Manage Custom Views
Use the Manage Custom Views dialog to save, define, and manage all defined views.
Custom Views
When you use Customize View to choose different fields or apply a custom filter, you are actually modifying the current view. The current view is shown in the Advanced toolbar. Create new named views to store different view configurations. Click the down-arrow on the Advanced toolbar to select different views.
Views are accessed by clicking the down arrow on the Advanced toolbar. The environment you are in determines the default view. The following are the default views:
- Vault: All Files
- Item Master: All Items
- Change Orders: All Change Orders
You can change the default by making a different selection and closing out of the dialog.
Manage Custom Views
You can create and manage custom views. First, create the view you want to save, and then use the Manage Custom Views dialog to save and manage it.
The Manage Custom Views dialog lists all the defined views set by you as well as the administrator. You can see which custom view is configured on the Vault Client.
On the Advanced toolbar, click the down arrow, and select Define Custom View.
In the Manage Custom Views dialog, select one of the following:
New: to store the view that is currently displayed. You are prompted to name the view. In the Create Custom View dialog, enter a name and then click OK.
For Administrators: Select the check box "Save as Distributed View" to save the customized view as a distributed view.
Modify: to change the settings of the selected view. Changes made to a view are automatically saved to the view definition.
To modify the distributed view, it is recommended to copy the distributed view and then modify it to add/remove fields.
Copy: to copy the settings of the selected view into a newly created view. You can only copy one view at a time.
Rename: to rename the selected view. You must be an administrator to rename the distributed view.
Delete: to delete the selected view. You must be an administrator to delete the distributed view.
Reset all distributed views: to reset all the distributed views in all the workspaces to the default distributed level set by the administrator. All other views that are not distributed by the administrator won’t be affected.
Note: Due to unique file name enforcement, you can't use the same name for both local and distributed views.If you create a local custom view using the same naming convention as a distributed view, Vault will replace the local view with the distributed view.
Click Apply to save the changes.
Click Done to close the dialog.
Tips for Customizing the Vault View
You can customize the view in the application window. By making efficient use of properties and customizing your view, data management becomes much more tailored to your project.
Turn the Navigation Pane On or Off
The navigation pane is located on the left side of the window. The navigation pane is displayed by default.
- From the View menu, select Navigation Pane.
- If the navigation pane is currently displayed, then it is hidden.
- If the navigation pane is currently hidden, then it is displayed.
Turn the Preview Pane On or Off
The preview pane is located at the bottom of the window. The preview pane is displayed by default.
- From the View menu, select Preview Pane.
- If the preview pane is currently displayed, then it is hidden.
- If the preview pane is currently hidden, then it is displayed.
Turn the Saved Shortcuts Pane On or Off
The saved shortcuts pane is part of the navigation pane. It displays the shortcuts you've created. It is displayed by default.
From the View menu, select Saved Shortcuts pane.
If the saved shortcuts pane is currently displayed, then it is hidden.
If the saved shortcuts pane is currently hidden, then it is displayed.
Note: The saved shortcuts pane is not displayed if the navigation pane is turned off.
Turn the Toolbars On or Off
The standard toolbar is displayed by default.
- From the View menu, select Standard or Advanced.
- If the toolbar is currently displayed, then it is hidden.
- If the toolbar is currently hidden, then it is displayed.
Customize How the Toolbar is Organized
The standard and advanced toolbar and menus can be customized to fit your needs.
- From the View menu, select Customize. The Customization dialog is displayed.
- Use the tabs to customize the organization of the toolbar, the menus, and to change menu options such as screen tips and usage data.
- Drag the toolbar buttons to reorder, add, and remove buttons.
Change the Display of Status Bar
The status bar at the bottom of the window displays the number of files currently selected, the name of the server into which you are currently logged, the name of the active vault database, and the account name currently logged into the vault. The status bar is turned on by default.
- From the View menu, select Status Bar. If the status bar is currently displayed, then it is hidden. If the status bar is currently hidden, then it is displayed.
Customize the View
The view can be customized per folder.
- Click on the folder.
- Right-click on a column in the main pane.
- Select Apply Settings to > Current View to customize the view of the currently opened folder.
- Select Apply Settings to > Default View to customize all the folders in the current hierarchy.
