Document Existing Correspondence

To store preexisting correspondence from your email client into the Correspondence tool, use File from email, and select the method that best fits your needs:

  • Project Email Address: For ongoing conversations where you want real-time updates in Autodesk® Build
  • Upload Emails: For completed conversations you want to document (up to 100 emails at once)

Project Email Address

To incorporate ongoing discussions into correspondences for systematic documentation:

  1. Click the Project email address option.
  2. Copy the project's dedicated email address from the Correspondence tool.
  3. Access your email client.
  4. Add the project email address as a recipient (not BCC) in any new email that you wish to be documented in the tool.
  5. Keep the project email address as a recipient in every reply that you wish to document.

The entire conversation thread will stay updated in Autodesk® Build automatically. You'll receive a notification confirming successful storage, and nonmembers can also add the project email address to maintain complete project communication records.

Add as recipient (recommended): Captures full conversation threads with original senders and automatically includes future replies.

Forwarding (not recommended): Only captures single emails, shows you as the sender instead of the original sender, and doesn't capture future replies.

Upload Emails

The Upload emails option helps you document completed conversations as correspondences. This method is designed for documentation of finished conversations - any new replies to uploaded emails are not captured automatically.

If conversations continue after upload: Upload each new message manually, or continue the conversation from ACC (replies will come from your ACC project account).

Step 1: Download Emails from Your Email Client

Before uploading emails to the Correspondence tool, you need to download them to your computer as individual files.

Microsoft Outlook

  1. Open Outlook desktop or web application and navigate to your inbox or the folder containing the emails that you want to upload.

  2. Select the email or email thread that you want to save.

  3. Go to File, and then click Save As.

  4. Choose the format of the email.

  5. Choose a location on your computer to save the files.

  6. Click Save.

  7. Repeat for each email or email thread you want to upload.

Gmail

  1. Open Gmail in your web browser.
  2. Open the email that you want to download.
  3. Click the More Three vertical dots icon menu in the email.
  4. Select Download message.
  5. The email will be saved as an EML file to your computer's Downloads folder.
  6. Repeat for each email you want to upload.

Step 2: Upload Emails to Correspondence

  1. In the Correspondence tool, select File from email, and then click Upload emails.
  2. In the Upload emails window, drag downloaded emails from the location where you saved your email files. You can also click Choose files.
  3. Select the email files that you want to upload. You can select multiple files at once but if you want to retain consistency, upload emails one by one. Tip: To keep your correspondence private, select the Private option from the drop-down list. By default, all correspondence is public unless changed by administrators in settings.
  4. Click Upload. Keep your browser open until the uploading phase is complete. You may continue working while the upload is in progress.
  5. Click Done after verifying the upload status.

When uploading email files from the same email thread, upload them one at a time in separate uploads to preserve the correct chronological order of the conversation.

You'll receive an email notification with the upload status after uploading emails to the Correspondence tool.

Tip: Supported file formats are MSG and EML.

Troubleshooting

Problem Solution
Upload fails or files not recognized. Ensure that your email files are in MSG or EML format.
Large file upload takes too long. Upload emails in smaller batches (10-20 at a time).
Cannot find downloaded email files. Check your Downloads folder or the location that you specified when saving emails.
I use a different email client and can't download emails. Look for "Export," "Save As," or "Download" options in your email client. Most support EML format. Check your email provider's help documentation for specific steps.
