Update a Schedule

Updating a schedule enables the project teams to stay up-to-date with any changes to the project's schedule.

When updating you can rename schedule versions, add summaries (narratives), and notify people in the distribution list about the new update.

Important: Users without permission to the restricted schedule can be added to the distribution list but will not be able to view the schedule. If a user is added by another user with Manage permissions, they will be granted View permission to the schedule and receive a notification.
Tip: When using Desktop Connector for Autodesk Docs you can edit and distribute the version from Version history pane

Summary and summary attachments are saved to Narratives folders in Files tool.

Each schedule can contain multiple versions. There are a few ways to update a schedule with a new version:

Note: Only project administrators or members with at least Update permissions can update a schedule.

Update Schedule From Schedule Thumbnail

  1. Click Schedule from the left navigation to open the Schedule tool.
  2. Click the More menu on the schedule thumbnail and choose Update schedule.
  3. Browse for the updated file and click Open.

Update Schedule from Gantt or List View

  1. Click Schedule from the left navigation to open the Schedule tool.
  2. Click a schedule to open.
  3. Click Update schedule.
  4. Browse for the updated file and click Open.

Update Schedule from Files Tool

  1. Click Files from the left navigation to open the Files tool.
  2. Navigate to the folder containing your schedule (Project Files > Schedule tool files > <Name of schedule>).
  3. Click Upload files.
  4. Choose the file and click Done.

The updated schedule will show in the Schedule tool.

Update Schedule with Desktop Connector

Desktop Connector for Autodesk Docs connects local files with those in the Files tool. To use Desktop Connector for Autodesk Docs to update a schedule:

  1. Open Desktop Connector for Autodesk Docs.
  2. Navigate to the folder containing the schedule.
  3. Open the schedule with the authoring tool.
  4. In the authoring tool, update the schedule and save changes. Saved changes are reflected as a new schedule version in the Files tool. This updated version is shown in the Schedule tool.
Important: Updating a schedule or suggesting updates within the Schedule tool does not update the original file. Synchronization is not available.

When using Desktop Connector for Autodesk Docs or updating the schedule from Docs small edits are grouped as records under a single version to avoid clutter in the Version history pane.

A new version is cut off:

  • every day (intraday changes are grouped)
  • when a version is edited or distributed in the Schedule tool
  • when a new schedule file is manually uploaded
