Activity 2: Use a change order to release to Pre-Production

In this activity, you'll explore the purpose of a change order (CO). You'll then send the Wireless Speaker model through a change order to release it to Pre-Production. Finally, you'll view the Manage properties of the model and notice how they have changed now that the item has been released.

Important:
  • It is assumed that you are performing these tutorials in your production environment. Therefore, we recommend that you read through the relevant help pages and activities so that you know what the result will be before creating or modifying anything.
  • A change template is mandatory when creating a change request and change order. Therefore, in order for you to complete this and other tutorials, you must either be given access to create your own change template or use one that someone else has created. The specified change coordinator in the change template must then assist you in completing your tutorials. Speak to your team and administrator to determine the best approach to complete these tutorials.
  • The activities in this tutorial assume the chosen change template matches the one created in Admin Tutorial 4.

Prerequisites

Before you can complete this activity, you must complete Activity 1.

Steps

  1. Familiarize yourself with the purpose of a change order.

    1. Read the help on change orders.
  2. Observe the current Manage properties of the Wireless Speaker.

    1. Open the Fusion desktop client.

    2. Open the Wireless Speaker assembly for which you have assigned an item number in the previous tutorial.

    3. Open the properties of the model.

    4. Scroll down to the Manage section.

      Notice that the Lifecycle is Unreleased and the State is Working.

  3. Send the Wireless Speaker and all of its components except the Speaker Body Main Brace component to a change order.

    1. From the Browser, highlight each component (except the Speaker Body Main Brace) as well as the Wireless Speaker.

      Tip: Press and hold the Ctrl key while you select items from the bottom up.
    2. From the Manage tab, click Release with Change Order.

    3. Ensure the Wireless Speaker assembly with all its components except the Speaker Body Main Brace component is selected, then click Create CO.

      Note: If any components didn't have an assigned item number, it would be assigned now.
  4. Configure summary details for the CO.

    1. Enter a value for the Title, for example Release Wireless Speaker to Pre-Production.

    2. In the Description field, enter more information regarding the CO, for example Preliminary release of Wireless Speaker.

    3. From the Change Template drop-down, select an appropriate change template.

      If one does not exist, you might be able to create one if you have the correct permissions. Click the Quick Create create change template icon to create one. See Tutorial 4: Change templates for steps on how to create a change template that is used for these tutorial examples.

    4. Optionally set the Priority as Medium. This can help prioritize work when there are multiple COs to manage.

    5. Optionally, click the Change Reason Code drop-down list and select Initial Release. This can help to categorize COs.

    6. Click Save.

      Note: Expand the Stakeholders section. Notice that the Coordinator field has been populated with the CO Coordinator value that was set in the change template. In the Approvals & Confirmation section, notice that the Required CCB Approvers has been populated with the CO Approvers value that was set in the change template.
  5. Set the lifecycle to Pre-Production for the selected components.

    1. In the Affected Items tab, click Save, then click Bulk Lifecycle Change.

    2. Select Lifecycle Transitions as Go to Pre-Production.

    3. Click Update.

    4. Click Save.

      Note: At this point, if you chose a change template that contains tasks that were copied into this CO, you must remove them before you can submit the CO for review. Locate tasks in the Task Planning tab, select each one, then click Remove.

  6. Send the CO for review by the change control board (CCB), and then approve it.

    1. Open the Approval Workflow tab and note the change order workflow.

    2. Click the Submit to CCB (Fast Track) transition. Alternatively, from the Workflow Actions drop-down menu, select Submit to CCB (Fast Track).

    3. Optionally enter a comment, then click Confirm.

      The CO is now at the Change Control Board Review state. The items inside the CO are now locked. Any further edits to the items will not be picked up by this CO.

    4. While the CO is in the Change Control Board Review state, click the Approve workflow action.

      Note: Only the people specified in the change template in the CO Approver field can approve a CO.
    5. Optionally enter a comment, then click Confirm.

    6. Close the Change Order window.

      The items contained in the change order are now released to pre-production. Let's confirm this.

  7. Observe the updated Manage properties of the Wireless Speaker.

    1. From the Browser, right-click the Wireless Speaker and select History.

    2. Beside the row that shows the blue revision triangle, click the three-dot menu icon and select Open.

      Note: This step is necessary because in the Fusion desktop client, a working version of the model is always available as the latest model and this would show incorrect lifecycle information.
    3. From the Browser, right-click the Wireless Speaker and select Properties.

    4. Scroll down to the Manage section.

      Notice that its Lifecycle is Pre-Production, Revision is 1, and State is Released. Also, note there is a link to a change order.

  8. View the released item in the Fusion Manage Extension site.

    1. From the Wireless Speaker properties panel, click the Item Number.

      The item opens in the Fusion Manage Extension site.

    2. From the Revision drop-down at the top of the page, choose Rev:1.

    3. Open the Properties tab and view the Manage properties section.

Activity 2 summary

In this activity you sent the Wireless Speaker model through a change order to release it to Pre-Production. You then viewed the Manage properties of the model and notice how they have changed now that the item has been released.
