Install Autodesk Vault Office

The Microsoft Office add-in for Autodesk Vault enables direct access to Vault from Word, Excel or PowerPoint documents.

Autodesk Vault Office enables Vault functionality for use within Microsoft Office applications to connect to a Vault server as well as enabling additional functionality in the Vault Web client.

Installation Instructions

The instructions in this section help you prepare for your Vault Office installation and install the Vault Office server and client components.

Preparing for your Vault Office Installation

  • The Vault Office installer needs to be run on the Vault Server and any client machines that want to use Vault Office.
    • Vault Office 2014 installs additional functionality on the Vault Server enabling new functionality in the Vault Web client.
    • Vault Office 2014 installs Vault Add-Ins for supported Microsoft Office applications on client machines.
  • It is not recommended that you have the Vault 2014 Client and Vault Office 2014 on the same machine.
  • A Vault Workgroup or Vault Professional 2014 server must be installed prior to running the Vault Office 2014 installer on a server machine.
  • If you wish to uninstall a Vault server after Vault Office 2014 has been installed, you must uninstall Vault Office 2014 first before uninstalling the Vault 2014 server.
  • If you will be working with files larger than 50MB, you must modify your web.config file. Otherwise if you attempt to check in a file larger than 50MB you will see an Error 404. To modify your web.config file:
    1. Edit the web.config file located in the C:\Program Files (x86)\Autodesk\ADMS Professional 2014\Server\Web\Webclient folder.
    2. Search for maxRequestLength.
    3. Change 512000 to a larger value.
    4. Save the file.

Part 1: Install Vault Office 2014 on the Vault 2014 Server

  1. On your Vault server, navigate to C:\Program Files (x86)\Autodesk\ADMS [edition] 2014\Server\Web\Webclient (or your equivalent custom installation directory) and backup the web.config file.
  2. Download and extract the Vault Office 2014 download package.
  3. Run Setup.exe.
  4. On the Configure Installation page select Autodesk Vault Office 2014 (Server).

  5. By default the Vault Office server is installed to C:\Program Files (x86)\Autodesk\Vault Office 2014 (Server). Click the Browse button to select a different location.
  6. Click Install.

Part 2: Install Vault Office 2014 on the Vault 2014 Client Machine

  1. Download and extract the Vault Office 2014 download package to a client machine with one or more supported Microsoft Office applications.
  2. Run Setup.exe.
  3. On the Configure Installation page select Autodesk Vault Office - MS Office Add-ins 2014 (Client).
  4. To select which Vault Office add-ins should be installed, open the configuration page.
  5. Select Custom and check the add-ins you wish to install.
  6. Close the configuration page.
  7. By default the Vault Office client is installed to C:\Program Files (x86)\Autodesk\Vault Office 2014 (Client). Click the Browse button to select a different location.
  8. Click Install.

Post-Installation Tasks

Once you have installed Vault Office 2014, you must make sure that your Microsoft Office products are ready to use the add-in. If you want to use Vault with Microsoft Outlook, additional configuration steps are required.

General Microsoft Office Application Tasks

  • For best results, we recommend installing all available updates and service packs for your version of Microsoft Office.
  • If you cannot install Vault for Microsoft Office, you may need to install certain Microsoft Updates. Please see Technical Solution TS1072986 for detailed information.
  • Note: Refer to Using Vault Office for more information about Vault Office functionality.

Configure Microsoft Outlook for Use with Vault

Follow the instructions in this section to configure Microsoft Outlook for use with Vault.

Step 1: Install the Vault Add-in for Microsoft Outlook

  • The Microsoft Outlook add-in is not automatically installed. You must expand the client settings during the Vault client installation and select to install the Outlook add-in.
  • For best results, we recommend installing all available updates and service packs for your version of Microsoft Outlook.

Step 2: Set up the MSG iFilter

    In order to extract file properties from Outlook emails you must first install and set up the MSG iFilter on all client machines and the machine which is running ADMS.

  • Windows 8
    • For Windows 8, the MSG iFilter for Outlook is provided by the operating system itself.
  • Windows 7, 2008, and Vista Platforms
  • Note: If you notice that system performance is impacted after installing the MSG iFilter, please see Perform Vault Maintenance for information on changing the indexing options to improve performance.

Step 3: Set Up Outlook Properties

    After installing the Outlook add-in, it is recommended that a Vault administrator follow the steps to map the following two properties:

  1. In the Vault client go to Tools > Administration > Vault Settings.
  2. Select the Behaviors tab and click on the Properties button.
  3. Click New to create a new User-Defined Property (UDP).
  4. In the Name field type in Email Conversation Topic.
  5. In the Associations field select the category to which emails will be assigned.
    • You may want to create an Email category prior to creating the property.
  6. On the Mapping tab, select an email file in the Vault or on disk and map the UDP to the Item Name file property.
  7. Click OK.
  8. Repeat steps 3 through 7 to map an Email Sent Date UDP to the Sent Date file property.
  9. Close all Administration dialogs.
  10. Start Outlook and log in to the Vault.
  11. Click the Vault Settings button.
  12. In the Conversation Topic Property field select the Email Conversation Topic UDP.
  13. In the Sent On Property field select the Email Sent Date UDP.
  14. Click OK.
  15. With these property settings, the Outlook add-in will treat email conversations as file associations in Vault. You will be able to use the Uses and Where Used tabs in the Vault client to view the email thread for all emails checked into Vault.
