Export Submittal Items

This page explains how to export submittals to generate detailed reports for documentation purposes. It covers:

Exporting submittals creates customizable reports containing submittal details, references, attachments, and more.

Export Options

There are three ways to export submittals reports:

  1. Export All: Exports all visible submittal items currently displayed in the list.

  2. Export Selected: Exports multiple submittal items selected via checkboxes.

  3. Export Single: Exports an individual submittal item.

  4. Export Filtered: Exports items that match searching and/or filtering criteria.

    Note: Exporting to a bridged folder allows you to share Submittals in Open, Draft, and Required status with another project, in addition to Closed submittals.

Create Submittal Report

Multiple Submittal Items Export

  1. Select desired submittal items or click Export all.
  2. Enter Title.
  3. Select the Report Type:
    • Submittal Item Summary
    • Submittal Item Detail
    • Submittal Item Status Summary
  4. Choose the report format as either PDF or Excel.
  5. (Optional) Include a Cover Page and/or Table of Contents in the report.
  6. Click Run report.
Note: A cover page is included in the package detail report, which displays a quick view of the status of items in the package.

Single Submittal Export

  1. Open desired submittal item.
  2. Click Export.
  3. Enter Title.
  4. (Optional) Include Photos:
    • Select the number of photos per row
  5. (Optional) Include References.
  6. (Optional) Include Attachments:
    • Submission attachments
    • For review attachments
    • Review attachments
    • Final response attachments
Important:

If the option to embed PDF attachments is toggled on, owner passwords are removed from PDF attachments in the final report. User password-protected attachments will cause your report export to fail. The report accepts up to 30 PDF attachments, each up to 60 MB. Irrelevant attachment types are disabled. See Reports FAQ and Troubleshooting for more information and possible workarounds.

Package Summary Reports

The export functionality includes specialized reporting for packages:

Submittal Package Summary Report

When exporting multiple items or using "Export All", you can generate package summary reports that include:

  • Package Overview: Summary information for each package including item counts and status distribution
  • Package Details: Detailed breakdown of all items within each package
  • Cross-Package Analysis: Comparative statistics across multiple packages

To generate a package summary report:

  1. Select Export All or select multiple items across packages
  2. Choose Submittal Package Summary as the report type
  3. Select report format (PDF or Excel)
  4. Click Run report

PDF Atachment Password Protection Types

When exporting submittals, you can include PDF attachments that may have password protection. There are two types of passwords that can be applied to PDF files:

Owner Password

An owner password:

  • Restricts editing, printing, and copying content
  • Lets any user open and view the PDF
  • Allows the file to be embedded as an attachment
Note: The system automatically removes owner passwords during report generation to enable PDF embedding.

User Password

A user password:

  • Restricts who can open and view the PDF attachment
  • Prevents unauthorized access to content
  • Blocks the file from being embedded as an attachment

When embedding PDFs:

  • Files with user passwords cannot be embedded
  • Files with only owner passwords can be embedded
  • The system preserves user passwords but removes owner passwords

Export to Files

When exporting a Submittal report, you can save the report directly to a selected folder in the Files tool. This feature allows you to easily share Submittals in Open, Draft, and Required status with another project by exporting to a bridged folder. Here's how to use this new feature:

  1. Follow the steps for exporting multiple or single submittal items as described above.
  2. Find Save to files in the export options.
  3. Select Folder to choose the destination folder in Files.
  4. Navigate through your project's folder structure and select the desired folder.
  5. If you want to share the report with another project, make sure to select a bridged folder.
  6. Click Run report to generate the report and save it to the selected folder.
