Submittals

Submittals are documents created for consumption by other companies. Learn how to control your RFI email notifications.

Submittals are broken up into two groupings:

Items: Consist of a document or group of documents.
Packages: Consist of a group of Items.

Packages are not required to go through the review process. Packages can be used to break up items that require revisions. For example, you could make items for electrical and mechanical systems. Once the related documents are in each of the items a package can be sent for review with both items. This allows one of the items to be accepted while the other needs a revision.

Note: Items can only be added to a package by a manager.

Submittals Workflow

Project administrators manage and coordinate responses to Submittals in their project team. Project administrators define the Submittals Managers and Responsible Contractors for their project.

The following images walk through the Submittal workflow. Click a step to go to a page with more information about that step. The colors in the image indicate the role/responsibility:

Participants

The participant roles are defined as follows:

Responsible Contractor

The primary subcontractor responsible for submitting the required shop drawings, material data, samples, and product data for approval.

Creating submittal items (if necessary).
Adding required material to submittal items for review.

Manager

Typically, the General Contractor. The Manager's primary abilities include:

Creating items and assigning them to the responsible contractor.
Assembling items into packages.
Assigning packages to the reviewer and co-reviewers.

* Managers can submit single items for review. In this case, a package is automatically created with the same name as the item.

Reviewer

The primary reviewer (typically, the Architect) who is responsible for reviewing and approving the submitted materials. The Reviewer's primary abilities include:

Reviewing the submittal.
Assigning co-reviewers and managing official responses.

Co-Reviewers

Engineers and consultants asked for review/feedback as part of the review process (usually by the Reviewer).

Distribution List

Various stakeholders to be informed (notice only) upon status changes.
