Monitor Archive

Monitor Archive operations to ensure the feature is working correctly and to track performance metrics. Regular monitoring helps identify issues early and validates that your archive strategy is meeting objectives.

Verify Archive is enabled

  1. Check Archive status in the Vault Server:

    • Open the Vault Server (ADMS Console)
    • Select the vault under Vaults
    • Look at the summary pane
    • Verify the Archive field shows "Enabled"
    • Confirm the Archive File Store location is displayed correctly

Monitor Archive scheduled task

  1. Verify the Archive task is scheduled:

    • In the Vault Server, go to Tools > View Server Tasks
    • Look for the Archive task in the list
    • Confirm it has a future date for subsequent execution
    • Check that the task is not showing any error status
  2. Review Archive task configuration:

    • Verify the task schedule matches your planned archive windows
    • Check that the task has appropriate permissions to access archive storage
    • Confirm the task scope aligns with your archive policies

Monitor Archive performance

  1. Review Archive summary information:

    • Check the recent archive file store size
    • Monitor the number of files in the archive file store
    • Track storage space reclaimed from active file store
    • Compare current metrics to your archive strategy goals
  2. Verify archived files in Vault client:

    • Run a search in the Vault client
    • Look for files with "Historically Archived" status in the Archive Status property
    • Confirm that archived files are still searchable and accessible
    • Test opening archived files to ensure they can be retrieved successfully

Review audit logs

  1. Check server and job logs:

    • Review default log locations for detailed error codes
    • Look for any Archive-related errors or warnings
    • Monitor job completion status and timing
    • Document any issues that require attention
  2. Establish monitoring cadence:

    • Weekly: Check for failures and queued items
    • Monthly: Review storage reclaimed and policy coverage
    • Quarterly: Assess overall Archive strategy effectiveness

Troubleshoot common issues

  1. Storage target unreachable:

    • Cause: Network outage, DNS/path change, server offline
    • Fix: Validate UNC path, ping target, check SMB service, update target path if changed
  2. Access denied on archive target:

    • Cause: Missing NTFS/share permissions for the Vault impersonation account
    • Fix: Grant Full Control permissions; ensure the account is used by the server task
  3. Archive task not running:

    • Cause: Task disabled, permission issues, or configuration problems
    • Fix: Check task status, verify permissions, review configuration settings

Validate Archive integrity

  1. Test archived file access:

    • Open random archived files to ensure they can be retrieved
    • Verify assembly dependencies resolve correctly
    • Check that file history and relationships are maintained
    • Confirm that metadata remains searchable
  2. Conduct storage comparison:

    • Compare pre-archive and post-archive storage usage
    • Verify expected totals match actual results
    • Document storage savings achieved
    • Update capacity planning based on actual usage patterns

Document monitoring results

  1. Maintain monitoring logs that include:

    • Archive task execution status and timing
    • Storage metrics and space reclaimed
    • Any errors or issues encountered
    • User impact and feedback
  2. Report findings to stakeholders:

    • Provide regular status updates to administrators
    • Share performance metrics with management
