Documents tab

The Documents documents tab tab lists all documents associated with the selected item. Documents are added to one of the existing document categories or specification types, or one of their sub-folders.

Note: Documents added in the item are only visible from this tab in the item details pane. If you want a document more widely visible for the project, add the document to the Documents section of a project.

Add a folder

Note: You cannot add a folder to the following categories in the specification types section: CBOM, Drawing, and Translations. These are managed from the CAD plugin.
  1. Click more actions actions icon next to the document category or specification type to which you want to add a folder.
  2. Click Add folder.
  3. In the New Folder pop-up window, enter the folder's name.
  4. Click Create.
    • The new folder is added as a sub-folder to your selected Documents category or Specification documents category.

Add a document

Note: You cannot manually add a document under the following specification type sections: CBOM, Drawing, and Translations. These are managed from the CAD plugin. When the item has a CAD model these are stored in the CBOM folder; when the item has drawings these are stored in the Drawing folder; and if the model has translations, these are stored in the Translations folders.
  1. Click more actions actions icon next to the document category, specification type, or folder to which you want to add a document.

  2. Click Add document.

  3. In the Add Documents pop-up window, click Add Documents.

    An explorer window opens. Navigate to your document's location and click Open.

  4. Click OK.

The selected document is added to the selected category or folder.

View a document's details

  1. Click more actions actions icon next to the document.
  2. Select View details.

A dialog opens that shows the document's attributes. This is where you can view and manage the document's attributes and set a document's workflow to publish it.

Open the document in the PDF Viewer

  1. Click more actions actions icon.
  2. Select Open PDF Viewer.

If the file type is supported, the document is loaded into the PDF Viewer.

Download a document from a document category

  1. Click more actions actions icon.
  2. Select Download.
Note: It is the latest version of the document that is downloaded. You cannot download any previous versions.

Download a document from a specification type

  1. Click Download download beside to the document you want to download.

    The Download files window opens.

  2. Select the Document version you want to download from the drop-down at the top.

  3. Give the zip file a name. The default is item number-major revision-minor revision.version.

  4. Click Download.

Your files are zipped together and downloaded to your chosen location.

Check out a document

  1. Click more actions actions icon.
  2. Select Check out.
  3. Choose a location on your computer to download the document to and click Save.

The document is now locked to you for editing and saved to your chosen location.

Important: Be sure that the document is downloaded and saved with the exact same name as how it is saved in Upchain. This is to enable you to check the document back in.

Check in a document

  1. Click more actions actions icon.

  2. Select Check in.

  3. In the Check in window, click Select document.

  4. Locate the document on your computer and click Open.

    Upchain detects if changes have occured to the document and promts you to enter a change description.

  5. Click OK.

The document is now checked in. A new version of the document is created and the check out lock is removed from the document.

Perform additional actions on a document

You may archive, follow, clone, move, remove, and rename a document. Select the more actions icon (actions_icon.png) to perform any of these actions.
