Subscription Manager

Important:

The Subscription Manager is designed to manage users within the current site only. If your organization owns multiple sites, then this tool cannot provide a consolidated view of subscriptions across all these sites. If you need assistance to identify users that are consuming a subscription without being assigned to a Flow Production Tracking site, please contact our support team.

You can view and manage your team subscription details with the Subscription Manager, available in the Apps menu under ADMIN TOOLS. Use the Subscription Manager to view what subscription type is assigned to each user, and change this assignment as required.

Note:

You will need to have the Access admin functionality permission enabled for users to update subscription information.

  • With a trial site: You can add up to 50 users to your trial from the People Page and review trial seats available with the Subscription Manager.

  • With purchased subscriptions: You can add users from the People Page and dive deeper into subscription details with the Subscription Manager.

Assigning a subscription to an account

The Subscription Manager displays the subscription types assigned to users, and lets you to manage these subscriptions. With it you can, for example, move your users from a Trial subscription to a Standard one.

To assign a subscription:

  1. In Flow Production Tracking, select Apps > Subscription Manager.

  2. In the Subscription Manager, open the Subscription menu for the user and select a subscription.

To remove a subscription from a user:

  1. In Flow Production Tracking, select Apps > Subscription Manager.
  2. In the Subscription Manager, open the Subscription menu for the user.
  3. Select None.
Important:

Assigning None disables the user in Flow Production Tracking and they cannot sign in your site anymore.

Multiple roles for an account

The Subscription Manager lists the Autodesk Account of the users invited to the Flow Production Tracking site.

Sometimes, an Autodesk Account can be assigned multiple Flow Production Tracking roles. This is why the Subscription Manager also displays the actual Flow Production Tracking roles assigned to each Autodesk Account. When you assign a user a license, you also decide what roles are enabled with the license.

A user can only have one type of subscription. For example, if you switch a user from a Not for resale subscription to a Standard one, all their roles switch to using a Standard subscription.

In the following example, the Autodesk Account Annie Page is assigned the roles of Admin, Artist, Vendor, and Manager. All these roles are disabled, as indicated by a disabled role icon.

Note:

The enabled/disabled state of a user's role always matches the status displayed in the People Page.

To select the roles for an account:

  1. In the Subscription Manager, open the Subscription menu for the user and select a subscription type.

  2. Select the roles to enable.

To reset or change the roles enabled for a user:

  1. In the Subscription Manager, open the Subscription menu for the user and select None.

    This resets the subscription and disables all roles.

  2. You can now assign a new subscription type and then select the roles to enable.

Important:

A user consumes only one license, no matter how many roles are enabled. In the previous example, Annie Page consumes only one Flow Production Tracking license even if they have multiple roles enabled.

Solving subscription issues

Use the Subscription Manager to solve subscriptions issues.

Subscription error found

If any of the users are currently showing errors in the Subscription Type column, you are locked out from using the Subscription Manager. The following banner is displayed.

To solve subscription assignment errors:

  1. Click Resolve Subscription Errors.

  2. In the Subscription Manager Error Handler, browse the user list and address all the reported errors in the Reason column.

  3. Once you've fixed all the errors, click Resolve.

    Now that there are no errors, you regain access to the Subscription Manager.

Note:

Repeat the operation until no error remains. If you cannot fix some subscription errors, contact support.

Possible subscription errors and solutions

Error Description Solution
Invalid subscription icon Invalid subscription: The currently assigned subscription is invalid. This can be a lapsed subscription, or a switch of subscription type. Assign another subscription to the user.
Multiple subscriptions assigned icon Multiple subscriptions assigned: There's more than one subscription assigned to the user. Select the subscription to keep.
General synchronization issue icon General synchronization issues: Something went wrong when synchronizing the user's Autodesk Account and Flow Production Tracking. Keep the assigned subscription or select another one.
Something's wrong Something's wrong: The user is somehow assigned a Flow Production Tracking license, but that same user is somehow flagged as inactive. Confirm that the currently assigned subscription is the correct one.

In cases where you access the Subscription Manager and you do not have the right permissions, the following banner is displayed.

You need to be administrator to manage subscriptions. Change role, or ask for an administrator to edit the subscriptions.
