Fill Out and Submit PDF Forms

PDF forms will have fillable fields where you can enter information and add to the PDF.

Note: A PDF may have smart fields, which will autopopulate fields like project name, date, and more.

The following corresponds to the numbers in the previous image.

  1. Form Details

    • Form date: Select a date.

    • Location: Select a location from the drop-down menu. Configure Locations in your project settings. Learn more about project locations.

    • ID: A number automatically assigned to this form sequentially based on the number of forms created in this project.

    • Due date: Select a due date.

    • Description: Enter a description to provide context for this form for your team.

    • Assigned to: (Only available on Sequential PDF forms) Assign the form to a specific member. The assigned member will receive a notification.

      Note: Assigning to companies or roles is not available for PDF forms. PDF forms only allow for one member to edit at a time. So if multiple people need to contribute, a PDF form needs to be assigned to each person one at a time.
    • The information next to the eye icon provides you with the form's editability and visibility. Click the blue text to see a list of the viewers, editors, reviewers, and managers on the form. Learn more about these different form permissions in Form Statuses and Permissions.

  2. References: Use the Add references drop-down menu to attach assets, photos, issues, files, or other forms to the form. These will be included with the form once it's submitted.

  3. PDF tools

    • Zoom in and out
    • Add text: Adjust the text color, fill, opacity, font, size, and alignment in the toolbar that appears and click a point on the PDF to add text.
    • Add image: Select an image from your computer to add to the PDF.
    • Annotate: Select color, fill, opacity, thickness, and other formatting options in the toolbar that appears and draw annotations on the PDF.
    • Download PDF
    • Replace PDF: Upload a form to replace this form. You may do this if you have a filled-out, scanned copy of the PDF form all ready to upload and submit.
  4. Fill out fields accordingly.

  5. Save a form.

  6. To delete an In Progress form, click Discard.

  7. Submit a form. If there are reviewers, this will move the form to the In Review status. If there are no reviewers, the form will move to the Closed status.
