Suggesting Schedule Updates

The Suggesting mode allows suggesting updates to a project's schedule by members with Contribute permissions or higher. Only members with appropriate permissions have access to the Suggesting mode:

The Suggesting mode facilitates collaboration on important updates to your project schedule, serves as a dedicated communication channel for schedules, and helps manage projects effectively. Once suggestions are reviewed and submitted to the Manager, they go through a formal review process.

Important: For updates to be visible in a schedule it's necessary to update a schedule after introducing accepted updates to the file in an external tool. The reviewer needs to update a schedule file in an external tool and import an updated version.

Suggesting View and Workflow

To enter the Suggesting mode:

  1. Click the Viewing drop-down list in the Activities tab.
  2. Select Suggesting or follow the instructions in the video below.
Note: The Suggesting mode allows suggesting updates to the Start date, Finish date, Duration, Remaining duration, and % Complete.

Delay and Cost Impact

Use the Impact column to inform the reviewer of Delay and Cost impact.

Use button to add Root cause and update suggestion details. Button is only visible with mouse pointer over individual activity.

Note: Root cause drop-down list is based on a project's issues from the Issues tool.

Submitting Update Suggestions

To review all update suggestions:

  1. Click the number next to the Suggesting drop-down list .
  2. Conveniently review all your update suggestions using the Review your suggestions window.
Note: After reviewing suggestions it's necessary to submit them to a manager using Submit to manager button. Reviewers won't see your suggestions until you submit them.

Tracking Update Suggestions

With update suggestions submitted use the Suggestions log tab to track their status.

Use search and filter functions to quickly find individual update suggestions.

Important:

The Suggestions log can also be exported to Excel, supporting all the applied filters.

Managers

Reviewing Update Suggestions

Managers receive three types of notifications for suggested updates:

  1. Email.
  2. icon in the Schedule tool homepage.
  3. Gantt chart notification.
Tip: Managers can use notifications as shortcuts to access the Suggestions log.

There are Open and Resolved suggestions lists in the Suggestions log tab.

Open update suggestions require the Manager's review. To view all table columns, scroll the table horizontally.

When changing suggestion the status, the manager can leave a response note that will be displayed in the Response Note column.

Important: Activity updated checkbox in the Status column does not update the schedule. It is used to track updates that are already introduced to the schedule in an external tool. For updates to be visible in the schedule it's necessary to update a schedule after introducing accepted updates to the file in an external tool.

Available statuses:

  1. In review: for update suggestions that currently undergo review.
  2. Mitigated: for update suggestions that are not necessary.
  3. Allowed: for update suggestions that passed review and will be applied to schedule.
Note: Saving manager's responses will notify members who suggested individual updates.

Reopening

Setting and saving Mitigated or Allowed statuses will move update suggestions to Resolved list.

If there's a need to reopen one of resolved suggestions do the following:

  1. Navigate to the Resolved list.
  2. Click More menu.
  3. Click Reopen.

Searching and Filtering

There may be lots of update suggestions in large and complex schedules. Searching and filtering can be used to facilitate the navigation and review process.

Note: Searching and filtering affect both the Open and the Resolved tables.

To search update suggestions use the Search bar in the top, right corner.

To filter update suggestions click the Filter icon and select filtering criteria in the right navigation. Filters include:

  1. Milestone and Critical checkboxes.
  2. Status.
  3. Contributors (Suggested by).
  4. Root cause.
  5. Delayed and Cost impact checkboxes.
  6. Date range.
  7. Updated in schedule: for activities updated from an external tool with Activity updated checkbox checked by a reviewer.
