Work with Microsoft® 365 Files

You can work with Microsoft® 365 files in the Files tool.

Folder Permissions

Project members require the relevant folder permissions to work with Microsoft® 365 files in the Files tool:

  • Upload permission or above: Add new Microsoft® 365 files to the relevant folder in the Files tool.
  • View permission or above: View Microsoft® 365 files.
  • Edit permission or above: Edit Microsoft® 365 files. Multiple members can edit the same file at the same time (coauthoring).

Restrictions

In accordance with Microsoft's terms for the CSPP Program, customers and end users in certain countries are prohibited from viewing and editing Microsoft® 365 files managed within the Files tool. These countries include: Cuba, Iran, North Korea, Sudan, Syria, Region of Crimea, Russia, Hong Kong, and the People’s Republic of China.

Microsoft® 365 and the Files tool do not support Microsoft’s Government Community Cloud (GCC) environment, and are not intended to be used by end customers who need to comply with FedRAMP, export control, IRS 1075 or CJIS obligations (which could also include, for example, various contractors holding or processing data on behalf of the US Government).

Important: If users are restricted and can't view or edit Microsoft® 365 files in the Files tool, they can download the relevant files instead and view and edit them locally.

Edit File Requirements

To edit files, you must:

  • Have Edit permissions or above for the relevant folder.
  • Allow third-party cookies in your browser or *.officeapps.live.com must be allowed in the browser cookie list.
  • Not be subject to any restrictions detailed above.

There are differences in the capabilities available between browser and desktop applications. The following Microsoft® articles outline the differences:

Editing can be done as a single or group editing session.

Edit a Word or PowerPoint File

  1. Click a Word or PowerPoint file in Files.

  2. To open edit mode:

    • Word: Click Edit.
    • PowerPoint: Click Edit in browser
  1. Make the desired changes.

    Ensure the status bar at the top says Saved before you exit the editing session or changes may be lost.

Edit an Excel File

  1. Select an Excel file in Files.

  2. Click the Viewing drop-down and select Editing.

  3. Make the desired changes.

    Ensure the status bar at the top says Saved before you exit the editing session or changes may be lost.

Exit the Editing Session

  1. Click the drop-down next to Saved

  2. Select:

    • Return: To go back to the file viewer
    • Autodesk Docs: To go back to the Files tool

Important:

  • The file is versioned after an editing session is closed. The version may take time to appear in Files. If you go to Autodesk Docs after exiting an editing session, the version number may not be updated. Refresh the browser to show the updated the file version number and edited content.
  • A file has a while it is being edited. Other people with edit permissions can still edit the file.
  • When multiple people are editing, the edit session remains open until everyone has exited.
  • Enter an editing session to see the editors that are keeping the session from ending.
  • If a file is in the process of versioning it can't be opened. When the version is complete the file can be opened again.
  • Excel files can be a maximum of 25MB for online viewing and editing. Larger files can be stored in the Files tool, but must be downloaded to view and edit.
