Configure and Use TradeTapp Integration
TradeTapp integration streamlines your supplier qualification and risk management by connecting Cost Management with TradeTapp's company prequalification platform. This integration offers several key benefits:
- Seamless data sharing: Access supplier qualification and risk profile data directly within Cost Management without switching between systems.
- Automatic supplier matching: The system uses Tax ID to match supplier companies between TradeTapp and Cost Management for accurate data synchronization.
- Centralized agreement management: Upload and manage Master Service Agreements with effective and expiration dates in one location.
- Enhanced risk visibility: View supplier risk status, qualification status, and financial limits directly in contract flyouts.
- Insurance document access: Download and review insurance program documents with expiration dates directly from contracts.

Configure Account-Level TradeTapp Settings
This section explains how to connect your TradeTapp account at the account level in Library. Once connected, supplier qualification and risk profile data from TradeTapp automatically syncs to Cost Management contracts.
To configure TradeTapp integration:
Go to Account Admin, then click Library, and choose Cost Management.
Click Settings.

Find TradeTapp in the list of integration partners.
Click Log in.

Sign in to your TradeTapp account when prompted.
Once you sign in, the system displays your logged-in status with your account information.

Set Up Company Information in TradeTapp
TradeTapp provides four company name field options to handle different naming scenarios. This flexibility solves the common challenge of using legal entity names versus "doing business as" names in contracts.
Understanding the company name fields:
In TradeTapp, there are four choices you can select from to set the one to be used as "Company Name." This is the field that Cost Management uses. The system lets you choose between:
- Company Name: The primary name displayed in TradeTapp and synced to Cost Management
- Company Tax Name: The legal name associated with tax identification
- Doing Business As: The trade name or operating name
- Network Name: The name used within your business network
The Company Name field is the one Cost Management uses to populate supplier information in contracts. You can use this to solve situations where you need to use a "legal entity" versus "doing business as" name and address in contracts.

The Tax ID is used to match supplier companies between TradeTapp and Cost Management. Make sure that supplier Tax IDs match in both systems for automatic data synchronization.
The Company Tax Name is set from your TradeTapp account settings and can't be modified within the integration settings.
Upload Master Service Agreements
You can upload Master Service Agreements (MSA) in TradeTapp to track contract terms and validity periods. These agreements automatically appear in the contract flyout in Cost Management once uploaded.
To upload a Master Service Agreement:
In TradeTapp, navigate to the company's General tab.
Scroll to the Master Service Agreement section.
Click Upload Document.

In the Upload MSA Document dialog, enter the Effective date. This field is required.
Optionally, enter the Expiration date to track when the agreement expires.
Click Upload Document to select your MSA file from your computer.
Note: Only PDF files with a maximum size of 5MB are supported.Click Upload to save the document.
The uploaded MSA document now appears in the Master Service Agreement section with the effective date displayed. In Cost Management, you can access this document directly from the contract flyout, in the Qualification and Risk Profile section.
View Qualification and Risk Profile in Contracts
Once TradeTapp integration is configured, the Qualification and Risk Profile section appears in contract flyouts. This section displays comprehensive supplier information synced from TradeTapp.
To view qualification and risk profile data:
In Cost Management, select the Cost tool from the left navigation.
Open a contract to display its flyout.
Scroll to the Qualification and Risk Profile section.
Click Log in to TradeTapp to view the full qualification and risk profile of the supplier in the TradeTapp platform.

Qualification and Risk Profile Fields
The Qualification and Risk Profile section displays the following information:
Company information:
- Company Name (Legal Entity Name): The official legal name of the supplier company from TradeTapp
- Risk Status: The current risk assessment level
- Qualification Status: The current qualification standing
Financial limits:
- Internal Single Limit: The maximum amount for individual transactions in USD
- Internal Total Limit: The maximum total outstanding amount in USD
Company details:
- Offices (Legal Entity Address): Physical address of the supplier's legal entity
- Internal Unique ID: The unique identifier assigned in TradeTapp
- Business Tax ID: The tax identification number used for matching between systems
- Enterprise Business Certifications: Relevant certifications such as WOSB (Women Owned Small Business)
- Professional Licenses: Applicable professional licenses with identification numbers
Insurance Program and Insurance Documents:
The Insurance Program section displays insurance documents with their expiration dates. You can download these documents to review coverage details.
MSA:
The MSA section displays the uploaded Master Service Agreement document with its effective date. Click the document name to download and review the agreement terms.
Use Document Variables for TradeTapp Data
Document variables let you automatically pull TradeTapp qualification data into your contract templates. This feature ensures consistency and reduces manual data entry when generating contract documents.
To learn how to access and use the Variable Finder tool, see Variables in Cost Management. The Variable Finder lets you browse available variables, preview data, and copy variable syntax for your templates.
Available TradeTapp Variables
In the Variable Finder, navigate to Contract > Supplier > Qualification to find TradeTapp-related variables:

Troubleshoot TradeTapp Integration
This section provides solutions to common issues you might encounter when using TradeTapp integration with Cost Management.
Unable to Connect TradeTapp Account
If you can't connect your TradeTapp account in Library settings, verify the following:
- You have account administrator or full permissions in Account Admin
- You're using valid TradeTapp account credentials
- Your TradeTapp account is active and properly licensed
- You have a stable internet connection
Contact your account administrator if you need permission adjustments.
Qualification Data not Appearing in Contracts
If qualification and risk profile data doesn't appear in contract flyouts, check that:
- TradeTapp integration is properly configured in Library settings
- You're signed in to TradeTapp in the integration settings
- The supplier exists in TradeTapp with a valid profile
- The supplier's Tax ID in Cost Management matches the Tax ID in TradeTapp
- The contract supplier field is populated with the correct company
Tax ID Matching Issues
The system uses Tax ID to match supplier companies between TradeTapp and Cost Management. If data isn't syncing correctly:
Verify the supplier's Tax ID in Cost Management matches the Tax ID in TradeTapp exactly.
Check for leading zeros, spaces, or special characters that might prevent matching.
Make sure that the Tax ID format follows the correct standard (for example, US FEIN: 96-7527579).
Update the Tax ID in either system to match if there's a discrepancy.
Once the Tax IDs match, the qualification data should sync automatically within a few minutes.
MSA Upload Failures
If you encounter errors when uploading Master Service Agreement documents, verify that:
- The file format is PDF (other formats aren't supported)
- The file size is 5MB or less
- The effective date is entered in the correct format
- You have the necessary permissions to upload documents in TradeTapp
To resolve file size issues:
Compress the PDF file using Adobe Acrobat or another PDF tool.
Remove unnecessary pages or images from the document.
Save the PDF with optimization settings for web or screen viewing.
Try uploading the compressed file again.
If problems persist after verifying these items, contact TradeTapp support for assistance with document uploads.
Document Variables not Populating
If TradeTapp variables aren't populating data in generated documents:
- Verify the variable syntax is correct and copied exactly from the Variable Finder
- Check that the supplier has the relevant data populated in their TradeTapp profile
- Make sure that the document template format is supported (Microsoft Word or Excel)
- Confirm that you've uploaded the template after adding the variables
Regenerate the document package after making corrections to see the updated data.
