Plan Connection to Schedule

For plans connected to a schedule, tasks stay synchronized with schedule activities. A connected work plan allows linking tasks to activities to ensure coordination between planned tasks and scheduled execution.

You can navigate connected plans using breadcrumbs or contextual navigation panel.

Important:

Only plan managers can connect standalone plan to schedule.

Connect Plan to Schedule

To connect a standalone plan to a schedule:

  1. Open the Schedule tool homepage or a standalone plan.
  2. Click Connect to Schedule.
  3. Select the schedule you want to connect the plan to.
  4. Click Connect.

Disconnect Plan from Schedule

Plan managers can disconnect plans from schedules from the Schedule tool homepage using:

  • Plan thumbnail
  • Plan row (on 3 dots menu)

When a plan is disconnected, it becomes a standalone plan. The disconnected plan will retain its structure and permissions, but some changes will occur:

  • Connected task icons will be removed
  • Tasks with subtasks will maintain their hierarchy and behavior
  • The Compare to schedule option will be disabled in the plan configuration panel
  • Plan permissions will remain unchanged
  • The schedule members reference group will switch to project members

In the schedule view, activities that lose their connection to disconnected tasks will no longer display those tasks in the connected activity tooltip. If an activity no longer has any connected tasks, the connected activity icon will be removed.

Note:

After connecting a standalone plan to a schedule, it is possible to disconnect it if needed. However, connecting a plan to a schedule may result in changes to the plan's permissions.

Automatic Handling of Connectivity Loss

In addition to manual plan disconnection, connectivity between plans, schedules, tasks, and activities can be lost in various scenarios, such as:

  • Deletion of a plan
  • Deletion of a schedule
  • Deletion of a connected task

In these situations, the system will automatically handle the disconnections like manual plan disconnection. This ensures that the relationships between elements remain consistent and synchronized, minimizing any potential data loss or discrepancies.

Reconnecting Plans to Schedules

A disconnected plan becomes a standalone plan and can be easily reconnected to a schedule when needed. The process of reconnecting a plan is similar to connecting any other standalone plan, providing a seamless user experience.

When reconnecting a plan to its original schedule, no special handling is required. The system will restore the connections between the plan and the schedule while maintaining the existing structure and behavior of disconnected summary tasks and their subtasks.

Connected Task Attributes

A task created by connecting to a schedule activity will receive:

  • The activity name, which cannot be modified
  • The activity dates are based on active workdays

You can quickly navigate to the connected activity for further details.

Twinned Tasks as Summary Tasks

Tasks connected to scheduled activities can have multiple subtasks.

All standard actions can be done on these subtasks, like creating, moving, adding handoffs, etc.

Subtasks under a twinned summary task appear:

  • In the task list, indented under their parent twinned summary task

  • In the swimlane view, grouped together under their twinned parent summary task

Displaying Subtasks

Subtasks are displayed grouped under their parent summary task based on the summary task settings.

Summary tasks can be hidden in the Settings, which shows all subtasks flattened in the same hierarchy.

Date Misalignment

Dates in the plan can become misaligned with the schedule. This misalignment is usually a result of:

  1. A change in the task date within the plan.
  2. A change in the activity date when the schedule is updated with a new version.
  3. A difference in non-working days in the imported schedule and the plan.
  4. A removal of the schedule's activity with a connected plan

Date misalignments are indicated when a connected task has dates that differ from the linked schedule activity. The indications will appear as an alert in both the plan and in the schedule and also in the swimlane view as a misalignment of the range.

By hovering or clicking your cursor over the misalignment alert icon alert icon, you can see:

  1. Schedule name
  2. Activity dates
  3. All connected plans
  4. All connected task dates that are marked as misaligned

You may configure the appearance of the alerts in the plan configurations.
