Purge Item History

Vault Professional keeps a historical  record of every version of an Item. Every time an Item is updated, edited,  or changes state a new version is created. At times, it may be advantageous to purge an Item's (or all Items') historical versions. For instance, if an Item number was consumed by a Work in Progress version of an Item whose number was later changed, you can free up the original Item number for reuse by purging the Work in Progress historical versions of the Item. Purge is also useful for freeing up file versions for deletion.

Purge can be run on a single Item, a selection of Items,  or all Items in the Item Master.

After Purging an Item's history some commands which rely on the Item's historical versions may no longer be able to be used. For instance, after running Purge on an Item, you  may no longer be able to roll back the Item's life cycle past the  latest version when the Purge was executed if only Released versions remain.

Note: Purging is limited to Work in Progress and In Review historical versions and cannot be undone. Purge will permanently delete all Work In Progress or In Review versions, and these version cannot be recovered later.

Purge History for a Single Item

Note: Purging an Item's Work in Progress and In Review history will permanently delete all versions of the Item's Work in Progress and In Review history, leaving only the Released and Obsolete history. Purging may affect other functionality which relies on Item history, such as Lifecycle Rollback.
  1. Select an Item in the Item Master.
  2. Right-click and select Purge... or Select Purge... from the Actions menu.
  3. In the Purge Item dialog box select either:     Work in Progress to purge only Work in Progress history of the Item.     Work in Progress and In Review to purge both Work in Progress and In Review history of the Item.
  4. Click OK.
  5. The Purge Item Result dialog is displayed showing the Item Number which was purged and the number of Work in Progress and In Review versions of the Item which were purged and permanently deleted.
  6. Click Close.

Purge History for All Items

Note: Purge All will permanently delete all versions of every Item's Work in Progress and In Review history, leaving only the Released and Obsolete history. Purging may affect other functionality which relies on Item history, such as Lifecycle Rollback.
  1. Select to view the Item Master.
  2. From the Actions menu, select Purge All...
  3. In the Purge Item dialog box select either:     

    Work in Progress to purge only Work in Progress history of every Item.     

    Work in Progress and In Review to purge both Work in Progress and In Review history of every Item.

  4. Click OK.
  5. The Purge Item Result dialog is displayed showing the Item Numbers which were purged and the number of Work in Progress and In Review versions of each Item which were purged and permanently deleted.
  6. Click Close.
