Video: Export a PDF File

Use PDF Export to export views and sheets of your model to PDF files.

This video demonstrates the following:

  1. Create a saved set for export.
  2. Alter the Print order of a set.
  3. Setup naming rules for PDF files exported.
  4. Export views and sheets to PDF.

When working on a model, you may need to share your progress with project stakeholders. Export views and sheets to PDF to share your work in a format familiar to many project stakeholders or use PDF exports to archive project milestones.

With the model open, on the File menu, select Export > PDF. In the PDF Export dialog, you choose the settings for your export. Settings include export range, file naming, size, and appearance options.

In this example, we will generate PDF files of the sheets in the model. In the Export Range area of the dialog, choose selected views and sheets, and click the pencil icon to edit the selection.

Clear all selections in the dialog. Use the filter tool to display only sheets in the list and then select all the sheets.

Because of the naming scheme used, the sheets are out of order from the way we want them exported. Click Edit print order to change the way the set is printed or exported. Using manual order, drag the sheets into the correct print order. You can also use sheet numbering or browser organization as ways to modify the print order.

Selection sets can be saved for use later. In this example, we will use the current selection set once, so there is no need to save it. Click Select.

If we exported now, one file is created, each page of the PDF will be in the print order selected. In this case, we want each sheet exported to individual PDF files, so clear the Combine selection. To set a custom file naming rule, click the edit icon to the right of the file name input. Since we are exporting sheets, change the naming rule to use sheet parameters. Add Sheet Number and Sheet Name to the naming rule and remove View Type and View Name. Click OK to apply the naming rule.

Set all other export options. Save a naming rule and export setup for use later by clicking the "…" near the export setup selection. Choose Save As and enter a name for the export setup. Select export to export the sheets to PDF files.

The PDF files are exported to the selected directory.
