Change management roles

The template provides standard roles for various levels of permissions. Assign the following roles to the appropriate groups. You may want to add a group named Change Managers to define the team of users managing the changes from problem report to change request and change order.

Role Description
Problem Reports [C] Enables users to create and submit Problem Reports. Such users can only access their own reports and rely on the processing of the report by others.
Problem Reports [REVIEW] This role should be assigned to the coordinators of Problem Reports being responsible for the initial review. Only users having this role are able to perform the Review and to transition to next steps.

This role is supposed to be assigned together with Problem Reports [R/W]
Problem Reports [R/W] Users being assigned to this role can manage Problem Reports (e.g. manage files and attributes). All stakeholders participating in the processing of a Problem Report should have this role assigned – including the users performing the Technical Analysis. This role grants access to all Problem Reports.
Change Requests [R/W] Enables management of Change Requests with edit permission. Dedicated permission for CR approval is granted to the selected CR Coordinator & Approvers of each Change Request individually at runtime.

This role should be granted all people managing & approving Change Requests.
Change Requests [R] Provides read-only access to all Change Requests.

Assign this role to all users requiring information about current or past Change Requests (e.g. for Quality or Purchasing departments).
Change Orders [R/W] Enables management of Change Orders with edit permission. Dedicated permission for CO approval is granted to the selected CO Coordinator & Approvers of each Change Order individually at runtime.

This role should be granted all people managing & approving Change Orders.
Change  Orders [R] Provides read-only access to all Change Orders. With this role, users may also perform workflow Transitions (e.g. to approve or confirm a Change Order – but only if they were selected as responsible user in given processes.

Assign this role to all users requiring information about current or past Change Orders (e.g. for Quality or Purchasing departments).
Change Tasks [R/W] This role provides generic read & write access to all Change Tasks in the system. Dedicated permission is granted to the selected Owner, Assignee and Reviewer of each Change Task individually.

Assign this role to anyone being involved in the planning, execution and review of Change Tasks, Change Requests and Change Orders.
Change Approval Templates [R/W] Users with this role are able to create new & modify existing change templates. This involves definition of required approvers but also the given Change Tasks Template.

Assign this role to privileged users or the administrator only.
Change Approval Templates [R] By having this role, users can browse the library of all Change Approval Templates. As this is required information to initiate Change Requests and Change Orders, it is recommended to grant access to this role to anyone being involved in change activities.
