About roles and their assignment
A role determines how and if a user can participate in workflows based on the structure of the workflow and how its tasks are assigned.
Following is a list of available roles and a brief description of how the role may fit into your organization:
- Tenant Admin1 - Manages a company’s administration settings.
- Project Manager - Manages projects and related activities. Only this role can configure Effective date for a project.
- Mechanical Designer - Works with CAD systems to create mechanical parts and assemblies.
- Lead Mechanical Designer - Builds BOMs and approves CAD models, also works with CAD systems to create mechanical parts and assemblies.
- Electrical Designer - Works with CAD systems to create electrical parts and assemblies.
- Lead Electrical Designer - Builds BOMs and approves CAD models, also works with CAD systems to create electrical parts and assemblies.
- Process Engineer: Helps transform materials into products. Responsible for designing, implementing, and optimizing industrial processes and machinery.
- Industrial Engineer: Creates systems that integrate workers, equipment, materials, and energy to efficiently make products.
- Supplier Quality Manager: Oversees supplier quality and performance, and looks for opportunities to improve efficiency.
- Software Lead: Oversees the software development lifecycle, and may need to manage particular stages of the process. They may also need to write code, track project progress, and generate reports for management.
- Software Engineer: Designs, develops, maintains, and tests software.
- Buyer - Buys required parts or components.
- Customer - Views released item data.
- Customer Manager - Views released item data.
- Requisitioner - Manages ordering parts.
- Viewer2 - Views released item data (such as executives, shop floor personnel). If you want a Viewer to participate in project tasks, Quality Assurance (QA) or Requirements workflows, then assign this role a Participant license.
1The Tenant Admin role must be assigned as the primary role in order to have Tenant Administrator capabilities.
2 A user assigned a Professional license with the Viewer role set as their primary role cannot log into the CAD plugin. This is because the Viewer role should only be used for those with a Viewer or Participant license.
One or more roles can be assigned to a user, and then the user can be added to projects under one (or more) of their assigned roles. Workflows can then be configured to assign tasks to users with a specific role and only those users with the assigned roles on the project can complete those tasks.
It does not matter which roles are primary or secondary (except in the case of the Tenant Admin role). If an Investigation Request workflow assigns a task to all mechanical designers on the project. Then all mechanical designers, whether it is primary or secondary, receive a notification about the task.
Change a user’s role
Open Administration > Users.
Double-click on the user whose role you want to change.
The user's details pane opens.
Click Edit.
Click Secondary role and select a role from the drop-down list.
Click Save.
Click Edit.
Click Primary role and select one of the secondary roles from the drop-down list.
Click Save.
