Manage an activity's lifecycle

An activity may have one of these four states:

  • Draft - the activity may be modified.
  • In Progress - the activity has started and is being completed by the Assignee.
  • Pending - the activity has been marked as completed by the Assignee and is awaiting approval from the task creator.
  • Complete - the activity has been approved by the task creator and the activity is complete.

Work on an activity

When you're ready for work to begin on an activity, you may edit the activity and update its status as you go.

A task's lifecycle may be managed with a workflow. The workflow selected upon task creation dictates the states that the task will go through. You may change a task's workflow as many times as you want before the workflow is started while the task is still in Draft.

Note: Out of the three project management activity types, only Tasks have workflows. Milestones and Stage gates must have their status manually updated. See Create and manage activities.

To start its workflow, navigate to the project management interface, select the task, then click the workflow button in its detail view. Alternatively, you may start a task within your CAD or Office plugin.

Once the workflow is started, the task's status changes to In Progress.

Claim an activity

If the activity has been assigned to a role or team, any project team member with that role or is a member of that team may claim the task to begin working on it. Once claimed, that team member is the only one that may complete it.

To claim a task:

  1. Select the activity you want to claim.

    The activity detail view opens.

  2. Click Claim this task.

The activity is now assigned to you and you may now begin working on it.

Note: The Tenant Administrator can reassign a task to another user.

Submit a task for review

When you have finished working on an assigned task, you may move it to the next stage of the workflow. Navigate to the project management interface, select the task, and click the appropriate workflow button in its detail view. Alternatively, you may progress a task from within a CAD or Office plugin.

Once the workflow progresses, the task's status changes to Pending. The task creator has the option to review the work and mark the review as complete.

Complete a task

When you're done reviewing a task, you may complete its workflow. Navigate to the project management interface, select the task, and click the workflow button in its detail view. Alternatively, you may complete a task within your CAD or Office plugin.

Once the workflow finishes, the task's status changes to Completed.
