Workload

Workload represents the amount of work planned in a given time period and is based on all the scheduled Tasks. This will be shown in charts and tables in Person Days and is designated by a new Task-based calculated field called Workload. Since the Workload field is on the Task entity, it is accessible on any Task page.

Configure the formula for the Workload field

By default, the Workload field formula pulls in the Tasks Duration field, which is a good recommended starting value. Instead of using Duration, you can configure the formula of the Workload field to take into account one or several Task fields that represent Workload in your studio, such as Bid. Or perform calculations using several fields, such as: Bid - Time Logged.

This provides a lot of flexibility. For example, you can decide whether Workload represents the planned schedule, or the difference between how the schedule was intended to run and how it is currently running.

Notes:

  • If Project and Artist specific Work Schedules are applied, this can lead to discrepancies in data. On Studio, Overview and Department charts, Workload calculations take into account studio level Work Schedules, but are not influenced by Project or individual Artist's Work Schedules. For example, if a Project is using Work Schedules to schedule overtime, such as weekend work, or to schedule a break in the Project, these factors will not influence their workload since they are project and individual specific work schedules. Equally, if an Artist has a day off or overtime applied using Work Schedules, these will not be reflected in the workload.
  • The Department pages take into account individual Artists Work Schedules, but not Project Work Schedules.
  • The Project pages take into account all Work Schedules (Studio, Project, Artist).
  • Workload does not take into account any split Tasks on the Task Gantt.
  • The Workload field is configured globally and cannot be configured per project.

Here is an example of how the Workload field can be configured (based on a custom field):
