Files Navigation Pane
When the Files page is first displayed, the top-most folder is shown in the left navigation pane. Files within the selected folder or sub-folder are displayed in the file list. If no files are contained within a selected folder, No Files found... appears in the file list.
Top and Up links become available once you navigate into sub-folders.
- Top links to the top-most folder in the folder structure.
- Up links to one level above from the current level in the folder structure.
Viewing the Files List
On any page, click Files to go to the Files list page. On this page, the grid lists all the files located within the current folder.
Page Elements
- Folder name is displayed next to the title Files List.
- Above Files List are bread crumbs, which indicate the path to the current folder.
- Left navigation provides navigation up or to the top of the current folder structure.
- File listed are those files within the current folder.
From the File list, click the File Name to view detailed information about the selected file.
General Tab
From the Files list page, click the file name to view detailed information about the selected file.
The File detail page appears with the General tab selected. There are five tabs located in the left navigation pane. The General tab is active by default. On the General page, the File Name is a textual link.
- Click the file name to view the file in its native application or an application you have selected for the file type.
- If the file is a CAD file with an associated DWF, the file opens in Autodesk Design Review.
- When there is no attachment, a File Download dialog box appears and prompts you to open or save the file. If you choose Open, it is opened with the associated application.
- If the file has a DWF attachment, the DWF file can be opened in another page using DWF viewing software, such as Design Review.
Note: On the Uses, Where Used, and Attachments tabs, click the file name to view the file detail on the General tab.On four of the five tabbed pages, the list columns are configurable by an administrator. The Attachments page is the exception.
Uses Tab
Select the Uses tab to view files that use the current file.
The following fields are displayed.
- File Name
- Revision
- State (Historical)
- Created By
- Checked In
- Comment
These fields are configurable by an administrator.
History Tab
Select the History tab to view the file version history list.
The following fields are displayed.
- File Name
- Version
- Revision
- State (Historical)
- Created By
- Checked In
- Comment
Note: These columns are configurable by an administrator.
Select the Show all versions check box to display a complete list of all revisions and versions for the file.
Note: If Show only released revisions is selected in the Configuration settings, then non-released versions of the file are displayed in black, unlinked text.
Where Used Tab
Select the Where Used tab to view a list of files that use the current file.
The following fields are displayed.
- File Name
- Revision
- State (Historical)
- Created By
- Checked In
- Comment
These columns are configurable by an administrator.
Attachments Tab
Add Files to a Vault
Note: A Vault Office license is required for read-write access through the web client.
Files can be added to the vault using the web client so long as you are logged in with read-write access. While both non-CAD and CAD files can be added, relationships are not maintained for CAD files added through the web client.
- Click Files. The files list is displayed.
- Click the Add File link.
- On the Add File page, click Browse and locate the file to add to the vault, then click Open.
- Click Check In to add the selected file to the vault. The file is added to the current folder in the vault.
Check Out Files
Note: A Vault Office license is required for read-write access through the web client.
Files can be checked out from a vault using the web client so long as you are logged in with read-write access.
- Click Files. The files list is displayed.
- In the file list, click a file name to view the file details. The details page for the selected file is displayed.
- Next to the file name, click the Check Out link. The file is checked out, but not downloaded.
- Click Download to retrieve the checked out file from the vault. The file can be opened directly in the associated application or saved to a location on disk.
Undo Checkout
Note: A Vault Office license is required for read-write access through the web client.
- Click Files. The files list is displayed.
- Locate the checked out file in the file list and then click the file name to view the file details. The details page for the selected file is displayed.
- Next to the file name, click Undo Check Out.
Check In Files
Note: A Vault Office license is required for read-write access through the web client.
Files can be checked into a vault using the web client so long as you are logged in with read-write access.
- Click Files. The files list is displayed.
- Locate the checked out file in the file list and then click the file name to view the file details. The details page for the selected file is displayed.
- Next to the file name, click Browse and locate the downloaded file then click Open.
- Click Check In to check the file back into the vault.
