Search and Filter Submittal Items

This page explains how to efficiently find specific submittal items through searching and filtering. It covers:

  • Using the search bar to query by text
  • Applying filters to narrow down the list
  • Combining search and filters for precise results
  • Sorting submittal items by column headers

The search bar allows you to quickly search for submittals by title, spec section, or assignee. Simply enter text related to the item you are looking for.

Additionally, you can filter the full submittals list by selected criteria.

Search Submittal Items

The search bar is a simple and quick way to find submittal items. Search items by title, spec section, ID, number, or ball in court. Search packages by title or spec section.

Submittals List View Columns

The Submittals list view includes a new Pending action from column placed after the Ball in court column. This new column shows reviewers who haven't yet provided their review in the current review step.

When an item is not in review status, the Pending action from column shows the same value as the Ball in court column.

The Pending action from column follows the same display format as the Ball in court column:

  • Shows assigned users, roles, or companies who still need to review the item
  • Highlights the current user if they are pending action
  • Displays +X more when multiple reviewers are pending
  • Shows tooltip with complete list on hover

Filter Submittal Items

The filter feature offers more granular control over the search process. It allows users to apply various criteria to narrow down the list of submittal items. The criteria can be:

  • Spec section
  • Package
  • Status
  • Pending action from
  • Ball in court
  • Priority
  • Due date
  • Review response
  • Final response
  • Type
  • Responsible contractor
  • Manager

Filters can be used individually or in combination to precisely locate submittal items based on multiple factors.

For example, imagine you are looking for high-priority submittal items related to concrete works. Here’s how you can utilize the search and filter features:

  1. Enter “concrete” in the search bar.
  2. Apply filters:
    • Set the Spec Section filter to one related to concrete works
    • Set the Priority filter to High
    • Set the Type filter to one related to concrete works

This combination of search and filters will yield the high-priority submittal items specifically related to concrete works.

Package Filter

The Package filter allows you to filter submittal items by their associated packages:

  1. Click the Package filter dropdown
  2. Select from the list of existing packages in the project
  3. Items associated with the selected package(s) will be displayed
  4. The filter supports multi-select to view items from multiple packages simultaneously

When filtering by package, the results show all submittal items that belong to the selected package(s), maintaining the same sorting and display options as the standard items list.
