Manage viewable translations of documents

In Upchain, you can manage virtually any type of file as a document within a project. However, only some file types may be viewed in the PDF Viewer. Therefore, you may associate a document that is compatible with the PDF viewer to another document so that it acts like its "translation". This enables you to view a version of the document in the PDF Viewer while still managing the original in Upchain.

For example, if you want to share an Adobe Illustrator file with your team, you may add the .AI file as the original document and then attach a translation such as a PDF or image file.

Important notes regarding document translations

The following information about translations should be noted as you read through the rest of this topic.

Attach a translation to a project document

Attach a translation for a document in Upchain Web from a project's Documents tab in one of two ways:

Attach a translation using Import Viewable Files

  1. Use your preferred method to create the document's translation.
  2. In Upchain, beside the document with which you want to associate a viewable translation, click more actions (more actions) and select the Import Viewable Files.
  3. In the Add Translations dialog, click Add Documents.
  4. In the file explorer, navigate to the location of the translation file and click Open.
  5. Click OK.

The translation is added to the Linked documents and translations section of the original document's details pane.

Attach a translation using the Import new translation button

  1. Use your preferred method to create the document's translation.
  2. In Upchain, locate the document you want to associate a translation to and select it to open its details pane.
  3. Open the Linked documents and translations Linked documents and translations icon tab.
  4. In the Translations section, click Import new translation add icon.
  5. In the Add Documents window, click Add Documents.
  6. In the file explorer, navigate to the location of the translation file and click Open.
  7. Click OK.

The translation is added to the Linked documents and translations section of the original document's details pane.

Attach a translation to a document associated with a CR or CN

If a change request (CR) or change notice (CN) has a document associated with it, you may follow these steps to attach a translation to the original document.

Note: Translations must be attached before starting the CR's/CN's workflow and the document must still be in a Draft state.
  1. Locate and open the CR/CN.
  2. Open the Documents documents tab tab of the CR/CN.
  3. Locate and click the document to open its details pane.1. Open the Linked documents and translations Linked documents and translations icon tab.
  4. In the Translations section, click Import new translation add icon.
  5. In the Add Documents window, click Add Documents.
  6. In the file explorer, navigate to the location of the translation file and click Open.
  7. Click OK.

The translation is added to the Linked documents and translations section of the original document's details pane.

View a translation

  1. Locate the document in the project, CR, or CN and click it.

    The document details pane opens.

  2. Open the Linked documents and translations Linked documents and translations icon tab.

  3. In the Translations section, locate the translation you want to view.

  4. (Optional) Click the version drop-down list to see all available versions listed from latest to earliest and select the required version from the drop-down list.

  5. Click View view.

    The chosen version of the translation opens in the PDF Viewer.

Download a translation

  1. Locate the document in the project, CR, or CN and click it.

    The document details pane opens.

  2. Open the Linked documents and translations Linked documents and translations icon tab.

  3. In the Translations section, locate the translation you want to download.

  4. (Optional) Click the version drop-down list to see all available versions listed from latest to earliest and select the required version from the drop-down list.

  5. Click Download download.

  6. Depending on your browser, you may choose where to save the translation.

    The chosen version of the translation is downloaded to your computer.

Clone a translation

When a document is cloned, a duplicate version is created with a new document number. When the original document is cloned, its translations are cloned along with it. If there are multiple versions of the translation, only the latest version of the translation is cloned. If a document has multiple translations then the latest version of each translation is cloned along with the document.

Remove a translation

Important: If there are multiple versions of a translation, then these are all removed.
  1. Locate the document in the project, CR, or CN and click it.

    The document details pane opens.

  2. Open the Linked documents and translations Linked documents and translations icon tab.

  3. In the Translations section, locate the translation you want to remove and place your pointer over the translation's name.

  4. Click Remove translation removeTranslation.png that appears to the left side of the translation's name.

  5. In the Confirm dialog, click OK.

    The translation and all of its versions are removed from Upchain.
