Part 4: View Scan Results and Accept Suggestions

After the scan is complete, locate the Reference Table (output file) and open it in Excel. In this file, you can accept or reject references that are found by the Reference Repair Utility for repair.

1. Locate the output file.
   Note: The output file is created in the location you established in Part 2.

   The name of the output file shows as: <Name of Server>_<Name of Vault Database>_<Timestamp of when the scan finished>.xml

2. Open the file with Excel and review the scan results (see image).
   Note: Dragging and dropping the file is not supported.
   
   Important: Do not remove any value from any cell of the second row in the spreadsheet.
   Refer to the following table for more information about reading your results.

   Column Title	Description
   Parent_Missing_Ref	Full Vault path of the parent file that has the missing reference. This value should not be edited.
   Parent_Version	Version of the parent that has the missing reference. This value should not be edited.
   Ref_In_File	Name of the reference in the parent file. This value should not be edited.
   Matching_Ref_in_Vault	Full Vault path to the matching reference in Vault. If no match is found in Vault, a ??? is displayed in that cell. The value in this cell can be replaced with the Vault path to some other file in Vault.
   Ref_Version	Version of the matching reference in Vault. If you replace the matching reference with some other file in Vault, be sure to replace the value in this cell with the version of the file you've selected in Vault. Note: The reference will not be repaired if the Check In date of the version of the file you've selected from Vault is older than the Check In date of the parent version you are trying to repair.
   Accept	You can accept the matching reference by typing in TRUE (not case-sensitive). If there is only one matching reference found in the vault, its value is automatically set to TRUE. In case of AutoCAD files, if there are multiple matching references found in Vault, the utility may suggest a particular reference based on certain AutoCAD rules. A Suggested reference still has to be accepted by setting the value to TRUE.
   Parent_ID	Unique identifier for every parent file that is missing a reference. You can use this value to filter and work on one parent at a time. This value should not be edited.
   Ref_ID	Unique identifier for every missing reference within a given parent that has missing references. You can use this value to filter and work on one reference at a time. This value should not be edited.
   Server	Name of the Server where the scan was run. This value should not be edited.
   Vault	Name of the Vault scanned. This value should not be edited.
   Folder	Vault path for the folder that was scanned. This value should not be edited.
   Source	Authoring application (Inventor/AutoCAD) of the reference. This value should not be edited.
   Ref_Unique_ID	Unique ID for the reference that is found in the parent file. This value should not be edited.

3. Choose to accept any suggested references by entering TRUE (not case-sensitive) in the Accepted column for each match.
   Note: If there is only one matching reference found in the vault, its value is automatically set to TRUE. If there are multiple references but one matches the path in the file, a value of Suggested is provided for the matching reference. If nothing is set to True and no suggestions are made, set one of the matching versions to True.
   Important: Only make edits in the Accept column. Modifying any other columns could produce errors when the file is imported.
4. Save the file as a .XML file.
   Important: Once the file is opened in Excel, it will no longer have its original name. When you save the file, you must rename it and select the .XML extension.
