Export RFIs

Export RFIs to create reports that serve as project documentation. You can export a single RFI as a PDF, or all RFIs as a PDF or Excel file.

Export a Single RFI

To export one RFI:

1. Open the RFIs tool.

2. Open the RFI you want to export.

3. Click , and then select which sections to include or exclude in the report:

   • Photos
   • References
   • Activity Log
   • Comments
   • Watchers
   • Embed References
   • Embed Official Response Attachments

4. Click Run Report.

When the report is ready, click Download report or copy the link to share it.

Limits for embedding references and official response attachments

The Embed References and Embed Official Response Attachments options have these limits:

• The report embeds only PDF files.
• The report doesn't include files larger than 30 MB.
• The report includes up to 10 PDF references and up to 10 PDF attachments, 20 in total. If you have more than 10 of a type, the report doesn't include that type.

Export All RFIs

To export all RFIs:

1. Open the RFIs tool.
2. Click .
3. Enter a Title for the report.
4. Select the file format: PDF or Excel.
   • PDF: Optionally include a Cover page and Table of contents.
   • Excel: Select which columns to include. See Excel column selection.
5. Click Run Report.

The report accepts up to 10 PDF attachments, each up to 30 MB. The report turns off irrelevant attachment types. See Reports FAQ and Troubleshooting for more information and possible workarounds.

Excel column selection

In the Excel format, you can select which columns appear in the report.

• All standard RFI fields are available by default.
• The ID column includes a link to the RFI in the tool.
• Custom fields configured for your project appear in the Custom Fields section.
• You can apply custom fields as filters to narrow the exported data.

PDF Attachment Password Protection

When you export RFIs, you can include PDF attachments that might have password protection. PDF files can have two types of passwords.

Owner password

An owner password:

• Restricts editing, printing, and copying content
• Lets any user open and view the PDF
• Lets you embed the file as an attachment

User password

A user password:

• Restricts who can open and view the PDF attachment
• Prevents unauthorized access to content
• Blocks the file from being embedded as an attachment

When you embed PDFs:

• You can't embed files with user passwords
• You can embed files with only owner passwords
• The system preserves user passwords but removes owner passwords

RFI Summary Reports in the Reports Tool

Use the Reports tool to generate PDF summary reports for RFIs. You can customize the report structure, select which fields to include or exclude, and create templates for future use.
