Capture the quote response
Once the quote has been created and submitted, both the Status and the Awaiting Response flag in the Real Time KPIs section are updated accordingly.
Use the Target Quote Response field in the Planning and Tracking section to monitor when the quote should be expected back from the customer.
Once a response is received, you can enter this information into the Quote Response column in the Quote Submission & Response section.
Multiple workflow actions are available in this status to capture the requestors response:
- Click the Update Quote transition if an update to the quote is required. This sends the request back to the Quote Creation state.
- Click the Close Request transition if the customer determines they do not want to proceed with a spare parts order. In this case, the workflow ends. The closing date, user and comments are stored in the Closure & Completion Details section.
- Click the Order Received transition if the quote is accepted. This moves the request to the Order in Process state. The Status field in the Real Time KPIs section now shows ORDER.
Regardless of whether the order is received or if the request is closed, the system automatically records the response event in the Quote Submission & Response section within column Quote Response. This section also calculates the duration of the quote submission (from request receipt to quote submission) and quote response (from quote submission to quote closure or order). You can edit any of these fields if required.
If the quote was accepted, the system also captures this information in the Order Received field in the Order Processing section. This information is used for standard reports and can also be used for custom KPIs.
