About out-of-office notifications
When team members are given an assignment (either as a part of a workflow or a project activity) it may happen that the assignee is not available to perform the assignment. Team members may setup their own out-of-office (OOO) notification and Tenant Administrators may setup the OOO notification on behalf of a team member.
Once setup is complete, a notification alerts the person assigning the activity that the chosen assignee is unavailable to complete the assignment. Should they continue to choose the assignee who is away, the activity is automatically reassigned to the appointed delegate. If a workflow activity includes the participation of an absent assignee then the task is automatically assigned to the appointed delegate. If the delegate is also unavailable then the task is assigned to the delegate's delegate, and so on.
Tenant Administrators may reassign a task and override delegate appointments.
View a team member's OOO notification
The Project overview page includes OOO information about team members in two sections: when assigning an activity and in the list of activities.
When assigning a project management activity
When creating or updating a project activity, any project team member that has an OOO set for their account are listed at the top of the Assignee(s) drop-down list to clearly indicate who may not be available to complete the activity.
In the list of project activities
The list of project activities shows the OOO icon () for activities assigned to team members whose OOO timeframe falls on or within the assignment's scheduled duration.
