Form Templates in Library

Form templates are one of the content types that can be created in Library for Autodesk Build. Creating, editing, and archiving your form templates in the Library tool allows you to manage standard form templates that can be added to all your projects and project templates.

Create a Form Template in Library

Account administrators can create form templates in Library for their account. Templates in the library can be added to projects or project templates.

  1. In Account Admin, click Library in the left navigation.

  2. Select the Forms card.

  3. Click Create form template to open the form template builder or click the arrow and select Import form templates to import from existing projects or templates.

    • Create form template: The process for creating a form template in the Library is similar to form template creation in the Forms tool, expect the process is slightly different when setting permissions. Learn more about creating form templates

      In Library, you can choose to turn on the ability to manage a form template's permission from the Library. When the setting is turned on, a template's permissions can't be changed by individual teams in the projects that use this template. This gives you more control over how form templates are used by your team.

      Note: Individual teams can't remove, but they can add more to the permissions, such as adding individual editors. Learn more about how Library form templates appear in projects
      1. If you do not want to set permissions in Library, after clicking Save on the template, in the Set up permissions for the workflow window, click Save to finish creating your template.

      2. If you do want to set permissions in Library, toggle on Manage template permissions from the Library.

      3. Confirm by clicking Enable.

      4. Select the contributor collaboration mode, editors, reviewers, viewers, and managers as desired.

        Note: Section assignees are not available in form templates created in the Library.
      5. Click Save.

    • Import form templates: When importing, you first need to select an Autodesk Construction Cloud project or project template. Then you can proceed to pick form templates within that project or template.

      Note: The list of projects will display your first 200 projects sorted alphabetically by name. If you can't find your project, you can edit the name to appear higher in the list. For example, start with a number, 1 - Migrate Form Template Project.
Tip:

To import templates from BIM 360 or PlanGrid into the Library, first import them into a project or project template in Autodesk Construction Cloud. Learn how in Import Form Templates. Once they are in a project or project template, you can follow the previous steps to import into the Library.

Forms in Library Settings

Account administrators can choose whether to allow project administrators to pull form templates from the Library.

  1. In Account Admin, navigate to Forms in Library.

  2. Click Settings in the top right corner.

  3. Toggle on to allow project administrators to import form templates from the Library.

Note: When form templates are imported from the Library by project administrators, that will be count toward the Added to column on the Forms page for each template.

Add Form Templates to Projects and Project Templates in Library

Account administrators can add form templates from Library to one or more projects and project templates in an account. Form templates added to a project template will appear in all projects created from that project template.

  1. In Account Admin, click Library in the left navigation.

  2. In the Forms tab, click the form template and in the panel that appears to the right, click Add to.

  3. This will take you to the Manage usage page and default to the Not Added to tab. This page shows a list of projects and project templates that the form template has not been added to. You can:

    • Search by name or browse the list.
    • Use Filters to only show projects or project templates or click the toggle in Settings to narrow down the list to only the projects and project templates you've selected.
  4. Select projects and templates that you want to add the form template to.

  5. Click Add to.

  6. A confirmation modal will then display the projects or project templates that you have selected for the form template to be added to. To confirm, click Add.

  7. You will be taken back to the Manage usage page. The projects and project templates you have selected will have a processing message in the Status column.

  8. If you do not navigate away, a success banner will be displayed when the process is complete. Click Done.

    If you navigate away from the Manage usage page you will still be notified of a successful completion. There will also be a progress indicator on the Forms page, in the row of your chosen form template, under the Added to column.

The Added to column in the Forms tab will now show you the number of projects or project templates that form template has been added to.

Remove Form Templates from Projects and Project Templates in Library

  1. In Account Admin, navigate to the Forms tab in the Library tool.

  2. Click the number in the Added to column.

  3. Make selections and click Remove from.

  4. A confirmation modal will then display the projects or project templates that you have selected for the form template to be removed from. To confirm, click Remove.

  5. You will be taken back to the Manage usage page. The projects and project templates you have selected will have a processing message in the Status column.

  6. If you do not navigate away, a success banner will be displayed when the removal is complete. Click Done.

    If you navigate away from the Manage usage page you will still be notified of a successful completion. There will also be a progress indicator on the Forms page, in the row of your chosen form template, under the Added to column.

Note: As a second access point for removing a project or project template, click the form template. In the panel that appears, click the More menu to Remove from or Archive. If there are no projects or project templates added to the form template, the Archive action will not be available but the Remove from option will.

Edit a Form Template in Library

Account administrators can edit an existing form template in Library and publish the update to all projects and project templates currently using the form template.

  1. In Account Admin, click Library in the left navigation.

  2. In the Forms tab, click the desired form template in the list to open the form template details panel.

  3. Click Edit to open the template builder and edit the template.

  4. Click Save to save changes.

If the form template being updated has already been added to projects or project templates, saving automatically updates the form template for all projects and project templates. You'll receive a banner notification asking if you want to save; click Save and update projects to confirm.

The template is now updated in Library and in all projects and project templates where it appears.

Duplicate a Form Template in Library

  1. In the Library, choose the form template you would like to archive from the Forms tab.

  2. In the panel that appears, click the More menu and choose Make a copy from the drop-down list.

A copy will immediately be made. In the success message, you can click Edit copied template to edit the copy you made.

Archiving and Restoring Form Templates in Library

  1. In the Library, choose the form template you would like to archive from the Forms tab.

  2. In the panel that appears, click the More menu and choose Archive from the drop-down list.

  3. In the pop-up window, click Archive.

  4. The Form Template will still appear in the Added to column but will be listed as Archived. When templates are archived at the form template level, they are also archived in any projects where they exist.

  5. Archived form templates can be restored. To restore, select a form template and in the panel on the right, click Restore.

  6. Click Restore. That form template is added back to all projects that it was previously in.

Manage Template Permissions in Library

You can manage a form template's permissions in Library so that the permissions are locked when the form templates are in projects or templates. Individual teams using the form templates in projects or templates won't be able to change the permissions you set.

You can edit any form template to manage the permissions in Library. To do so:

  1. Select a form template in Forms in Library.

  2. In the flyout panel, click Modify permissions.

  3. Click to toggle on Manage template permissions from the Library.

  4. Confirm by clicking Enable.

    Important: If this form template is added to any projects or templates, the new permissions you set here in the Library will override downstream into all of those projects and templates.
  5. Select the contributor collaboration mode, editors, reviewers, viewers, and managers as desired. You can review the different types of modes in Collaboration Models in Forms and the permission levels in Form Statuses and Permissions.

    Note: Section assignees are not available in form templates created in the Library.
  6. Click Save.

  7. Confirm by clicking Save and update.

Using a Form Template from Library in a Project

In projects with Autodesk Build, administrators can find form templates in the Templates tab in the Forms tool.

Import from ACC library

Any form templates from the Library will have an icon next to the name. Hovering over the icon reveals a tip explaining that the template is managed by the account and cannot be edited in the Forms tool.

If the permissions are managed in the Library, there will be a banner notifying your team when they try to edit it. Individual teams can add upon your permissions, such as adding editors, reviewers, or managers. However, they can't remove anything you set or adjust settings like whether adding or removing a review step or allowing viewers to see forms before they're submitted.
