Gate Reviews Upon Phase Completion

Note:

For users with Fusion connected sites, references to the 'Items' workspace should be the 'Components' workspace.

After each of the 5 phases of a project, there is a mandatory gate review to validate all requirements are met before launching the next project phase. At this time, the project also may be cancelled if needed. Projects can proceed from a phase to the related gate review in two ways:

  • As the last remaining task of a phase is set complete, the project will transition to the given gate review automatically.
  • The Project Owner (and additional owners) can transition the project to the gate review manually if needed (Submit to Gate Review). This will not validate the completion of related tasks and therefore enables to perform the gate review even before all tasks are completed.

Responsibility for this review is defined by the Next Gate Review section in the Project details page. This section displays all stakeholders involved in the review (besides a days counter based on the current gate’s Planned Completion Date or Expected Completion Date):

Required Approvers Contains all approvers required for the review. This list is driven by the selected Project Template and updated each time the project enters the next phase.
Additional Approvers Additional stakeholders can be involved in the review process by using this editable list. It is the project manager’s decision to add users in this list or not. This list gets cleared as the project enters the next phase.
Remaining Approvers As the Gate review status is reached (e.g. G1), all users listed as Required Approver or Additional Approver will be copied to this list. If neither required nor additional approvers are defined, the project owner will be set as the only remaining approver instead. All the users listed in Remaining Approvers are asked to perform the Approve workflow action to confirm that all requirements are met. They will be notified by mail and find the Project in their My Outstanding Work list to do this easily. Once a user performs the Approve action, he will be removed from the list of Remaining Approvers and no longer be able to approve, reject or cancel as part of this current gate review.

As the final user in this list performs the Approve action, the Project will be transitioned to the next phase automatically and the given phase’s tasks will be initiated automatically.
Important: The gate review may happen earlier or later than planned. In these cases, project managers may want the project schedule to be updated to reflect the deviation from plan. This re-scheduling of future phases will happen automatically if the option Update Schedule is checked.

This checkbox is set by the Project Template initially but can be changed at any time. If this option is enabled and the schedule will be updated, this will be reflected in the Expected Completion Dates within the Project Phases and Gate Reviews sections.
