Sharing RFIs through Bridge Limitations and Constraints

After a closed RFI is created in a target project, it becomes view-only in that project. Any further updating and processing of the RFI will continue in the primary project. Understanding these limitations helps you plan your RFI sharing strategy effectively.

Exceptions and limitations

  1. Editable fields: RFI Number and Watchers fields remain editable in all projects. Their values won't be copied into the same fields on other projects when sharing the RFI through Bridge.
  2. Workflow actions: Only the Duplicate action remains available. Reopen and Void options aren't available for RFIs received through Bridge.
  3. Reopened RFIs: An RFI shared through Bridge that was reopened in the source project will have the Workflow Bar hidden in the target project.

Out of sync indicators

When RFIs become out of sync

  • While an RFI is closed in the target project, changes may still occur to it, as project administrators can update it
  • When an RFI is reopened in the source project, a status update occurs in all actively bridged target projects. The status becomes either "Open Waiting for Submission" or "Open Answered," according to the previous status of the RFI before it was closed
  • Exception: If the Bridge connection between projects was removed, those target projects won't receive any additional updates, including status updates

Out of sync warning indicators

A red warning icon appears next to the title of each RFI that had changes made to it on the source project that weren't synced to the target project(s). The same warning icon appears on the source project if changes were made to the RFI and weren't shared through Bridge.

Managing out of sync indicators:

  • Removing the Bridge of a source project from all its target projects removes the "Out of sync" indication from all RFIs in the source project
  • Target projects that already have "Out of sync" RFIs shared through Bridge and then had the Bridge between the two projects removed will still show the "Out of sync" warning
  • This warning is only removed if the two projects become bridged again in the future and the same RFIs are re-shared through Bridge

Planning considerations

When implementing RFI sharing through Bridge, consider:

  1. Primary project management: Designate one project as the primary location for RFI updates
  2. User training: Ensure team members understand the read-only nature of shared RFIs
  3. Bridge maintenance: Regularly review and maintain Bridge connections
  4. Sync monitoring: Monitor for out-of-sync indicators and address promptly
