Export RFIs

Exporting RFIs allows for the creation of comprehensive reports that act as vital documentation for a project. These reports can be tailored to include individual RFIs in a PDF format or encompass all RFIs in either PDF or XLSX format.

Export Single RFI

To export an individual RFI, follow these steps:

  1. Navigate to the RFIs tool by clicking on RFIs from the left navigation bar.

  2. Choose and open the RFI to export from the RFIs list.

  3. Click Export button located in the top-right corner. A panel will open, allowing you to select which sections of the report to include or exclude:

    • Photos
    • References
    • Activity Log
    • Comments
    • Embed References
    • Embed Official Response Attachments
  4. Click Run Report to generate the report.

Limitations for Embedding References and Official Response Attachments

When using the Embed References and Embed Official Response Attachments options, note the following limitations:

  • Only PDF files will be embedded in the report.
  • Files larger than 30 MB will not be included.
  • If there are more than 10 PDF references or 10 PDF attachments (not combined, 20 in total), that type of file will not be included in the report.

After the report has been successfully generated, you can either download it directly by clicking on Download report, or you can copy the link to the report to conveniently share it with others.

Note: If you upload a PDF that is owner password protected, and choose to embed the PDF when exporting, the owner password will be removed in the final report See Reports FAQ and Troubleshooting for more information and possible workarounds.


Export RFI Summary Report

To create a more extensive RFI report, which includes all RFIs, follow these steps:

  1. Click RFIs from the left navigation to open the RFIs tool.
  2. Click Export button.
  3. Enter a meaningful Title for the report.
  4. Select the preferred file format for the report, either PDF or Excel.
    • If opting for the PDF format, you have the option to include a Cover page and a Table of contents for the report.
  5. Click Run Report to generate the report.

Important:

If the option to embed PDF attachments is toggled on, owner passwords are removed from PDF attachments in the final report. User password-protected attachments will cause your report export to fail. The report accepts up to 10 PDF attachments, each up to 30 MB. Irrelevant attachment types are disabled. See Reports FAQ and Troubleshooting for more information and possible workarounds.

PDF Atachment Password Protection Types

When exporting submittals, you can include PDF attachments that may have password protection. There are two types of passwords that can be applied to PDF files:

Owner Password

An owner password:

  • Restricts editing, printing, and copying content
  • Lets any user open and view the PDF
  • Allows the file to be embedded as an attachment
Note: The system automatically removes owner passwords during report generation to enable PDF embedding.

User Password

A user password:

  • Restricts who can open and view the PDF attachment
  • Prevents unauthorized access to content
  • Blocks the file from being embedded as an attachment

When embedding PDFs:

  • Files with user passwords cannot be embedded
  • Files with only owner passwords can be embedded
  • The system preserves user passwords but removes owner passwords

RFI Summary Reports in the Reports Tool

RFI Summary Reports in the Reports Tool allow you to generate PDF Summary Reports for RFIs, providing the flexibility to customize the report structure and fields to include or exclude. You can create templates based on the preferred report structure for future use.
