Create Tasks

Create Task in Swimlane

Double-click on the swimlane or use the quick create button.

Create Task in List

Use the Create Task button at the top of the list view.

Create Subtask

To create a subtask in the Swimlane view:

  1. Right-click on the parent task.
  2. Select Add Subtask.

To create a subtask in the List view:

  1. Click the quick action menu on the right of the parent task.
  2. Select Add Subtask.

Important:

Subtask cannot be added to milestones.

Import Tasks From Excel

Excel import allows you to efficiently create multiple tasks at once by uploading task data from a spreadsheet.

Download and Use the Template

To import tasks from Excel:

  1. Open a plan in either the List or Swimlane view.
  2. Click the arrow next to the Create task button, then click Import.
  3. Click Sample file to download the template.
  4. Fill in the template with your task information following the format guidelines.
  5. Return to the Import dialog and upload your completed file by:
    • Dragging and dropping the file into the dialog
    • Clicking "Choose file" to browse for the file
    • Only XLSX files are supported

Template Attributes

The Excel template supports the following task attributes:

Import Validation

When you upload your file, the system validates the data before import:

  • All required fields must have values
  • Data format must match the expected format (dates, email addresses, etc.)
  • For assignments, the system checks that users, companies, and roles exist in the project

If validation errors occur:

  1. The system will display which cells contain errors
  2. You'll receive an email with the full error list
  3. You can then correct your template and retry the import

Import Limits

  • A single import can contain up to 500 tasks
  • For larger imports, split your data into multiple files of 500 tasks or less

Post-Import

After successful import:

  • Tasks will appear in the plan view
  • Created tasks will have the import date as their "Created at" time
  • You as the importer will be set as the "Creator"
  • Tasks will maintain their attributes as specified in the import file
  • You will receive an email notification confirming the successful import

Limitations

  • Creating subtasks is currently not supported through import
  • Updating existing tasks is currently not supported through import, only the creation of new tasks

Handoff Connections

To create handoffs between tasks in your import file:

  1. Assign a unique Handoff ID to each task that will be a predecessor to other tasks
  2. Use these IDs in the Previous handoffs IDs column for the dependent tasks, separating multiple IDs with commas
  3. The Handoff ID is used only during import and won't be saved as the Task ID in the system

Migrating from BIM360 Plan

If you're migrating data from BIM360 Plan:

  1. Export your data from BIM360 Plan to Excel
  2. For projects with more than 500 activities, split the data into multiple files
  3. Ensure your ACC project has similar:
    • Companies, Roles, and Assignees
    • Location tree structure
    • WBS structure
    • Non-working days configuration
  4. Create a dedicated plan for the imported data
  5. Map the BIM360 columns to the ACC template columns following the conversion guidelines

View and Edit Tasks

Task Detail Panel

To open the task panel and view/edit details:

Double-click on the task in the Swimlane view or click the task title or ID in the List view.

Section Field/Option Description

Dates & Progress

  • Start/End Dates - Edit the date range. Dates will be adjusted based on task handoffs and restrictions. The red color indicates overdue dates.
  • Duration - View and edit the task duration.
  • % Complete - Indicate what percentage of the task is complete.

General

  • Type - Choose Task or Milestone

  • Work Type

  • Title - Edit the task title

  • Description - Add text to summarize or give information about the task. Supports rich text formatting like bold, italics, checklists, etc.

  • Status - Select the task status. Each status has an associated color indicator.

Assignments

  • Company - Assign the task to a company.
  • Assignee - Assign the task to a person.
  • Role - Assign the task to a role.
  • WBS - Assign the task to a Work Breakdown Structure category.
  • Location - Assign the task to a location.

Additional

  • Priority - Set the priority - Low, Normal, High
  • Crew Size - Specify the number of people needed for the task.

Handoffs

  • Previous Handoffs - Tasks that preceded the current task.
  • Future Handoffs - Tasks that depend on current task.

Multiple Task Editing

You can select multiple tasks and batch edit their attributes all at once, such as changing the status or assignee for multiple tasks together.

Inline Edit

In the list view, you can directly edit task values by clicking in the cells, allowing quick edits without opening the task panel.

Edit Logics

There are configurable rules that control how edits impact other values, like how changing a date can cascade and auto-adjust dates of linked tasks.

Auto-correct - The auto-correct logic determines how date changes will cascade and impact linked or dependent tasks. You can choose whether date changes shift subsequent tasks automatically or require manual updating.

Dates logic:

Undo and Redo

You can easily revert recent edits or reinstate them using the undo and redo functions. This allows you to easily fix mistakes or experiment with edits safely.

Task Handoffs

Linking Dependent Tasks

You can link tasks to show handoffs and enable cascading date changes.

Adding Handoffs

You can add handoffs in two ways:

In the Task Panel:

  1. Click Add.
  2. Select previous and/or future handoffs.
  3. Multi-select from the task list.
  4. Filter by time and work type.
  5. Search by title.

In the Swimlane View:

  1. Drag-and-drop handoff holds on the sides of a task card.
  2. Connect to the desired parent/child tasks.

Removing Handoffs

To remove a handoff in the Swimlane view:

  1. Right-click the link indicator between two tasks.
  2. Select Remove Handoffs.

Task References

You can link other items in Build to tasks, making it easy to connect related information. Task references allow you to associate objects like assets, files, issues, RFIs, spec sections and more directly to relevant tasks. This helps provide context, enables quicker navigation between linked items, and keeps everything organized.

By linking related items to your project tasks, you can better organize information, quickly jump between connected objects, and maintain context across the entire project. Task references are a powerful way to keep everything tied together logically as you collaborate in Build.

To add a reference to a task:

  1. Open the task detail panel by double-clicking a task in the swimlane view or clicking the task name in the list view.
  2. In the References section, click the Add button.
  3. Select the desired object type (Assets, Files, RFIs, Spec Sections, etc.) you want to reference.
  4. Choose the specific object from the list and click Add.

Members with appropriate edit permissions for the task can add and remove references.

Viewing and Accessing Task References Task references are conveniently accessible in several places:

  • The task detail panel shows a dedicated References section listing all linked objects grouped by type. Clicking a reference opens the corresponding object in a new window.
  • On the swimlane view, task cards display an icon indicating the number of references. Hovering over the icon shows a summary of linked objects.
  • The list view can be configured to include a References column showing a count of each task's references. Hovering over the count previews the individual references.

Actions

There are various operations that can be performed quickly on tasks such as:

  • Delete - Permanently remove and delete selected tasks.
  • Quick Complete - Mark selected tasks as complete with a single click.
  • Duplicate - Make copies of selected tasks within the plan. Tasks can be duplicated with or without subtasks.
  • Detach - Convert a subtask into a standalone task, removing it from under its parent task.
  • Reopen Tasks - Tasks marked as complete or incomplete can be reopened, changing them back to an open status.
  • Move - Relocate tasks to a different row or group based on the Group by configuration. This can be done by dragging tasks on the swimlane canvas.
  • Attach - Convert a standalone task into a subtask under a chosen parent task. This can be done by dragging the task onto a parent task card on the swimlane canvas.
Note: Dragging and dropping task on expanded summary task will add it as subtask. Dragging and dropping task on collapsed summary task will add it as connected task.

Actions can be performed in the following ways:

  1. Bulk actions: Select a number of tasks from a swimlane or list and click on the actions menu.
  2. Right-click edit: Right-clicking on a task card in the swimlane.

  1. Quick menu of selected tasks in the list.

  1. Through the task details panel.

Tracking Summary Task Progress

The progress percentage of a summary task shows the average progress of its subtasks.

You can also manually override a subtask's progress percentage, which allows flexibility in how summary task progress is calculated.

Managing Subtasks

Editing subtasks can affect the parent summary task:

  • Once a summary task is marked as completed, new subtasks cannot be added. The status must be changed to create new subtasks.
  • Deleting a parent summary task prompts whether to also delete all subtasks or keep them as standalone tasks.
  • Subtasks can be detached from the parent task to become standalone tasks.
  • Standalone tasks can also be attached as subtasks under summary tasks.

Task Commitments

Task commitments enable accountability by allowing users to commit to completing tasks by specific dates. Once a task is committed, it becomes locked to prevent unauthorized changes while still allowing authorized replanning when needed.

Committing Tasks

To commit to a task:

  1. Select one or more tasks you want to commit to.
  2. Use one of the following methods:
    • Right-click on the task in the swimlane view and select Commit
    • Click the quick action button in the list view
    • Use the bulk action menu to commit multiple tasks (up to 100 tasks at a time)
    • Click Commit in the task detail panel
Note:

Only scheduled and assigned tasks with a status other than Incomplete can be committed.

Important:

The commit action cannot be undone. Once a task is committed, you must use the Replan action to make date changes.

Permissions

  • Users with Manage permission can commit any task
  • Users with Create or Edit permission can only commit tasks assigned to them (by role, company, or assignee)

Committed Task Appearance

Committed tasks are visually distinct in the plan:

  • Task cards display with full company color background
  • Tasks without a company assignment display with gray background
  • A commitment indicator lock icon appears on committed tasks
  • Tasks that have been replanned show a replanning counter

Commitment Locking

Once a task is committed, certain attributes become locked to maintain commitment integrity. Make sure all Locked Attributes have their values set before committing a task.

Locked Attributes (cannot be edited):

  • Type (due to effect on dates)
  • Title/Rename
  • Location
  • Work Breakdown Structure (WBS)
  • Company
  • Assignee
  • Role

Editable Attributes (can still be modified):

  • Work Type
  • Status
  • Description
  • % Complete
  • Priority
  • Crew Size
  • References can be added and removed

Dates (editable only through replanning):

  • Start Date
  • Finish Date
  • Duration

Committed Task Behavior

Committed tasks have special behaviors:

  • Cannot be dragged or resized in the swimlane view
  • Cannot be deleted (including summary tasks with committed subtasks)
  • Can be duplicated (the duplicate will not be committed)
  • Certain right-click actions are removed (Rename, Add assignee, Add company)

When editing affects handoffs:

  • If changing a task impacts a committed task later in the sequence, the handoff breaks automatically before the committed task

Replanning Committed Tasks

When you need to change the dates of a committed task, use the Replan action:

  1. Select the committed task.
  2. Click Replan (replaces the Commit action for committed tasks).
  3. In the Replanning panel:
    • Update the start date and/or finish date
    • Select a Root Cause explaining why replanning is needed
  4. Click Replan to confirm.
Important:

The replan action cannot be undone. The new dates and root cause will be permanently recorded for metrics tracking.

Replanning Scenarios

  • Standalone Tasks: Both start and finish dates can be updated
  • Milestone Tasks: Only one date can be updated
  • Summary Tasks with Committed Subtasks: Only finish date can be updated
  • Summary Tasks without Committed Subtasks: Both dates can be updated, but must contain the date range of all subtasks
  • Subtasks within Committed Summary: Both dates can be updated but must stay within parent task boundaries
  • Subtasks within Uncommitted Summary: Both dates can be updated without restrictions

Replanning Counter

Each time a task is replanned, a counter increments and displays on the task card. The counter tracks:

  • Start date changes
  • Finish date changes

Root Causes

When replanning a task or setting its status to Incomplete, you must select a Root Cause explaining the change. Root causes are drawn from the Issues tool's Root Causes list.

Note:

To learn more about configuring root causes in the Issues tool, see About Issues.

Root Cause information is preserved even if the root cause is later deleted from the Issues settings, ensuring historical tracking for metrics and reporting.

Incomplete Status

The Incomplete status indicates a task commitment was broken because the task could not be completed as planned.

To mark a committed task as Incomplete:

  1. Open the task detail panel.
  2. Change the status to Incomplete.
  3. Select a Root Cause explaining why the task is incomplete.
  4. Click Save.
Note:

Only users with Manage permission can change committed tasks to Incomplete status.

Filtering Committed Tasks

You can filter the plan to show only committed tasks:

  1. Click the Filter button.
  2. Enable the Committed Tasks filter.

This allows you to focus on tracking commitment compliance and performance.

Bulk Editing Committed Tasks

When bulk editing tasks that include committed tasks:

  • Fields requiring root causes are disabled for committed tasks
  • The Incomplete status option is disabled if any selected task is committed
  • Fields are disabled if editing is restricted due to commitments, permissions, or other reasons

Metrics

Commitment data feeds into the Plan Metrics tab, which provides insights into:

  • Percent Plan Complete (PPC) over time
  • PPC by assignment (company, role, location, etc.)
  • Root causes for replanning
  • Task status breakdowns

Use metrics to track team performance, identify patterns in delays, and improve planning accuracy.
