View Item Record Details

You can examine the details of an item through the Preview Pane or by examining the item record.

View an Item Summary

  1. In the Item Master, select an item.

    The item record information is displayed in the preview pane.

  2. Select a tab to review different details about the item and associated files.

View General Item Information

  1. In the Item Master, select an item.
  2. Select the General tab in the Preview Pane. The General tab summarizes information about the selected item, including:
    • Revision
    • Item number
    • Title
    • Description
    • Units
    • Item category
    • Lifecycle state
    • Revision
    • The last user to update the item
    • The date the item was last updated
    • Files associated with the item
    • Item properties
  3. To see other revisions of the item, select a revision from the drop-down list.
  4. Right-click on an associated file and select Go to Folder to go to the vault folder where the associated file is stored.

    You can also open the associated file in its native application or view it in the preview window.

View the Revision History of an Item

  1. In the Item Master, select an item.
  2. Select the History tab in the Preview Pane.

    The revisions of the item are listed. Each revision listed includes statistics such as the item name, the revision number, the lifecycle state, the item title, the item class, and units.

  3. Select Show all versions to see every iteration of the selected item.

View a Bill of Materials for an Item

  1.  In the Item Master, select an item.
  2. Select the Bill of Materials tab in the Preview Pane.

    The Bill of Material for the selected item is listed.

    Note: To edit a Bill of Materials, you must open the item and edit the BOM in the Item dialog box.
  3. You can choose to view the BOM either by date or revision:
    •  View BOM by Revision–Select a revision from the revision drop-down. The date the revision was last used prior to being superceded by a newer revision is displayed in the date drop-down.
      Note: Depending on the current item state, not all items may be displayed. Items in the Obsolete state only display the latest revision.

      Revision Settings

      • Latest– The current BOM. There may be items in any state in the BOM.
      • Prior Revisions– Past released BOMs.
    • View By DateSelect a Date from the Date-Picker drop-down. You can select a date all the way back to the item's creation date.
      Note: Changes to the Date-Picker do not affect the displayed BOM if the Latest is selected.
    • View by Row Type–Select whether you want to view BOM rows that are turned on, off, or both from the Row Type drop-down.
    Note: You cannot edit information for previous revisions.

    Items in the Obsolete state display the previous revisions and the latest.

  4. Select a method for displaying the BOM from the Structure list:
    • Multi-Level - a hierarchical list
    • First Level - the top level items
    • Parts Only - items for parts only
  5. Right-click on an item to take additional actions:
    • Turn row on–Turns the item on for the BOM.
    • Turn row off–Turns the item off for the BOM.
    • Add Row–Adds a new item row to the BOM. Select whether you want to add an existing item or a new item to the BOM. See Add Row to BOM for more information.
    • Remove Row–Removes an item from the BOM, including any item links or children items. Removing a row for an assembly in the BOM removes the assembly row and all corresponding child rows. See Remove Row from BOM for more information.
    • Assign To–Assign the item to a file.
    • Turn Branch On–Turns on the item and all children items for the BOM.
    • BOM ReportCreate a BOM report based on the row level view structure used in the BOM tab.
    • Open–Opens the item record for viewing.
    • Update–Gets the latest version of the associated file(s) and updates the BOM to reflect any changes. For example, if a component has been added, the BOM is automatically updated to show the new component item.
    • Change Number–Opens the Change Item Number dialog so you can edit the item number.
    • Change State–Select a new lifecycle state for the item.
    • Go to–Go to the change order associated with the item, go to the folder where the associated file is located in Vault, or go directly to the item in Vault.
    • Create Shortcut–Add the item to the My Shortcuts pane.
    • Expand All–Expands all levels of the item hierarchy.
    • Collapse All–Collapses all levels of the item hierarchy.
    • DetailsAccess and configure item security.
    • Note: Turn row on, Turn row off, Add row, Remove row, Assign to, and Turn Branch On commands are only available when the item record is in edit mode.

View Where an Item Is Used

     In the Item Master, select an item.

  1. Select the Where Used tab in the Preview Pane.

    The parent items in the item master that reference the selected item are listed, as well as the number of parents related to the item.

  2. Select one of these values from the View by Revision drop-down menu to further refine your results:
    Note:  The revision drop down will display the following revisions. Depending on the current item state, not all items may be displayed:
    • The current (Latest) item in any state.
  3. Right-click on an item to take additional actions:
    • Open–Opens the item record for editing.
    • Update–Gets the latest version of the associated file(s) and updates the BOM to reflect any changes. For example, if a component has been added, the BOM is automatically updated to show the new component item.
    • Change Number–Opens the Change Item Number dialog so you can edit the item number.
    • Change State–Select a new lifecycle state for the item.
    • Change Revision–Select a new revision value for the item.
    • Add to Change Order–Add the item to a new or existing change order.
    • Attachments–View attached files or attach/detach files.
    • Go to–Go to the change order associated with the item, go to the folder where the item is located in Vault, or go directly to the item in Vault.
    • Create Shortcut–Add the item to the My Shortcuts pane.
    • Delete–Permanently deletes the selected item and all of its revisions from the vault.

View the Change Orders Applied to an Item

  1. In the Item Master, select an item.
  2. Select the Change Order tab in the Preview Pane.

    The change orders applied to the current item are listed. The change order summary for the item includes the ECO number, the current state of the change order, the title of the change order, and the due date for the change order.

  3. Right-click on a change order and select Go To Change Order to go directly to the change order in the vault.
  4. Right-click on a change order and select View to open the change order.

View the Files Attached to an Item

  1. In the Item Master, select an item.
  2. Select the View tab in the Preview Pane.
  3. From the Show list, select which file types to display:
    • All– all attached files are listed
    • Drawings– Autodesk Inventor .idw and .dwg files are listed
    • Documents– only Microsoft Word files are listed
    • CAD Files– only files from CAD applications are listed
    • Other-all other file types.
  4. From the Attached Files list, select a file to view.
    • If the selected file is a .dwf file or is a file with a .dwf attachment, the .dwf is displayed inside the View tab using Autodesk DWF Viewer. Click View in Window to view the file in a separate window.
    • If the selected file does not have an associated .dwf file, the view is empty. Click Open with Viewer to view the file in an external application.
  5. When viewing a .dwf file, use the Autodesk DWF Viewer controls to zoom, pan, and print the .dwf image.
