Manage Shortcuts

A shortcut is a pointer to an associated folder or object.

Shortcuts can be created that point to folders , items, or files. When you click a shortcut in the navigation pane, the associated object is displayed in the main view. Shortcuts can be organized by groups, renamed, and removed from the navigation pane. The shortcuts that are displayed depend on the environment.

Note:
  • Only file and folder shortcuts are available when the Vault environment is selected.
  • Only item shortcuts are available when the Item Master environment is selected.
  • All the shortcuts are listed when the Folder List is selected.

Shortcuts are saved for each user account, so you can have your own collection of frequently used shortcuts. You can see all saved shortcuts under Saved Shortcuts > My Shortcuts

In addition to the saved shortcuts created-by-you (listed under My Shortcuts), there are distributed shortcuts that are saved by the administrator tailored to your project. These are the initial shortcuts set when you access the system.

As an administrator, you can create a shortcut and save it as a distributed shortcut for use. The administrator can then deploy the distributed shortcut to the Vault Client, allowing users to use it for their regular activities.

Note: You must have an "Administrator" or "Configuration Administrator" role to manage and deploy client configuration settings.

As a user, you can use the default shortcut created by the administrator, or copy to modify it as per your requirement.

Saved Shortcut Pane

The Saved Shortcuts pane displays and organizes any shortcuts to folders, items, or files that you create. It is part of the navigation pane. If you hide the navigation pane, the Saved Shortcuts pane is also hidden. By default, the Saved Shortcuts pane is displayed.

Create a Shortcut

Right-click a folder in the navigation pane or on a file in the main view, and then select Create Shortcut from the context menu.

  • Select My Shortcut to create a new shortcut for use.
  • Select Distributed shortcut to create a new shortcut to be made available for users. This command is only available-for-administration.

Choose to show or hide the shortcut you have created. If you are administrator, you can choose to save the shortcut as a distributed shortcut to be deployed on the Vault Client.

A shortcut is added to the saved shortcut pane under My Shortcuts (created-by-you) or Distributed Shortcuts (created by administrator). You can drag shortcuts within the group to change their order within the list or drag from Distributed Shortcuts to list under My Shortcuts.

Shortcuts can also be created from links to objects. Right-click on a link to any object and select Create Shortcut from the context menu. A shortcut to the target object is added to the saved shortcut pane.

Note: Shortcuts created from a project link will direct the user to the target of the link. For example, if the user right-clicks on a link to an Item and chooses the Create Shortcut command, a shortcut is added to the saved shortcut pane that points to the Item. It does NOT point to the link to the Item. Refer to Project Links for more information.

Follow a Shortcut

Click a shortcut to display the contents of the associated folder or file in the main pane.

Note: If the shortcut points to a folder or file that has been deleted, you are informed that the associated object was deleted and prompted to delete the empty shortcut.

Rename a Shortcut Group

Right-click a group, and then select Rename from the Context menu. Enter a new name for the group in the text box.

Remove a Shortcut Group

Right-click a shortcut group and then select Delete from the Context menu. The shortcut group is removed and any shortcuts contained in the group are removed.

Note: Shortcuts cannot be created for search folders.

Group Shortcuts

  1. Right-click the My Shortcuts node or Distributed Shortcuts node (available-for-administration) under the Saved Shortcuts, and click New Group.
  2. Enter a new name for the group in the text box.
  3. Select a shortcut, and then drag it to the new group. The shortcut is moved into the group.
  4. Double-click the group to expand it.
  5. Drag shortcuts within the group to change their order within the list.

Rename a Shortcut

Right-click a shortcut, and then select Rename from the Context menu. Enter a new name for the shortcut in the text box.

Remove a Shortcut

Right-click a shortcut, and then select Delete. Only the shortcut is removed, not the associated folder or file.

Manage Shortcuts

The Manage Shortcuts dialog lists all the saved shortcuts created-by-you and the administrator. You can choose to show/hide the saved shortcuts you have created to show on the Vault Client.

  • Copy: to copy the selected shortcut. You can only copy one shortcut at a time.
  • Rename: to rename the selected shortcut.
  • Delete: to delete the selected shortcut.
Note: You must be an "Administrator" or "Configuration Administrator" to rename or delete the distributed shortcut.
