Searching in Upchain

Upchain enables you to perform powerful tenant-wide searches for items, files, documents, business processes, and projects that have been added to Upchain by you and your team.

You may search for objects in the web using the Quick Search or Advanced Search. You may also search for objects from the CAD plugin using the Quick search or Advanced search.

What is shown in search results

The most common object to search for is an item. This is because they form the building blocks of project BOMs and often contain CAD files and drawings that may be used across multiple projects.

The results that you see and what you are able to do with the results depend on your license type and projects you belong to. This is described here:

• Only the items that you have access to, that is, those that belong to public projects or projects of which you are a team member as well as those that you have created, are shown in search results. For users with a Viewer license, this means searches only return released items.

• If you have access to at least one item version, then you may view all of its versions in the search results, regardless of whether you have access to the projects that these other item versions belong to. You may view its details on the right side of the search results page, but you will not be able to open the item within the context of any projects for which you do not have access.

• There are two tenant properties that affect search results:

  • private.floating.items – A floating item is one that does not belong to a project. They are sometimes referred to as orphaned items. For example, when a released item (eg. 1235-AA-00) in a BOM is revised and released again (eg. 1235-AB-00), then the original released item version (AA-00) becomes floating. When this tenant property is enabled, a floating item only appears in the search results for the item creator. Furthermore, if the floating item was included in a completed change request (CR) or change notice (CN), it appears in the search results only for the team members of the project in which the CR/CN was completed.
    
    Note: This property does not apply to items that are of a purchased type (ie. Purchased Electrical Part, Purchased Electromechanical Part, Purchased Item, Purchased Mechanical Part, Purchased Phantom Assembly). This is because it is assumed that purchased items are your off-the-shelf components that do not change, and therefore can and should be shared across projects.
  • show.items.from.private.projects.in.search – When this property is enabled, it means that items from private projects are shown in search results, even if you are not a member of the project to which the item belongs. However, you will not be able to view the item’s details or access its data. This tenant property enables you to check if an item already exists before creating your own, thereby helping to prevent duplicates.

Navigate to the item from search results

In the web app, click an item in the search results to view its details on the right side. If the item version belongs to multiple projects for which you have access, then a window opens to enable you to select which project in which you'd like to view the item. If the item belongs to multiple BOMs within your selected project, another window opens to select a specific BOM.

To navigate to the item within the context of the project, click the item's name at the top of its details pane or the Go To icon (Advanced search results only) to navigate to the item in your chosen project and BOM.
