Item locks

An item is locked when you or a team member are modifying the item or if the item is in use by a process in Upchain. An item can only be locked to one user at a time or by Upchain when the item is submitted to certain processes such as a Change request. This means no one else can make certain changes to the item while it is locked. The specifics are outlined below.

Locks appear in three different colors:

Blue lock web_lock.png: This lock appears in the web application only.

Red lock locked_by_others.png: The item is locked to someone else. This lock only appears in the CAD or Generic plugin.

Green lock locked_by_you.png: The item is locked to you. This lock only appears in the CAD or Generic plugin

Hover your cursor over the lock to see the reason the item is locked and by whom.

Note: Tenant Administrators may clear certain locks on an item so that others may work on the item.

Lock types

There are five lock types:

  • Edit lock
  • Check out lock
  • BOM edit lock
  • eBOM structural lock
  • Requisition lock

Edit lock

Activation

The edit lock is activated when a team member edits an item's details in the web application.

Deactivation

The edit lock is removed when the user editing the item saves the changes in the web application.

What everyone else can and cannot do

The following table describes what others on the project can and cannot do with the item that has an edit lock.

Everyone else CAN: Everyone else CANNOT:
  • View the item details
  • View its 3D visualization and drawing in the PDF viewer
  • Download its CAD, drawings, and documents
  • Import additional documentation (not CAD or drawings)
  • Search for the item
  • Copy and paste it to a new BOM location
  • Generate compares and visualizations
  • Generate reports
  • Create Investigation Requests and project tasks for the item
  • Add categorization
  • Associate suppliers
  • Link to other items
  • Edit or check out the item
  • Run the BOM Anomalies window
  • Edit the item’s attributes
  • Create additional child items from Upchain
  • Move the item to a new BOM location
  • Remove the item from its current location
  • Send the item to a Change Request

Check out lock

Activation

The check out lock is activated when a CAD model or its drawing is checked out from the CAD or Generic plugin.

Deactivation

The checkout lock may be deactivated by the user who has the item checked out using one of three ways:

What everyone else can and cannot do

The following table describes what others on the project can and cannot do with the item that has a checkout lock.

Everyone else CAN: Everyone else CANNOT:
  • View the item details
  • Edit the item’s eBOM attributes
  • View its 3D visualization and drawing in the PDF viewer
  • Download its CAD, drawings, and documents
  • Import additional documentation (not CAD or drawings)
  • Search for the item
  • Copy and paste it to a new BOM location
  • Copy > Clone the item from the CAD plugin
  • Generate compares and visualizations
  • Generate reports
  • Create Investigation Requests and project tasks for the item
  • Add categorization
  • Associate suppliers
  • Link to other items
  • Edit or check out the item
  • Run the BOM Anomalies window
  • Edit the item’s attributes
  • Create additional child items from the Web application
  • Copy > Replace the item in an assembly from the CAD plugin
  • Move the item to a new BOM location
  • Remove the item from its current location
  • Send the item to a Change Request
Note: The CAD or drawing file version that other users download is the last version checked into Upchain and will not contain any changes the user who has it checked out is currently making.
Note: You are able to Copy > Clone and Copy > Replace an item that you have checked out. However, these functions do not remove the check out lock on the item being copied.

BOM edit lock

Activation

The BOM edit lock is triggered in two ways:

  1. By editing the item in the eBOM attributes editor within the CAD/Generic plugin. This option is available for the selected item under the Item details pane in the CAD Plugin.
  2. By launching the BOM anomaly window from the Project BOM view in the CAD plugin.

Deactivation

Click X to cancel changes or click Save to save changes and properly exit the eBOM attributes editor and the BOM anomaly window.

Should you need to you force quit the eBOM attributes editor or BOM anomaly window, then you need to relaunch these windows and close them properly to remove the lock.

What everyone else can and cannot do

The following table describes what others on the project can and cannot do with the item that has a BOM edit lock:

  • Check out the item
  • View its 3D visualization and drawing in the PDF viewer
  • Download its CAD, drawings, and documents
  • Import additional documentation (not CAD or drawings)
  • Search for the item
  • Copy and paste it to a new BOM location
  • Generate compares and visualizations
  • Generate reports
  • Create Investigation Requests and project tasks for the item
  • Add categorization
  • Associate suppliers
  • Link to other items
  • Run the BOM Anomalies window
  • Edit the item’s attributes
  • Edit the item’s eBOM attributes
  • Check in the item until the BOM edit lock is removed
  • Create additional child items from the Web application
  • Move the item to a new BOM location
  • Remove the item from its current location
  • Send the item to a Change Request

eBOM structural lock

This eBOM structural lock disallows anyone from making changes to the cBOM/eBOM structure while the item is a part of a change request (CR).

Activation

The lock is activated when the item is added to a CR and the CR is saved.

Deactivation

The eBOM structural lock automatically deactivates when the CR completes. It can also be deactivated by removing the item from the CR or canceling the CR.

What everyone else can and cannot do

The following table describes what others on the project can and cannot do with the item that has a eBOM structural lock:

Everyone CAN: Everyone CANNOT:
  • While the item remains in a Development state, users can:
    • Check out the item.
    • Edit its item and/or eBOM attributes.
    • Check in the item.
  • While the item remains in a Development state, users cannot:
    • Add or remove items from the cBOM and eBOM, including phantom files.
    • Attach new CAD, drawings, or translations.
      • Note: When either tenant properties drawing.create.pdf or drawing.create.dwg are enabled, you cannot check in the item as this generates new translations which cannot be attached to the item while it is associated with a CR. Only Tenant Administrators may attach files to items with an eBOM structural lock.
  • While the item has any status other than Development, users cannot perform any actions on the item.

Requisition lock

Activation

This requisition lock only appears on Change notices (CN) for an item has already been submitted to another CN that is still in progress.

Deactivation

The requistion lock automatically deactivates when the CN completes. It can also be deactivated by removing the item from a CN or canceling the CN.

Everyone CAN: Everyone CANNOT:
  • View the item in the CN. The item will be released to be involved in a CN so no further attribute changes are allowed
  • Include the item in another CN
