Manage advanced workspace features

Manage additional tabs in a workspace

In many of the workspaces, the Grid Tab contains data shown in a tabular form. Specifically, pay attention to the following:

  • The Change Approval Templates workspace uses the Grid Tab to manage standard tasks that would be completed as part of a change request or change order.
  • The Change Orders and Change Requests workspaces use the Grid tab to create and manage change tasks.
  • Because a change approval template is mandatory for completion of change requests and change orders, tasks contained in its Grid Tab are configured to be mapped to the same fields in the Grid Tab of change requests and change orders.

The Managed Items Tab is similar to the Grid Tab; it manages data in a table. In the Problem Reports, Change Requests, Change Orders, and Change Tasks workspaces, this tab is used to list the items that are affected by the change process and are named Affected Items accordingly.

The Bill of Materials Tab can be used to set up different BOM views. By default, the BOM tab is not enabled in your site and not really relevant to most workspaces anyway. We recommend leaving this alone.

The Sourcing Tab can be used to manage supplier and quote information, capture component costs, and view rolled-up cost totals in a bill of materials. This is not enabled in your site by default, and we recommend you leave it this way until supplier management capabilities are made available to you in the future.

Recommendations

  • Maintain all fields managed within the grid tabs for Change Approval Templates, Change Orders, or Change Requests workspaces as they are as modifying them could break the link between change templates, change requests, and change orders.
  • Maintain all fields managed within the Managed Items, Bill of Materials Tab, and the Sourcing Tab as they are for any default workspace as modifying or deleting them could lead to unexpected results.

Manage the contents of a workspace

Within each workspace, you'll see five options: Clone, Purge, Delete, Re-index, and Refresh derived fields. Within the Components and Drawings workspaces, you'll only see Purge.

For instance, the Delete option permanently deletes an entire workspace including all items, settings, and configuration. This is a permanent action and cannot be undone.

The Purge option deletes all items in a workspace and restores the workspace to its initial, empty state. Purging a workspace deletes all the items but retains its settings and configuration. You might find it useful to do this if you have created a lot of data through testing and training and now want to start fresh for production data.

Recommendations

  • Only purge a workspace once you are absolutely sure you no longer need the data. Purged items are permanently deleted and cannot be recovered.
  • Consult your Autodesk representative before using any of these administrative options.

Explore workspace behaviors

Behaviors enable you to have Fusion Manage Extension perform a certain action whenever a specific workspace event takes place. For example, you can configure a behavior in a workspace that triggers an Action script whenever a new workspace item is created. See Scripting summary for more information on scripting and Manage system workspaces on an example of a behavior that is already configured in your site.

Recommendations

  • Retain the default behavior settings as modifying them could lead to unexpected results.

Understand the System Configuration section

In PLM Settings > System Configuration, there is Scripting section that contain existing scripts which are used in various fields and workflows throughout your site. For information on how Fusion Manage Extension uses scripts, see Scripting summary.

Recommendations

  • Retain existing scripts as they are as modifying them may lead to unexpected results and could even break the existing setup.
  • Speak to your Autodesk representative to discuss any changes you want to make before attempting to make them yourself.
