Work with Microsoft® 365 Files

You can work with Microsoft® 365 files in the Files tool.

Folder Permissions

Project members require the relevant folder permissions to work with Microsoft® 365 files in the Files tool:

Restrictions

In accordance with Microsoft's terms for the CSPP Program, customers, and end users in certain countries are prohibited from viewing and editing Microsoft® 365 files managed within the Files tool. These countries include: Cuba, Iran, North Korea, Sudan, Syria, Region of Crimea, Russia, Hong Kong, and the People’s Republic of China.

Microsoft® 365 and the Files tool do not support Microsoft’s Government Community Cloud (GCC) environment, and are not intended to be used by end customers who need to comply with FedRAMP, export control, IRS 1075 or CJIS obligations (which could also include, for example, various contractors holding or processing data on behalf of the US Government).

Important: If users are restricted and can't view or edit Microsoft® 365 files in the Files tool, they can download the relevant files instead and view and edit them locally.

* Checkboxes are not supported for Excel.

** Excel files larger than 25MB can be stored in the Files tool but must be downloaded to view and edit.

Edit File Requirements

To edit files, you must:

  • Have Edit permissions or above for the relevant folder.
  • Allow third-party cookies in your browser or *.officeapps.live.com must be allowed in the browser cookie list.
  • Not be subject to any restrictions detailed above.

There are differences in the capabilities available between browser and desktop applications. The following Microsoft® articles outline the differences:

Editing can be done as a single or group co-authoring session.

Edit a Word or PowerPoint File

  1. Click a Word or PowerPoint file in Files.

  2. To open edit mode:

    • Word: Click Edit.
    • PowerPoint: Click Edit in browser
  1. Make the desired changes.

    Ensure the status bar at the top says Saved before you exit the editing session or changes may be lost.

Edit an Excel File

  1. Select an Excel file in Files.

  2. Click the Viewing drop-down and select Editing.

  3. Make the desired changes.

    Ensure the status bar at the top says Saved before you exit the editing session or changes may be lost.

    Important: Excel files can be a maximum of 25MB for online viewing and editing. Larger files can be stored in the Files tool, but must be downloaded to view and edit.

Exit the Editing Session

  1. Click the drop-down next to Saved

  2. Select:

    • Return: To go back to the file viewer

    • Autodesk Docs: To go back to the Files tool

Microsoft® 365 Files FAQ

When do Microsoft® 365 files auto-lock in ACC?

When the first member opens and starts editing a Microsoft® 365 file, it will display a lock icon for other members. Other members can still open and edit this file to begin co-authoring.

When do Microsoft® 365 files unlock on ACC?

Files are unlocked once all co-authoring members have exited the editing session on web. If the file remains locked, wait a few minutes and refresh the page.

Can I edit Microsoft® 365 files with Microsoft Office 365 Desktop Apps in ACC?

No.

When do Microsoft® 365 files version up?

A file is versioned after an editing session is closed. For co-authoring, this is when all co-authoring members exit the editing session. The system will try to unlock and update the file version with the name of the first member who initiated the editing session.

The version may take time to appear in the Files tool. If you go to the Files tool after exiting an editing session, the version number may not be updated. Refresh the browser to show the updated the file version number and edited content.

If a file is in the process of versioning it can't be opened. When the version is complete the file can be opened again.

Does an editing session expire?

When multiple people are co-authoring, the edit session remains open until everyone has exited, or until the session expires after 2 hours. Once the session expires, our system will try to update the changes to a new version every 5 minutes.

How can I see who is still co-authoring the file?

Enter an editing session to see the editors that are keeping the session from ending.

Known Limitations

Co-authoring using Docs on web and Desktop Connector is not supported. To avoid data loss, do not edit the same file in the Files tool and Desktop Connector simultaneously.
