Manage a project quantity reduction

It may be the case that after you have ordered your assembly, you need to reduce the quantity of certain items, perhaps due to requirements or costs. In this case, you have not removed the item completely from your Project BOM but you now have more than what you need and the H quantity is larger than the P quantity.

You can see that excess quantities have been ordered from your Project Management dashboard. The items with excess quantities are highlighted in red and have a percentage value higher than 100%.

Requirements

Items that you want to return must:

  • Exist or have historically existed within the same End item as the End Item sent to the change notice (CN) you're about to create.
  • Have had an H quantity recorded against it (ie. the CN workflow contains the System primitive with Type configured as Create mbom and clear locks and it successfully completed).
Note: You cannot create a CN for more than 40000 items. This includes items that are to be redistributed or returned.

To return excess items:

  1. Send the item with excess quantity to a new change notice.

    A new CN is created. Notice that the H Qty column shows a higher value than the P Qty column for items that were reduced.

    Note: Rows are highlighted with a red warning symbol (quantity warning) to indicate that (P Qty - H Qty) does not match (R Qty + Move Qty) for the selected items.
  2. Select the box beside the item with excess quantity.

    This populates the R Qty column with the correct negative quantity to return any items where the H quantity is higher than the P quantity.

  3. (Optional) Insert a note beside each item you are returning.

  4. (Optional) Select any other items that need to be ordered (or returned) at this time.

  5. Ensure the CN Type is set to Regular Requisition.

  6. Choose a workflow from the Workflow drop-down list and click Save.

  7. Start the workflow.

Once the workflow has been completed, the Requisitioned column on the Project Management dashboard updates to show the items have been 100% Requisitioned.

Note: When creating a CN, the P quantities shown are a snapshot of the BOM quantities at the time of CN creation. However, as soon as you click Edit, the CN refreshes the information shown and the P quantities may change if another user has updated BOM quantities in the meantime.
Note: You may find it useful to use the CN Description, Notes, or Disposition column to give a more detailed explanation of the purpose of this CN. This can then be passed onto your procurement team so they have a better understanding of how to deal with this new CN.
