Using Task Templates
Task Templates give you a way to create a set of tasks that can be reused on similar deliverables later on, saving you the trouble of creating the same tasks over and over.
Creating a new Task Template
The easiest way to create a task template is to find an entity that already has a set of tasks that you’d like to reuse.
From a Tasks page:
Group the Tasks by the “Link” field
Click the ellipsis button next to the entity name
Choose “Save Tasks as Task Template”
Provide a name for the Task Template
Click “Create Task Template”
Alternatively you can create new Task Templates from scratch, to do so see Manage Task Templates
Applying a Task Template
You can apply (or reapply) a Task Template to a single entity in any of the following ways:
When creating a new entity:
Click “Add [entity type]…”
In the form that appears, if the Task Template field is not shown, click “More Fields” and choose it from the dropdown
In the Task Template field, choose the template you want to apply
Click “Create [entity type]”
When browsing a list of entities:
Either right-click the entity and choose “Apply Task Template”, or reveal the “Task Template” field and select it
Tip:If no template has been applied previously, clicking the pencil icon directly will show a dropdown list of templates directly
Choose the Task Template you want to apply
Click “Apply selected”
From a Tasks page:
Group the Tasks by the “Link” field
Click the ellipsis button next to the entity name
Choose “Apply Task Template”
Choose the Task Template you want to apply
Click “Apply selected”
You can apply (or reapply) a Task Template to multiple entities in the following way:
When browsing a list of entities:
Select the entities you want to update.
Either right-click the entities, or click the “More” dropdown button
Choose “Edit Task Template for [# entity types]…”
Choose the Task Template you want to apply
Click “Apply selected”
New tasks will then be added to the chosen entities.
Note that when applying Task Templates to entities that already have tasks, you will be prompted to send any tasks that are not part of the newly selected template to the trash.
Additional considerations for working with Task Templates
What gets saved
When saving Task Templates from a set of tasks, only the following fields are preserved for each task in the resulting template:
Task name
Pipeline step
Duration
Upstream and downstream dependencies
What gets applied
When applying (or reapplying) a Task Template, the following fields will be updated:
Task name
Pipeline step
Duration
Upstream and downstream dependencies
Any other fields that were edited via the interface, except for statuses
Project-specific considerations
You can specify a default Task Template to be used in each project. To do so, go to the project’s Tracking Settings, choose the entity type, view the properties tab and change the “Default Task Template” setting.
You can limit specific Task Templates to specific projects. See Manage Task Templates for more information.
Permissions considerations
To be able to save Task Templates, Task Templates > Create must be checked in the user’s permission role.
To be able to apply Task Templates to a specific entity type, Task Templates > See, [Entity type] > Edit, and [Entity type] > Fields > Task Template > Edit must all be checked in the user’s permission role.
