Getting Started

The Resource Planning views enable your studio to easily and effectively visualize and optimize the utilization of Artist resources on your team, so you can confidently complete creative work on time and on budget.

Resource Planning views take your existing production data and empower you to:

  • View the capacity (the total Artist resources available for creative work over time, in person-days) for the Artists on your team
  • View the workload (the amount of work planned over time, in person days) for the Artists on your team
  • Compare capacity and workload at the Studio, Department and individual Artist levels
  • Easily rebalance overbooked and underbooked Artists
  • Work with live data
  • Export data

Two steps need to happen for your studio to start benefiting from the Resource Planning views:

1. Configure the necessary one-time settings for your site (permissions required):

  • Create Departments and link Pipeline steps to them
  • Configure the formula for the Workload field
  • Set the Site Preferences for Scheduling and Resource Planning
  • Configure permissions to see the Resource Planning views

2. Establish the ongoing capacity for all the Artists on your team:

  • Set the Status for each Artist
  • Assign Artists to Departments
  • Set the % Capacity of each person dedicated to creative work
  • Define Studio and Project working days using Work Schedules
  • Create Project Bookings and set % Allocation for each Artist
  • Create Artist Vacations using either Work Schedules or Bookings
  • Create Contracts

We’ll cover these steps in more detail in the following sections.

Once your site is setup, the Resource Planning charts are computed using:

  • Capacity: People, Work Schedules, Bookings, and Contracts
  • Workload: Scheduled Tasks (Duration and Workload fields)
