Workspace Manager summary

About PLM workspaces

Learn about workspaces, workspace types, and workspace housekeeping tasks like clone, purge, and delete. Workspaces are virtual spaces for storing, viewing, and working with data items that share the same attributes, and come in different types including basic, revision-controlled, and supplier management workspaces. The page explains setup requirements and management functions like cloning, purging, and deleting workspaces.

Add workspace relationships

Create relationships between your workspaces and other workspaces on your site to enable linking items through BOM, Relationships, Linked/Managed Items, and Project Management tabs. The page covers how to set up relationships for different tabs and explains advanced functionality for revision-controlled items. Relationships allow you to specify which workspaces are available when adding linked items to various workspace tabs.

Configure workspace behaviors

Configure behaviors in workspaces to have the system perform specific actions when workspace events occur, such as running Action scripts when new items are created or modified. You can set up behaviors for item creation, modification, and on-demand execution through the Behaviors page. On-demand scripts can be run by users with read/write permissions and are available through the Run menu in the workspace header.

Customize tab names

Customize the name and sort order of tabs in your workspaces to meet your organization's specific needs. You can change tab names, revert to default names, and drag tabs to reorder them, though Item Details must always remain first. The customization is done through the Tab Names page in Workspace Manager.

Specify descriptor fields

Specify the fields to use in a workspace descriptor, which appears on workspace page headers and as text for item links throughout the UI. Every workspace item has a descriptor made up of up to four fields selected from the Item Details tab. The page provides recommendations for choosing descriptor fields, noting they should contain constant values and avoid restricted section fields.

Configure forms and views

Use Workspace Manager to configure the forms, tables, and views in the Item Details, Grid, Managed Items, Bill of Materials, and Sourcing tabs on your site. This is a parent topic that covers the overall configuration of workspace forms and views.

Set up print views

Set up custom print views of items in your workspaces with two types available: Basic and Advanced. When print views are configured, a Print icon appears on the workspace page header allowing users to print custom views of active items. Multiple print views create a dropdown menu for users to select their preferred view.

Configure forms and views

Configure the item details form

Configure the fields and layout of the Item Details tab form to suit your needs, including creating fields, adding sections, and assigning fields to sections. The page covers advanced topics like restricting section access by user groups, adding tables and matrices, and adding classification sections. You can create various field types and apply validators to ensure data quality.

Create fields

Learn about the several types of fields you can configure in Item Details, Grid, Bill of Materials, Sourcing, and Workflow Items tabs of your workspaces. Field types range from simple Single Line Text fields to complex ones like Filtered Picklist and Derived fields. The page also covers field validators that help ensure clean, accurate, and useful data.

Configure other table views

Configure the Linked Items/Managed Items and Sourcing tabs which display information in tabular format with predefined columns. You can add custom columns to these tables similar to the Grid tab, though the sorting order is fixed. The configuration process follows the same instructions as the Workspace Grid with tab-specific settings.

Configure the workspace grid

Enable and configure the Grid tab in any workspace to display data in tabular form, including adding fields, assigning them to the grid, and configuring sort order. The Grid tab must be enabled through proper permissions setup before configuration. The page covers both field configuration and permission requirements for the Grid tab.

Customize item preview fields

Customize the Item Preview Data Card to display additional fields beyond the default first section of the Item Details tab. Each field you want displayed must have the "Visible on preview" checkbox explicitly selected during field configuration. This allows you to control which fields appear in the item preview data card for specific workspaces.

Field types

This topic lists and describes the types of fields you can add to Item Details, Grid, Bill of Materials, Sourcing, and Workflow Items tabs. Field types determine how data is input, stored, and displayed, ranging from Auto Number and Integer to complex Picklist and Derived fields. The page includes a comprehensive table of all available field types with descriptions and notes on tab support.

Field validators

Learn about validators you can apply to fields to ensure clean, accurate, and useful data, with validators grouped into implicit, basic, format, dependency, and uniqueness categories. The available validators depend on the field type being created and include options for required fields, unique values, date comparisons, and regular expressions. Special attention is given to unique strict validation and warnings about restricted section fields.

Picklist fields

Picklist fields allow users to select from predefined lists of values, either user-defined values or records from workspaces. The page covers creating both simple and filtered picklist fields, with detailed examples of customer selection scenarios. Filtered picklists allow incremental filtering across multiple fields pointing to the same workspace picklist for more efficient data selection.

Derived fields

Derived fields allow you to display data sourced from items in another workspace, automatically populating when users select items from picklist fields. These fields eliminate the need for complex scripts to copy data between workspaces and reduce manual data entry errors. Derived fields are dynamic and automatically update when source data changes, appearing as read-only fields to users.

Roll up fields

Roll up fields display calculated values in the BOM that are derived from other BOM fields or Item Details fields, supporting Float, Integer, Money, Date, and Check Box data types. Functions like Sum, Minimum, Maximum, Earliest, Latest, and checkbox aggregations can be applied to source fields. The rolled up values are totaled at the bottom of the BOM and are only available for the BOM tab.

Set up print views

Set up a basic print view

Set up basic print views for a workspace through the Setup Print Views page by selecting tabs to include in the print view. You can create multiple print views and reorder them by dragging view containers to control the order on the workspace Print icon dropdown menu. Basic print views allow quick selection of workspace tabs for printing without advanced formatting options.

Set up an advanced print view

Set up advanced print views through the Advanced Print Views page with full editing capabilities including workspace artifacts insertion and custom formatting. You can insert individual workspace tabs or sections, add custom text content, and apply formatting using editor tools. Advanced print views offer more control over layout and presentation compared to basic print views, with options to hide views from the print menu and test with specific item IDs.
