, mechanical, plumbing, and electrical needs to be checked in order before walls are closed up.

  3. In the Assignee field of each section, click to select a company, member, or role from the drop-down menu.

How Section Assignees Work in Forms

Notifications

After a form is created, section assignees will receive notifications that there are sections assigned to them in a new form.

If sequential order is turned on, only one section can be edited at a time. Assignees will be notified accordingly when their section is ready.

Assignee View

Assignees can always view the entire form. However, they can only edit and submit the sections assigned to them and if applicable, only the section that is currently editable if sequential order is turned on.

Viewers of the form can see the status of each section by clicking See more details in the banner at the top of the form.

An assignee will see a You label next to their assigned section in the left panel. The section that can be edited will have a blue You label and sections that can't be edited will have a gray You label.

Note: Once a section assignee completes their section, that section is no longer editable while the form is in progress.

Change Section Assignees

Section assignees can also be changed while a form is in progress. Any member assigned to the section or a form template manager can make changes. A section can be reassigned to any editors on the form.

Assignees can click the Pencil icon next to the Assigned field and select a new assignee. Only editors on the form can be selected as new assignees.

Tip: A form template manager can add editors to the template if a member, role, or company doesn't appear in the drop-down menu to reassign. When the form updates, the new member, role, or company will then appear as an option.

Section Assignees on Returned Forms

If a form requires a review, a form reviewer can choose which specific sections to return and the corresponding section assignees will be notified that their sections have been returned for edits.

If sequential order is turned on, the sections must still be filled out in order when returned.
