Supplier: Manage documents associated with your assignment
Your customer may have attached a document to the business process they have sent to you. This may provide further information about the assigment or item.
View a document associated with your assignment
In the Item details pane of the Supplier Portal, open the Business processes
tab.
In your email notification, refer to the Type to see whether you should expand Requirements, Quality assurance, or Investigation requests (RFQ).
Click the arrow
icon corresponding to the type of business process that has your assignment to expand that section.
Click your assignment.
A pop-up window opens to the Details
tab of the business process.
Open the Documents
tab.
Corresponding to the document you want to view, click more actions
> Download.
A read-only copy of the document is downloaded to your computer.
Modify a document associated to your assignment
In the Item details pane of the Supplier Portal, open the Business processes
tab.
In your email notification, refer to the Type to see whether you should expand Requirements, Quality assurance, or Investigation requests (RFQ).
Click the arrow
icon corresponding to the type of business process that has your assignment to expand that section.
Click your assignment.
A pop-up window opens to the Details
tab of the business process.
Open the Documents
tab.
Corresponding to the document you want to view, click more actions
> Check out.
An editable copy of the document is downloaded to your computer. You may now make any necessary changes to the document.
To save you changes back into Upchain and create a new version of the document, click the more actions icon and select Check in.
Attach a document to the item
You may attach a document to the item associated with your assignment. You might do this if a quote template was attached to the RFQ email and you want to send your completed copy back to your customer.
- In the Item details pane of the Supplier Portal, open the Documents
tab.
- Click Add.
- Locate the document on your computer and click Open.
The document is uploaded to the item, given a document number, put in a Draft state, and assigned document version 1.
You may now click the more actions icon and select:
- Download to download a read-only copy of the document.
- Check out to download an editable copy of the document to modify it further.
- Remove to remove the document from the item.
- Check in after you checked out the document to save any changes you made and create a new document version.
All documents that you associate with the item, including past assignments, are all listed under the Documents tab as long as you are the item's supplier.
